The Office of Student Success provides assistance and advice to students to ensure they are wellinformed and making confident academic decisions as they progress towards graduation.
Position Summary
This is a temporary, full-time staff position funded from July 1, 2016 – June 30, 2017.
The Office Manager will facilitate general office management and support ten Professional Academic
Advisors/Student Success Coaches. The position is the first point of contact for the office and requires
continuous student and staff interaction via phone, email, text and in-person. Interruptions and drop-ins
are likely in this often-hectic office. The abilty to work with accuracy and efficiency is essential, as are
the ability to gather multiple levels of information from students preparing to meet with advisors and
the ability to reconcile/query multiple databases in order to collect and disseminate information to
other staff. The position reports directly to the Associate Vice President for Enrollment Management.
Minimum Qualifications







Bachelor’s degree
One year of general clerical experience
Excellent customer services skills
Experience with databases
Ability to reconcile and manage program budget
Ability to work productively as part of a team
Knowledge of Excel, Outlook, Word, and typing precision
Desired Qualifications


Excellent communication skills, computer skills, and multitasking skills
Knowledge of general troubleshooting techniques related to computers and office equipment
Major Responsibilities



Serve as the first point of contact for all inquiries
Maintain the program appointment calendar, manage appointments and scheduling nuances for
office staff and students
Answer phones and greet visitors; answer routine inquiries about the office and refer to other
offices as needed















Recruit, train and supervise student workers
Record and distribute minutes of weekly staff meetings
File student correspondence, reports and other materials while maintaining the utmost
confidentiality
Purchase office supplies and materials as needed
Maintain the department website and social media
Periodically update the procedure manuals for student assistants and office manager
Assist with activity/event coordination and execution
Record office accurately in internal budget ledger (Excel spreadsheet), produce accurate monthly
and year-end budget reports for the supervisor
Work with the supervisor to make budget adjustments during the year and reallocate funds when
needed
Reconcile monthly and year-end budget reports generated by the College’s budget office with
office’s internal ledger, and resolve any inconsistencies
Process paperwork for staff expense reimbursement
Make reservations, obtain approvals, and submit paperwork for staff and participant travel
When funding allows, attend professional/technical meetings and workshops to learn new
procedures and skills applicable to the job.
Stay current on College policies and procedures that relate to the position.

Expectations
Staff conduct themselves as officers of the college, advancing the College’s mission, conveying and
helping students gain understanding of institutional policies, principles, and practices. Any information
received by the staff about intentions or behaviors by students or others that are in contradiction to or
in violation of these policies, principles, and practices must be conveyed immediately to the supervisor.
Compensation
$32,000 annual salary with full benefits.
