These circumstances are shaped by the distribution of money, power and resources at global, national and local levels. The social determinants of health are mostly responsible for health inequities - the unfair and avoidable differences in health status seen within and between countries. Researches which study the effects, implementation, and outcomes of the Social Determinants of Health allow medical students to better learn from each other’s experiences in a concrete way. The conference is gives delegates the chance to participate in an international and competitive exchange of ideas for the betterment of health around the world! II. III. Research Competitions a. Research Paper Competition b. Research Poster Competition Public Health Campaigns a. Campaign Poster b. Campaign Video Photography Contest GENERAL GUIDELINES 1. Competitions officially open on 15 FEBRUARY 2016. 2. Deadlines for each of the competitions are specified in the proceeding segments of this brochure. 3. Only entries submitted by the Regional Chairpersons will be considered for these competitions. 4. Schedule for the following competitions are as follows: • Research Paper oral defense: 30 JUNE 2016, 8 AM • Research Poster presentation: 2 JULY 2016, 1 PM • Public Health Campaign exhibit: 2 JULY 2016, 1 PM • Photography Contest exhibit: 2 JULY 2016, 1 PM 5. Winners and participants of the finals shall receive awards and certificates. 6. The AMSC 2016 Organizing Committee reserves the right to change the content of the academic competition guidelines as necessary. Students will be informed of revisions. All participants and main research authors must be currently enrolled in any medical school that is affiliated with AMSA-International. However, they are allowed to have faculty members as co-authors and/or advisors. 2. Collaborative researches may be admitted under the assumption of internal agreement between the authors. The agreement with all the affixed signatures of parties in question must be mailed together with the entry. 3. Authors may not necessarily be representatives of their respective medical schools. 4. The presenting authors must register as participants of Asian Medical Students’ Conference 2016. 5. For group researches, the presenting speakers shall be designated the primary authors for competition purposes. Study Guidelines 1. Studies should present a significant new contribution in the biomedical, clinical and/or community fields. 2. Studies SHOULD NOT have been published in a journal or are in the process of peer review. 3. Studies should have been performed within the past 5 years. 4. The same protocol cannot be submitted for both the Research Paper and Research Poster Competitions. Submission Procedure 1. Regional Chairpersons must send their respective chapter’s entry (in PDF format) to amsc2016research@gmail.com with the subject heading as “Research Paper – Chapter” on or before 27 MAY 2016, GMT 0 0900. Example: “Research Paper – The Republic of the Philippines”. 2. The PDF file to be submitted must be named “Research Paper – Short title”. For larger files, a link to a Google Drive folder must be included; the file name shall be “Research Paper – Short title”. Example: “Research Paper – Effectiveness of SMS Message Reminders in TB DOTS Compliance”. 3. Please note the differences in the proper format of the poster for (1) screening process and (2) the finals. These are found below: “Entry Requirements 2.h. and 3”. 4. An acknowledgment e-mail will be sent upon receipt of the entry. 5. Shortlist of studies for the research paper presentation will be announced on 3 JUNE 2016 via e-mail. 6. Authors must register the digital file of their presentation on the first day of the conference. 7. Questions may be emailed at amsc2016research@gmail.com 4 Entry Requirements There is no need to e-mail the full manuscript of the research paper. Participants must e-mail an Extended Abstract, a shorter yet comprehensive version of the full protocol, the contents of which are the following: Research Paper Competition: Extended Abstract 1) Sections: a) Title and Authors b) Background of the Study c) Methods d) Results e) Conclusion f) References (APA System) 2) Format a) Font: Arial b) Font Size: 12 c) Paragraph/Sentence Spacing: 1.5pt d) Paper Margin: 1” on all sides e) Maximum of 2000 words f) May include graphs and/or tables g) Only use the English language. For terms in the vernacular, closest translations must be provided. h) For screening, schools and affiliations must be omitted in the content. 3) During the conference, the finalists’ presentations may include the authors’ school and affiliations. 4) Include a minimum of three (3) keywords. 