For high quality scans or text (OCR) scanning, you can use a flatbed scanner in Templeman West (Floor 1) or Templeman East (Ground Floor). Printing and copying incurs a charge but you can print before you pay. Top up your Print Credit account (see page 6) when you get near your £2 overdraft limit (which is equivalent to 40 sides of A4 printing or copying). Printing to a Print Copy Scan machine Press File then Print on a file, to print double-sided A4 black and white. It won’t print straight away; it goes into the A4 print queue. To print it, go to a Print Copy Scan machine to ‘release’ it. You have up to 24 hours, and will get a reminder email an hour before your print job expires. Find a Print Copy Scan machine: Swipe your KentOne card (or log in): 2 Select your file on the touch screen panel to view details and print: To change the format • • Before you send your file to print, find the Print options for your document. Click on the selected printer. Choose A4, A3, colourA4 or colourA3 from the list. If you can’t see any other printers, click Add a printer and search for the name; eg A3. Print options in Word: Example of print options for a PDF: 3 Finding an alternative printer Find out the name of the printer you need (there’s a list further down this document). The server is important too: most printers are on ‘print’ or ‘printserver2’. PrintPlus printer names • • • • A4 on server \\print\ A3 on server \\print\ colourA4 on server \\print\ cololurA3 on server \\print\ Add the printer to your student PC profile If you ‘add’ a printer on a student PC, it is then available to you from any student PC: • • • Click Start then search for the server name in this format: \\print\ or \\printserver2\ A list of printers pops up. Double-click on any printer in the list to ‘add’ it. Now click File and Print on any document, and this printer will be available. Print from your laptop: Web Print You can print PDF, Word, Excel or PowerPoint files using Web Print. It works best on a laptop and isn’t compatible with iPads or iPhones. Most campus printers are available. Study Hub and PC room printers are listed individually. For Library (PrintPlus) printers choose the A4, A3 or colour options: • • Visit printing.kent.ac.uk and log in with your Kent username (eg abc1). Click Web Print in the left-hand menu and follow the instructions. ‘Add’ a printer to your laptop (Windows) You need to be on the University network (eduroam). From off campus you can use the VPN (search for VPN at Kent for details). Once connected: • • Click Start then search for the server name in this format: \\print.kent.ac.uk\ or \\printserver2.kent.ac.uk\ (if that doesn’t work, try \\print.ad.kent.ac.uk\ or \\printserver2.ad.kent.ac.uk\ ) A list of printers pops up. Double-click on the printer you need from the list. This will ‘add’ it for you and make it available whenever you want to print. If asked, enter your username as: ukc\abc1 – replace abc1 with your details. 4 ‘Add’ a printer to a Mac with OS X Not all Macs are compatible, so we recommend using Web Print (see the Print from your laptop section on page 4). Otherwise find our ’Print copy scan’ web page and see the ‘Printing setup issues’ section. Yellow or blue paper printer in the Library You can print on coloured paper if you use the ‘yellowA4’ or ‘blueA4’ printer in Templeman East - find it in the PC room on Floor 2. To print on pale yellow or blue paper you will need to ‘Add’ the correct printer: • • • From a student PC, click Start. Search for \\printserver2\yellowA4 or \\printserver2\blueA4 From your laptop*, click Start. Search for \\printserver2.kent.ac.uk\blueA4 When you send a file to this printer, your work prints immediately and you’re charged straight away. * You need to be on the University network: on campus, use WiFi (eduroam). If you’re off campus you can use the VPN (search for VPN at Kent for details). Print from email to a Print Copy Scan machine • • • Attach a PDF, Word, Excel or PowerPoint document to an email, and send it to either printing+A4@kent.ac.uk or printing+colourA4@kent.ac.uk You will get an email back and need to click the link to confirm. You will see confirmation on screen that your print is waiting for you. You have up to 24 hours to release it at any PrintPlus printer. Plug your USB into a Print Copy Scan machine You can plug a USB stick into our Print Copy Scan machines, to print PDF or image files (other file types aren’t compatible). Log in on the machine (scan your KentOne card or use the touchscreen). Plug your USB into the slot on the right hand side, and use the touchscreen to print. Printers in Eliot and Keynes PC rooms If you print from a student PC room in Eliot College or Keynes College, your work should print out instantly at the printer in the room: double-sided A4 black and white. To use a different printer from the Print dialog box, click the name of the current printer to see other options. If the required printer isn’t listed, ‘add’ it (see page 4). 5 How to print single-sided You can change the print settings using the Print dialog box for your document. The option to print on both sides may be under Settings, Properties or Preferences. Paying for printing and copying Buy print credits online (search for Print credits) or at a print credit machine - in the Library and Oaks Study Hub. Minimum charge at machines is £1. They don’t give change. To log in, hold your KentOne card next to the reader for a few seconds. Costs 1 pence = 1 credit, and you have a £2 (200 credit) overdraft facility. • • • • Black and white A4: 5p per side Black and white A3: 10p per side Colour A4: 20p per side Colour A3: 40p per side Printers only The printers below only print, they don’t copy or scan. They print instantly, double-sided A4 black and white. For more pages repeat 2–3 Press Complete Your scan is emailed to you Convert scanned files to accessible formats After you’ve scanned a page of text, you can turn it into an accessible format such as editable text, MP3 audio, DAISY text and audio, and Braille. 1. Go to www.kent.ac.uk/library/accessibility/file-conversion.html or search for Sensus Access on the Kent website 2. Upload the document you want to convert 3. Choose which format you want to convert it to and any extra options 4. Enter your Kent email address and click Submit 5.
