E&A Agenda September 20th, 2013 12:00pm I. Call to Order Meeting is called to order at 12:02pm. II. Roll Call Quorum is established with 7 voting members. III. Approval of Minutes Motion from Sen. Amira to adopt the minutes from Sept. 6th. Second. No objections. Moved. IV. Approval of Agenda Motion from Sen. Brown to add “approval of election t-shirts” to New Business. Second. No objections. Moved. Motion from Sen. Tortelero to approve the agenda as amended. Second. No objections. Moved. V. Guest Speakers None. VI. Chair Report – Emily Antworth We have a lot of things today, but I promise it won’t take too long. We’re trying to get your input for the upcoming elections. If you know anyone who is interested in the elections this year, please remember that the Declaration of Intents are due next week. Please let anyone and everyone who has shown an interest know about that. We’re going to go over the location for the polling stations, some yard signs and PR, marketing-type things. And we’re also going to have a discussion on some of the goals we want to have. VII. Old Business None. VIII. New Business a. Approval of polling station locations for elections Sen. Antworth – We’re looking into doing 3 polling stations this year. We had last year one at the student union; in the past we’ve had them at the library and the café. It’s up to you guys where you want to put them this year. Motion from Sen. Amira to approve the location of the 3 polling stations at the Student Union, the Library and the Café. Second. Roll-call vote. Passes 7-0-0. b. Approval of yard signs for election day Sen. Antworth – We have roughly 40 of these signs left over from last year and we ordered them to have them reused over and over again. We’ll put them up the week of elections. Motion from Sen. Amira to approve the yard signs for election day. Second. Roll-call vote. Passes 7-0-0. c. Approval of “Vote today banners” Sen. Antworth – These look similar to the road signs; we’ll place them in the Student Union, outside the health building, near the library, and just at different locations on campus to advertise and promote the elections. Motion from Sen. Moore to approve the “Vote today” banners. Second. No objections. Roll-call vote. Passes 7-0-0. d. Approval of election t-shirts Sen. Antworth – This is one of the designs we have for the tshirts. They’re going to be $3.95 per t-shirt, and we’re looking in to buying about 600. That roughly is about $2,370. We divided up the sizes based on last year’s estimates of the sizes everyone did. I wanted to get your approval or any suggestions. Sen. Brown – Who gets the t-shirts? Sen. Antworth – We’re probably going to hand out a good majority before the elections to promote it and then a lot or the rest we’ll have set up on the election table. When you go through and vote you usually get a slice of pizza or a giveaway, so we’re looking into making this one of the giveaways. Attorney General Lehman – Are the election dates and polling locations on there? Sen. Antworth – Locations are not but the dates are. Attorney General Lehman – What about the time? Sen. Antworth – No just the dates. Attorney General Lehman – It would be a useful marketing tool to maybe put all the information about the elections on there. Sen. Amira – I think the time is self explanatory; it’s the same every year from the morning until late at night. Sen. Moore – I think it would talk up too much space on the shirt. Motion from Sen. Moore to suspend Roberts rules. Second. No objections. Moved. Sen. Antworth – The election dates are in the very front. We have another design; the front on that one is instead of the dates being on the pocket it goes all the way across the front. I can change anything on the back. Sen. Brown – I like it how it is. It’s simple. Advisor Shore – Can you just explain what you did to make it cheaper? Sen. Antworth – I originally had light blue fading on it. And then a couple of the swirl designs had light blue on it as well. But with taking out the light blue and making it only 2 colors instead of 3 it dropped the price from $4.75 to $3.95. And with that lower price we were able to get a lot more t-shirts. Sen. Brown – I think it should stay the 2 colors for promotional purposes. Senator – Do you think the red will be a problem at all? Sen. Antworth - If the red is an issue we’d have to change the entire t-shirt color overall; we have a blue party registered this year. I tried to stick to UNF colors or red, white and blue. e. Discuss election goals Sen. Antworth – Do you have any big goals you’d like to accomplish or see done this election? We’re not going to do online voting for this semester. It’s in the process of being worked on. We will be doing some trial runs, and hopefully it will be up and running for the spring elections. It depends on how everything goes for this election. You guys ad everyone else up on the floor will be partaking in mock elections and we’ll have made up fake run off votes so you can log into the system and see how it works. We’re going to work on loopholes or any Title VI changes needed to be made. We have some conflicts to adjust such as polling stations and campaigning 75-ft away from them. We’re going to start looking at Title VI to see if there’s anything you can think of in violation or that needs changing. f. Discuss election giveaways Sen. Antworth – In years past, we’ve done t-shirts, these are just couple ideas. We’ve done sunglasses in the past, coozies, all sorts of giveaways. I looked up some different pricings for different things. We’re still doing pizza I think. I’ve contacted vendors to hand out anything during the elections. We’ll still do donuts in the morning and pizza during the day. A lot of suggestions are doing the pencils; a lot of people come in for scantrons and ask for pencils. If we got pencils, which are fairly cheap to get, and have the SG election information on there, people will actually use them. People have done stress balls. Pencils you aren’t just going to get tossed. You use them on a daily basis. I looked at cups, I looked into coozies but I don’t think we can do that. Is there anything that you would like to see promote the election? Sen. Carrol – The Florida Lottery last week was giving away pens with stylists on the other side. People really liked it. You don’t usually see that. Sen. Abreu – Are the t-shirts given after they vote or the day of? Sen. Antworth – It’s half and half; we’re going to have the option for students to pick one up after they vote. We’re not just going to hand them out. Students will have to ‘like’ one of our entities on social media for them to be able to pick up the tshirts. Sen. Moore – Why can’t we do cozies? I know athletics did it one year. Sen. Antworth – We can try, but we’d have to get it approve.d I can get some prices and quotes and put it together. Attorney General Lehman – You may want to discuss your budget and how much you want to spend because your line is limited for the fall and spring. Sen. Antworth - We have a $4,000 budget for each semester. Pizza and donut places are in discussion right now about doing giveaways or getting a discount. I know pizza will give a discount for us. I’ve emailed a bunch of different organizations about marketing free food or items on campus during the elections. I don’t want to do something that will get tossed into the bottom of their backpacks or thrown away right after we give it to them. Motion from Sen. Moore to reinstate Robert’s rule. Second. Antworth – We have senate next Friday at 1:00pm. I will be emailing you. If any of you are interested in tabling on Monday, Tuesday, or Wednesday, I’ll be out there at certain times depending on classes to promote that the declaration of intents are due on Wednesday. And just to let students know it’s an option for them to run. I might ask you guys some questions on different thoughts you have. You’re more than welcome to come to my office and share your ideas.