5) The PDF file to be submitted must be named “Research Paper – Short title”. For larger files, a link to a Google Drive folder must be included; the file name shall be “Research Paper – Short title”. Example: “Research Paper – Effectiveness of SMS Message Reminders in TB DOTS Compliance”. Note: Entries with erroneous formatting may be disqualified. Contest mechanics General mechanics 1. Screening: three judges are invited to evaluate all e-mailed entries based on the criteria below (Appendix A). The mean total score of each entry (without points for “Presentation”) will be determined. The scores will be tallied by the organizers who will be blinded. 2. Chapters with the top 10 mean scores of the Research Paper Competition will be invited to give their presentations on the following date: Research Paper presentation: 30 JUNE 2016, 8 AM 3. E-mailed entries, along with research data, may not be edited with the exception of adding the names of the authors, schools, and other affiliations. The content of the presentations submitted will be counterchecked by AMSC 2016 organizers. A copy of the extended abstracts will be given to the judges of the competition finals. 4. Three experts will judge the competition finals mentioned in General Mechanics 2. They may or may not be the same judges who screened the e-mailed entries. Finalists will be judged based on criteria below (Appendix A). 5 5. Teams with the top 3 mean scores of the Research Paper Competition will be awarded during the Closing Ceremonies. In cases of a tie, the judges will be informed and may deliberate with one another to break the tie. 6. Questions must be raised to the board of judges and organizers prior to the announcement of results. The judges’ decision is final and irrevocable. Research Paper oral defense mechanics: . 1. The contestants are given 10 minutes to present their research and may choose to use LCD projectors. They must submit the presentations, files and instructions to the organizing committee by 28 JUNE 2016, 11 PM via e-mail to amsc2016research@gmail.com. No revisions will be accommodated after the deadline unless the presentation file type is incompatible with the application used by the organizing committee (Microsoft PowerPoint 2015). 2. A signal from the organizers at the last minute and at the last 30 seconds will be shown to the contestants. A bell will sound and the microphone will be cut-off ten minutes after the start of the presentation. An additional five minutes will be allocated for the questions of the judges. 3. Only questions from the board of judges may be entertained. A bell will sound off to indicate the lapse of time and time will be given to answer the last question raised after which no question will be entertained anymore. 4. The order of presentation is determined at random by drawing lots. The contestants may not change the order of presentation. 6 RESEARCH POSTER COMPETITION Eligibility Participant Qualifications 1. Finalists will be judged based on criteria below (Appendix B). Teams with the top 3 mean scores of the Research Poster Competition will be awarded during the Closing Ceremonies. Judges will visit each of the entries in no particular order. The contestants are given 7 minutes to present their research. A signal from the organizers at the last minute and at the last 30 seconds will be shown to the contestants. Cards will serve as the signal to stop. An additional 3 minutes will be allocated for the questions of the judges. 8 PUBLIC HEALTH POSTER CAMPAIGN Eligibility Participant Qualifications 1. All participants must be currently enrolled in any medical school that is affiliated with AMSA-International. However, they are allowed to have faculty members as advisors. 2. Participants may not necessarily be representatives of their respective medical schools. 3. The presenting participants of the Public Health Poster must be delegates of AMSC 2016. Campaign Guidelines 1. The Publich Health Poster Campaign must highlight the effects of ONE of the Social Determinants on the health of a specific or general community. The topics of the poster and video entries of a single country need not coincide. 2. All submitted entries must be original. When borrowing copyright material, specifically photographs and sound tracks, permission from the original artist must be attained and documented. If this is not possible, the artists or source of the material must be given written credit. 3. This disclaimer must be included in the opening scene of the video or in any segment of the poster: “No infringement of intellectual property rights was intended in the creation of this video/poster. This was made for the purposes of a private and academic event and shall not be published to a wider audience without taking proper courses of action.” 4. Original entries which have been included in past competitions or have been presented to a prior audience will be accepted as long as the following terms are met: • Full compliance to Campaign Guideline 2 • Main contributors to the material should satisfy Participant Qualification 1. • The material has never been shown at any AMSA-International Conference. 