Data Information Officer
Introduction
Autism Initiatives is committed to working in partnership with service users, their families,
commissioners and others to provide a specialist, autism specific, person centred and
outcome focussed service for people with autism spectrum conditions.

and a willingness to remain committed during particularly demanding times
Location
The Data Information Officer will be based at Head Office, Crosby.
Line Manager
The Data Information Officer is managed and supervised by the Rota Manager.
Person centred autism specific practice
The Data Information Officer will:
1. Always take account of the needs of service users in relation to any rota/staffing
support and solutions.
2. Maintain confidentiality at all times.
Quality
The Data Information Officer will:
1. Be aware of and contribute to reviews of all policies and procedures in relation to
the Rota Management System (RMS) and staffing of service
2. Support all managers to create effective Rotas for their services
3. Monitor the use of the Shift Cover Protocol by managers and support staff
4. Monitor Rotas to ensure that they are being planned for the benefit of service
users and that contract hours are being met
5. Maintain effective communication with Area and Senior Managers with regard to
any matters of concern
6. Ensure that all reports required by Senior Managers are completed in an efficient
and timely manner
Resources and systems
People/Staffing
The Data Information Officer will:
1. Support the recruitment of additional staff for all areas through working with Area
and Service Managers
2. Support the initial recruitment to new services
3. Particularly monitor the number of Additional Staff in each Area and support their
recruitment.
4. Support Managers to effectively deploy and manage Additional Staff effectively so
that they complete inductions, probations, relevant training and absence
management
5. Provide all services with an updated Additional list each month
6. Monitor the uptake and completion of inductions in conjunction with the L&D team
7. Ensure managers have in place and utilise correctly the current Shift Cover
Protocol
8. Actively support staff cover for services where Managers have been unable to do
so or on the request of a Senior Manager
9. Monitor the appropriate use of Agency, providing weekly reports
10. To assist managers to ensure that Working Time Regulations are adhered to
11. Support Area Managers in monitoring staff additional hours, particularly overtime
levels
12. Contribute to training of staff in the use of the RMS
13. Management of the Data Management process
14. Coordination of the reports for the Practice Support Team (ARU reports)

The Data Information Officer will:
1. Contribute to ensuring that buildings and the general environment is maintained
to an acceptable standard, being clean, comfortable and safe
Working together
The Data Information Officer will:
1. Develop and maintain effective relationships with internal colleagues and teams so
that we provide an efficient service user outcome focussed service
2. Build and maintain a positive relationship with all colleagues, in particular, the Rota
Manager, HR and L&D, Senior Managers and Area Managers
3. Ensure that all feedback about the RMS and the Data Information Officer role,
received from colleagues, including Complaints, Compliments, and Suggestions, is
encouraged, discussed with the Rota Manager, and used to improve the service
4. Support managers to ensure accurate Absence Management recording and provide
reports for H.R. and Senior Managers as and when required

The Data Information Officer will:
1. Attend all relevant and required training and development programmes
2. Change their practice as a result of learning and development experiences
3. Continuously develop their own leadership style, being a positive role model for
their teams and colleagues
4. Attend and contribute to own Supervision, Appraisals, training and other events
as required
The Data Information Officer will also undertake any other task or work which arises within
the scope of the role in order to meet the needs of the service and as required by Line
Manager or Assistant Director.
Duties will at all times be undertaken in compliance with Autism Initiative’s Policies and
Procedures, including Health and Safety.

Essential:









Exemplar IT skills with the capability to utilise Microsoft packages and
bespoke systems and databases
Reporting skills with the ability to manipulate and present information and
data in a timely and coherent manner (both verbally and written)
Professional communication skills and the confidence to liaise with all staff
and external stakeholders at all levels
Knowledge of and commitment to safeguarding and safer recruitment
processes
Good interpersonal and team working skills with the ability to motivate,
support and proactively challenge others
Highly organised with experience of prioritising a demanding and varied
workload
Self-motivated with the energy and enthusiasm to embrace learning and

Sickness:
Sick pay will be paid according to the sick pay scheme.
Annual leave:
You will be entitled to 175 hours (25 days) per annum. The holiday
year runs from the commencement of your employment. In
addition to this leave you are entitled to statutory bank holidays.
Pension:
Autism Initiatives will comply with the employer pension duties in
respect of employees in accordance with Part 1 of the Pensions
Act 2008.
