Coordinator I, Special Programs
Purpose
Purpose:
The Endowment Services Coordinator will work as a member of the Endowment Services
development staff. Specific responsibilities will include responding to inquiries from Office of
Development employees, academic units across campus, and the Office of Accounting and
Business Services regarding any endowment issues.
Essential Functions
Function 1:
Monitor expenditures from endowment accounts to ensure compliance.

Function 2:
Accurately prepare and ensure timely mailing of annual endowment donor report packets;
coordinate with the departments on collecting report of use letters to be included with the annual
packets.

Function 3:
Manage the tracking of endowment information; update and maintain internal endowment
reports; prepare reports for donors and units across campus on the financial status of
endowments; maintain endowment records in the Raisers Edge database; assist with the
preparation of the annual endowment compliance report to UT System.

Function 4:
Respond to inquiries from Office of Development employees, academic units across campus, and
the Office of Accounting and Business Services regarding any endowment issues, which may
involve extensive research and coordination with the UT System Offices of External Relations
and General Counsel.

Function 5:
Work closely with units across campus and ensure they have information needed to stay in
compliance with endowment policies and procedures. Prepare endowment compliance training
materials and update training binders for UTA employees with endowment involvement.

Function 6:
Prepare accurate and timely requests to Accounting and Business Services for the transfer of
endowment funds to the corpus. Coordinate with the University Development office on planning
donor appreciation events and preparing endowment listings and donor names for publication.

Function 7:
Assist the Director of Endowment Services in preparing endowment agreements for donor
signature and ensure they meet UT System requirements. Assist the Director of Endowment
Services in obtaining final approval from UT System for the establishment of all new
endowments.

Qualifications
Required Qualifications:
Bachelor's degree with two (2) years of experience as a project coordinator or related experience.
Proficiency with Microsoft Office products: Word, Excel, and other common office software.
Requirements include excellent organizational and communication skills; ability to prioritize
workload for timely completion of important tasks; and ability to maintain confidential

Preferred Qualifications:
One (1) year experience in a development/fundraising, university, or non-profit environment.
Familiarity with Raiser's Edge software program. Ability to handle multiple tasks in a busy
office in a professional demeanor. Ability to maintain filing, budgeting and mailing systems.
Proficiency in spelling, grammar. Excellent customer service skills. Outstanding time
management skills are essential.
