Job Title: Gulf Coast Section Coordinator

SUMMARY:
Provides administrative support to the Gulf Coast Section (GCS) Section Manager and volunteer leaders.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
o Handles all telephone and written inquiries regarding GCS programs including events, website and general
inquiries. Interacts with volunteers, leaders and members on a regular basis
o Attends section events as assigned
o Works with webmaster to edit and maintain the GCS website
o Writes and prepares copy for the website and newsletter as assigned
o Initiates and completes section broadcast emails as assigned
o Processes credit card payments when necessary
o Responds to reservation requests and cancellations for GCS meetings
o Maintains speaker gift invoices in QuickBooks monthly
o Processes and mails checks as assigned
o Enters financial transactions in QuickBooks as assigned
o Coordinates invoicing, receipts, processing and notifications for section sponsorships
o Maintains security and confidentiality of client and member records
o Assists in registration for section events and meetings
o Prepares and distributes meeting registration supply packets for study groups and GCS events
o Coordinates scholarship applications and prepares files for review by the Scholarship Committee
o Coordinates the collection of required information for distribution of scholarship monies
o Coordinates the honors of the new scholarship recipients at the GCS Awards celebration
o Processes acceptance and rejection notifications
o Coordinates scheduling, materials and food/beverage orders for section meetings
o Maintains and manages section supply orders (with approval from Manager)
o Maintains section files
o Completes special projects as assigned
QUALIFICATION REQUIREMENTS

EDUCATION and/or EXPERIENCE
Associate's degree and two years' work experience preferably in an office setting; or equivalent combination of
education and experience.
LANGUAGE SKILLS
Ability to read, integrate and interpret information from multiple sources. Ability to write reports, business
correspondence, and procedure manuals. Ability to effectively present information and respond to questions
from groups of managers, clients, customers, and the general public.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited
standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule
form.
OTHER SKILLS AND ABILITIES
Excel and MS Word expertise
Knowledge of QuickBooks helpful
Self-motivated and able to multi-task
Excellent oral and written communication skills
Strong organizational skills
Good proof reading skills
Knowledge of basic office equipment
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to talk or hear. The employee
frequently is required to sit; use hands to finger, handle, or feel; and reach with hands and arms. The employee is
occasionally required to stand; walk; stoop, kneel, crouch, or crawl; and taste or smell. The employee must
occasionally lift and/or move up to 15 pounds. Specific vision abilities required by this job include close vision,
distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
