Plant Communications Coordinator

Department Introduction:
Campus Engineering provides professional engineering support for the design, construction, operation and maintenance
of all University facilities. Campus Operations maintains and operates critical building systems including fire/life safety
systems, elevator systems, building environmental systems and controls, central clock systems, high voltage distribution
systems, and a utility shutdown coordination program. Campus Operations also provides emergency maintenance
response service to the Seattle campus community, 24 hours a day, 7 days a week. Campus Utilities produces steam,
emergency electrical power, chilled water, and compressed air for the campus.
Job Purpose:
The University of Washington’s newest acquisition, the UW Tower a 22 story 510,000 square foot high-rise located in the
U-District has an outstanding opportunity for one Plant Communications Coordinator to join the UW Tower Facilities
Services team. The complex is home to over 60 departments, 1,700 employees and a beehive of activity. The facility
includes 20 conference rooms, cafeteria and an auditorium which host a wide variety of events and meetings. Multitasking is the norm not the exception in this fast paced environment.
The UW Tower Communications Coordinator provide various communications activities in the buildings operations center,
including coordination and/or operation of radio systems, a computerized - centralized building control system, life/safety
systems and a Centrex telephone system. The UW Tower Communications Coordinator receives and interprets
information; prioritize and initiate appropriate maintenance response.
Duties and Responsibilities:
 Responsible for all aspects of scheduling conference rooms, training facilities, and auditorium in the UW Tower,
including client negotiations, determining A/V requirements, catering, room set up, special security requirements,
parking needs, and billing/invoicing
 Clients include UW Tower occupants, President's Office, Board of Regents and other UW clients
 Coordinate activities of UW Tower Facilities Services employees—provide direction and assist in planning
communications procedures
 Organize and coordinate department related functions, such as the Facilities Operations team building activities,
workshops, training, and staff meetings to include reserving room(s), sending reminders and invitations, preparing
attendance sign-in sheets, and posting signage
 Provider radio and telephone dispatch for human and facilities emergencies and routine daily UW Tower
maintenance functions
 Provide information to UW Tower tenants over voice annunciation system during facility related emergencies
 Operate and monitor a computerized, centralized building control system; interpret data on operating conditions
and initiate appropriate responses
 Create and maintain multiple databases to include procurement acquisition and billing processes
 Confer extensively with representatives of UW departments, firms, and governmental agencies regarding action
requests, information needs, and building complex activities
 Based on monitoring systems, direct service requests for building systems such as fire alarm, heat, ventilation,
air-conditioning or building equipment such as elevator maintenance or repair service
 Operate FM radio communications system to dispatch maintenance personnel and ensure compliance with FCC
rules
 Monitor the operation of the Centrex telephone system
 Maintain a work order system; receive and review trouble requests for service; complete work orders; monitor or
initiate action as needed to insure timely and reliable response of shop personnel; maintain work order records
 Collaborate on LEAN activities and projects; prepare activity and Balanced Score Card reports
 Maintain key lockers and records; issue and order keys and make periodic audits of key registers for security
purposes
 Facilitate monthly Safety Meetings / Facilities Services Focus Meetings for UW Tower FOMS-Builder team
 Perform other duties as assigned

Required Skills, Experience and Knowledge:
 High School graduation or GED equivalent and one year of experience in some aspect of shop (facilities) related
work to provide general familiarity with repair and maintenance activities
 Effective oral and written communications skills and demonstrated effective client relations skills
 Proficiency in MS Office programs, MS Outlook, Internet, and facilities maintenance programs for periodic
maintenance
 Proven ability to communicate effectively and efficiently both verbally and in writing
 Equivalent education/experience will substitute for all minimum qualifications except when there are legal
requirements, such as a license/certification
 Have knowledge and understand of safe work practices and policies
 Must be able to wear all proper Personal Protective Equipment (PPE) as required
 Must be able to follow written and/or verbal instructions and communicate in English regarding the use of
chemicals, supplies, and equipment; comply with safety policies and procedures
Desirable Skills, Experience and Knowledge:
 Advanced skills with "Scheduler Plus” - multi level conference room scheduling software
 Proven ability to work directly with high level clients such as staff for the Board of Regents, Office of the
President, and senior level management
 Experience with computerized maintenance management systems
 Familiarity with University of Washington systems, policies and procedures
 Ability to learn new workflows, processes, and systems
 Experience working in an urban high rise building
 Proven ability to work accurately with attention to detail in a fast paced environment
 Proven ability to work independently as well as collaboratively in a diverse environment
 Proven ability to work well in a team environment
 Ability to keep information confidential
Conditions of Employment:
 Ability to work evening and weekend hours, as necessary, on short or limited notice
