ECONOMIC AND WORKFORCE DEVELOPMENT ONLINE DATA COLLECTION SYSTEM (DCS) 2010-2011 Overview and Brief Instructions Welcome to the new Data Collection System for 2010-2011. In this new DCS, your project (Center/IDRC/JDIF/RTF) will be loaded under your login account. Once in the DCS, you will have the opportunity to tell us what you did (activities) and what happened as a result (outcomes). As illustrated below, the general flow for the project is that there are multiple activities; and for each activity there may be one or more outcomes; which in turn may have specific counts or dollar values associated with them (captured in the forms). Also, for each outcome you will have the ability to add student or business information in order to tell us who you served. Name of Initiative/ What did you do? Page 1 of 4 ECONOMIC AND WORKFORCE DEVELOPMENT ONLINE DATA COLLECTION SYSTEM (DCS) 2010-2011 Brief Instructions These instructions are intended to guide you through the basic steps you need to enter data into the DCS 2010-2011. We are editing additional manuals and training materials that will serve as in-depth resources. If you need assistance, please contact Erin Larson at elarson@cccco.edu or 916-327-5884. 1. Login to https://www.ewdgrants.net/users/login with your email address and password. You’ll see “My Projects” page with your pre-loaded “Active Project”. 2. What did you do? Select “ENTER NEW ACTIVITY” Enter the activities you engaged in as part of the project. You can either enter them in all at once based on your work plan or whenever you actually start them. You will need to provide: Name the activity (brief) Start and End Date – For activities that are throughout the year use the beginning (July 1) and end (June 30) dates of the fiscal year. Activity Category – These refer to the Ed Code Sec 88531a-j. Click on the question mark at the right for the complete text. As the Code states, these Outcome Objective – These are outlined in the RFA. Click on the question mark at the right for the complete text. Description – Provide additional text about the activity especially if you selected the “Other” options for Activity Category or Outcome Objective. 3. What happened? Select “ADD OUTCOME” Once an activity is added, you will be able to enter in the outcomes associated with that activity. You will need to provide: Name of outcome Date of outcome Add Students Served by the outcome – Students may already be in the database so you can search for them and add accordingly. Add Organizations Served by the outcome – Organizations may already be in the DCS so you may search for them and add accordingly. See page 3-4 for detailed elements that we ask for in these forms. o Business – These forms ask for the financial outcomes associated with increased business values or sales. o Training – These outcomes are associated with the type of training offered, hours per class, and the numbers of entrepreneurs, employees, and students who received the service. o Technical – These outcomes are associated with non-training services such as research, consultation, etc. This section divides the technical assistance outcomes into 3 areas: 1) Employees/Students 2) Business/Owners/Managers 3) Colleges Employment – These outcomes are associated with placing, creating or retaining jobs, internships or apprenticeships Marketing – These outcomes are associated with the types of marketing efforts conducted.