5. Though the AMSC 2016 Academic Committee will not actively limit the content of the entries, we strongly advise that submissions must be sensitive to differences in culture, religion, sexuality, socioeconomic environments, and political situations of all chapters of this organization; and that discrimination in any form should be avoided. 6. Violation of any of the Participant Qualifications and Campaign Guidelines aforementioned may be grounds for disqualification. 7. The AMSC 2016 Organizing Committee shall have the exlusive right to use, edit, produce, and reproduce the submitted entries without further compensation to the artist. Regional Chairpersons must e-mail the entry title and a short description (of 100 words or less) to amsc2016research@gmail.com with the corresponding subject header: • “PH Poster – Chapter” for Campaign Poster entries, or on or before 27 MAY 2016, GMT 0 0900.. There is no need to create a separate document for Submission Procedure 1. An acknowledgment e-mail will be sent upon receipt of the entry. All posters must be printed by the concerned chapter themselves. Should this be impossible, the AMSC 2016 Academic Committee may make special arrangements but shall not guarantee this assistance. Furthermore, the Committee shall not be liable for any aberration from the expected quality or format of the participants. Authors must register the physical copy of the poster and the file of the video on the first day of the conference. Questions may be emailed to amsc2016research@gmail.com 9 Entry Requirements Participants shall comply to the prescribed format as follows: Public Health Campaign Poster 1. Maximum dimensions of the poster are 30” x 40”. 2. Entries may be printed on any material. 3. 3-dimensional paraphernalia or mechanisms to be attached to the poster may be accommodated. 4. Physical objects such as props, giveaways, and special lighting may be used but will not be considered in the judging of the entries. Contest mechanics General mechanics 1. 2. 3. The competition proper for the Public Health Campaign Poster and Video will be held on 2 JULY 2016, 1 PM. Three judges per competition will be invited to evaluate all entries based on the criteria below (Appendix C). The mean total score of each entry will be determined. The scores will be tallied by the organizers. Teams with the top 3 mean scores of the Public Health Poster Campaign will be awarded in the Closing Ceremonies. Students will be given the chance to vote for their favorite poster. The entry with the most number of votes will be awarded “People’s Choice Award” during the Closing Ceremonies. Campaign Poster 1. 2. 3. 4. Judges will visit each of the entries in no particular order. Delegates have the choice of giving a short presentation to accompany their entry. Oral presentations must not exceed 3 minutes. Judges may ask questions or give comments. Two minutes will be allocated for these. Mechanics for student votation: a. Stickers to serve as votes will be given to the delegates prior to the competition. b. Students will get to paste their stickers on a designated area during the exhibit to vote for their favorite entry. c. Votes will be tallied at the end of the event. 10 PUBLIC HEALTH VIDEO CAMPAIGN Eligibility Participant Qualifications 1. Entries should not last longer than 3 minutes. There is no minimum time requirement for entries. 2. We encourage the submission of high quality files. 3. Physical objects such as props, giveaways, and special lighting may be used but will not be considered in the judging of the entries. 4. There is no prescribed file type. The VLC application will be used in the competition proper. Time will be given within the conference in instances that delegates will need to convert their files. Contest mechanics General mechanics 1. 2. 3. The competition proper for the Public Health Campaign Poster and Video will be held on 2 JULY 2016, 1 PM. Three judges per competition will be invited to evaluate all entries based on the criteria below (Appendix D). The mean total score of each entry will be determined. The scores will be tallied by the organizers. Teams with the top 3 mean scores of the Public Health Video Campaign will be awarded in the Closing Ceremonies. Students will be given the chance to vote for their favorite video. The entry with the most number of votes will be awarded “People’s Choice Award” during the Closing Ceremonies. Campaign Video 1. 2. 3. All entires will be shown to the audience in no particular order. After general viewing, entries will be on loop simultaneous with the rest of the academic competitions and cultural booth exhibitions. Mechanics for student votation: a. Stickers to serve as votes will be given to the delegates prior to the competition. b. Students will get to paste their stickers on a designated area during the exhibit to vote for their favorite entry. c. Votes will be tallied at the end of the event. 