SAGE Program Proposal Review
& Ranking Instructions 2016
ELIGIBILITY CRITERIA: SAGE program proposals must:
 be completed fully; including signatures.
 be filed on/before the deadline date.
 include all the required attachments: course outline program itinerary, program provider proposal, Faculty Development
transcript or SAPL Certificate copy.
NOTE: Proposals not meeting these criteria will not be considered.
REVIEW PROCESS: The following outlines the proposal review process for all applications to lead a study abroad program.
STEP 1:
PROPOSAL REVIEW - Each proposal will be reviewed and scored by a group of committee members. The SAGE
director does not vote. The group members will work together to agree on a score for each item on the SAGE Proposal
Evaluation Rubric, and then calculate a final score.
STEP 2:
RECOMMENDATIONS - All proposals will be ranked together based on their final score from step 1. Based on current
SAGE staffing levels, a total of 13 programs (10 approved and 3 waitlisted) will be recommended for travel based on the
final score. Those that are not recommended will not be able to run. If there are any programs that duplicate a location
and discipline, preference will go to existing programs over new programs. The new program leader with similar interests
must either partner with an existing program leader or come up with a program that is unique from what is already
running.
STEP 3:
FUNDING – The committee will look at the number of times a program leader / co-program leader has been funded for
study abroad travel in the past. Because SAGE scholarship funds are limited, the use of these funds are to be used as
seed money for new program development for up to three years. After three years, the program leader should identify
alternative funding sources if there are insufficient funds to cover all recommended programs for travel. Based on current
SAGE funding levels, an estimate of 10 programs will be approved for funding and up to 3 may be waitlisted. Each
program will be given additional ranking points based on the following guidelines:
+15 POINTS:

Program leaders that have only a one-year history. This does not count cancellations. Add an additional 5
points if enrollment reached 16 students or more. Please note: The additional points are only available for
repeat program leaders up to three years.

Veteran program leaders (more than 3 years leading study abroad) who have taken 3 years off or more. This
does not count cancellations.
+10 POINTS:

First-time applicants to lead study abroad.

Program leaders that only have a two-year history. This does not count cancellations. Add an additional 5
points if enrollment reached 16 students or more. Please note: The additional points are only available for
repeat program leaders up to three years.

Veteran program leaders (more than 3 years leading study abroad) who have taken 2 years off. This does not
count cancellations.
+5 POINTS:

Program leaders that have a two- or three-year history. This does not count cancellations. Add an additional 5
points if enrollment reached 16 students or more.

Veteran program leaders (more than 3 years leading study abroad) who have taken 1 year off. This does not
count cancellations.

IN THE EVENT OF A TIE: The committee may use the following criteria to make final decisions:
1. The number of programs going to the same country. The goal is to provide students with a variety of destination options.
2. The number of programs being offered within the same discipline or the same course prefix. The goal is to provide students
with a variety of course options across different disciplines.
3. The number of years that a program leader has been leading study abroad. The goal is to provide faculty who have only been
leading 1-3 years and new faculty to cycle into the rotation.
4. The number of programs being offered at each Valencia campus.
5. Repeating program enrollment history.
IN ADDITION:

If the same program (country, course) is submitted by the same program leader/co-program leader two years in a row and
cancels, it will not be considered for funding for at least three years.

Faculty who sit on the Study Abroad Committee and plan to submit a proposal will not be permitted to vote on any of the
proposals.

Unless SAGE has received a funding increase, ten proposals will be selected for funding and up to three may be waitlisted.
This is subject to change based on the funding available.

If the Study Abroad Committee needs clarification on an item in the proposal, an email will be sent to the faculty member via
the SAGE Office to respond. The information will be shared with the Committee via email.

The committee reserves the right to not approve a proposal by a program leader who consistently does not follow SAGE
procedures, policies, and deadlines.
