Purpose--Assignment of Frist theater usage time for 2002-03
17 Groups (of 18 expected--no Stripes) in attendance along with Paul, Jim Streeter and
Kim Collins of Frist.
1) Announcement of Frist usage policy by Paul:
-Frist Theater is for students at zero cost to groups performing there. This will only be maintained as long as a relationship of trust and respect is upheld with all groups.
-Possibility of suspension from space after a warning received for breaking a rule of the Theater--primarily, NO FOOD OR DRINK AT ANY TIME!
-Safety is primary in the space, and it is the duty of the PAC representatives to convey this issue (rules/partnership/suspension possibilities) to their groups.
2) Jim's policies for running a show (jstreeter@, 8-0508)
-Normally a production manager should contact him 30 days prior to a performance to go over scheduling and usage policies. He needs to know everything about a production.
-"You can make it happen"--if you need something special for a performance, give
Jim enough time and cooperation (and preparedness) and he will do his best to help the groups secure whatever they need to make a show work. Organization is very important.
3) Kim's policies for reserving Frist
-30 days prior notice for cancellations.
-Needs a copy of a signed event registration form from Dean Dunne's office (306
West College) at the same time.
-Any changes to the schedule for a show need to be given to Kim to change the reservations in Frist system. Also, she needs to know about rehearsal times so that they, too, may be entered in the system.
4) Assignment of weekends for the groups in Frist Theater
-Please see the email from two weeks ago with the schedule attached [below].
5) Business for this week:
-Any problems with the schedules that need to be changed.
-End of the year news/issues.

Mike will pass along minutes from the first part of the meeting tonight, but I wanted to email out the Frist Reservations for '02-'03. A very big thank you to you all for your willingness to consider not just what was best for your individual groups but also what worked best in the larger context of all the PAC groups. While I don't think most groups got 100% of their first choice, in the end, I think we did come up with the fairest solutions possible. So thank you for your paitence.
Here is the schedule as I have it. Please take note of the dates, whether they include a
Sunday performance or not, whether there is a matinee scheduled, and such. A few other things to know:
1) If you are NOT having a Sunday performance, then your strike time will be 9am - 1pm on Sunday. This is NOT changable, because the next group will want to come in on
Sunday afternoon to tech.
2) Your reservations for performance nights are from 6pm - 11pm. That means you will be allowed to enter at 6pm and MUST BE OUT by 11pm. If you anticipate this as being a problem (as a few groups who wanted to do two performances on the same night) you need to work it out with Kim Collins (Frist Scheduling person) ASAP.
Kim should be emailing everyone in the next few days to confirm your slot. That would be an IDEAL time to work out issues of Sunday performances, matinees, extending the reservations past 11pm (or before 6pm if you have an early show). Also, Ballet
Folklorico and Naacho should discuss the marlee situation with Kim and/or Jim Streeter
(technical manager). Remember, that it is OUR RESPONSIBILITY to address these issues now.
Again, thanks a lot for your paitence tonight. It says a lot about us as artists and us as a
Council that we are able to work through this on our own.