12 PHOTOGRAPHY CONTEST Eligibility Participant Qualifications 1. 2. 3. 4. All artists must be currently enrolled in any medical school that is affiliated with AMSA-International. However, they are allowed to have faculty members as advisors. Participants may not necessarily be representatives of their respective medical schools. There will be no oral presentation for the photography contest. The artist is not required to be a conference delegate. Contest Guidelines 1. The Photography Contest entry must highlight the effects of ONE of the Social Determinants on the health of a specific or general community. Only one entry per chapter is allowed. 2. All submitted entries must be original and in digital format/file. We will not accept print or film submissions for the judging of the entries. 3. Original entries which have been included in past competitions or have been presented to a prior audience will be accepted as long as the following terms are met: • Full compliance to Campaign Guideline 2 • Main contributors to the material should satisfy Participant Qualification • The photograph has never been shown at any AMSA-International Conference. 4. Though the AMSC 2016 Academic Committee will not actively limit the content of the entries, we strongly advise that submissions must be sensitive to differences in culture, religion, sexuality, socioeconomic environments, and political situations of all chapters of this organization; and that discrimination in any form should be avoided. 5. Prior to the submission of the entry, the participant is responsible for securing a formal consent from concerned parties if the image contains any element that is not the participant’s property or if any individual appears as the subject of the photo. 6. Violation of any of the aforementioned Participant Qualifications and Campaign Guidelines may be grounds for disqualification. 7. The AMSC 2016 shall have the exlusive right to use, edit, produce, and reproduce the submitted entries without further compensation to the artist. Entry Requirements Participants shall comply to the prescribed format as follows: 1. 2. 3. 4. 5. Entries can be in full color, black and white, or sepia. Entries to be submitted should not bear watermark. Only minimal editing is allowed (e.g. crop, exposure, color correction). Entries which are digitally enhanced or altered for creative purposes will be disqualified. The entry must have the following requirements: a. At least 54 inches in size b. At least 72 ppi in resolution c. At least 3888 pixels on the longer side d. Image may either be portrait or landscape 6. Entry must be in JPEG format. 13 Submission Procedure 1. Interested applicants must e-mail their entries (attached in a Google Drive folder) and following to amsc2016research@gmail.com on or before 27 MAY 2016, GMT 0 0900: a. Full name of the artist b. AMSA chapter c. Photo title d. Short description of no more than 100 words e. Location where photograph was taken f. Attached consent from photograph subjects or owners of any protected property 2. File names of entries must be named, “Photo Contest – Short Title.file”. 3. The e-mail subject header should be “Photo – Chapter”. 4. An acknowledgment e-mail will be sent upon receipt of the entry. 5. All photographs must be printed on any preferred 8R (8 in x 10 in)-sized material by the concerned chapter. The work shall be displayed in an exhibit, where students are allowed to vote for their favorite works (details later). Should this be impossible, the AMSC 2016 Academic Committee may make special arrangements but shall not guarantee this assistance. Furthermore, the Committee shall not be liable for any aberration from the expected quality or format of the artist. 6. The physical copy of the photograph must be registered by any delegate on the first day of the conference. 7. Questions may be emailed to amsc2016research@gmail.com Contest mechanics 1. 2. 3. 4. 5. The competition proper for the Photography Contest will be held on 2 JULY 2016, 1 PM. Three judges will be invited to evaluate all digital entries based on the criteria below (Appendix E). The mean total score of each entry will be determined. The scores will be tallied by the organizers. Judges may take as much time as they want in viewing all photographs. A component of the judging criteria will consist of student votations: a. Students will vote for their favorite work based on the printed and displayed entries. b. Stickers to serve as votes will be given to the delegates prior to the competition. c. Students will get to paste their stickers on a designated area during the exhibit to vote for their favorite entry. d. Votes will be tallied at the end of the event The top 3 mean scores of the Photography Contest will be awarded in the Closing Ceremonies. “People’s Choice Award” will be given to the entry with most votes.
