Program Assistant Department/Division : Programs Job Family: Reports To : Director General Job Code: Level: Role Summary : Responsible for providing administrative and functional support to the ACSS senior management Key Results Area/KPA: - Main Accountabilities Performance Measures / Success criteria/KPI 1. Draft program correspondence 2. Assist with the administration of the fellowships competitions 3. Manage fellowships database and fellow files 4. Liaison with program fellows and prospective fellow applicants 5. Organize logistical details for program workshops and meetings 6. Provide support for Council workshops and meetings (e.g. take meeting notes, write up meeting summaries, following up on meeting logistics including travel and hotel arrangements, catering, folders preparation, etc.) 7. Provide research assistance 8. Administrative tasks, which include, but are not limited to file maintenance, preparing meeting materials, creating databases and spreadsheets 9. Assisting in all aspects of the Council conference and GA meetings 10. Creating a system for membership database, reaching out to members and following up all their requests with guidance from Director General 11. Answering phone calls, receiving visitors, keeping the Director General’s agenda and the Council calendar Educational Requirements: Bachelor Degree in any preferred in a social science discipline but Knowledge, Technical Skills and Experience: Previous administrative experience is a plus Proficient in MS Office, including MS Word, MS Excel, databases and Internet applications Language proficiency: English and Arabic, French is a plus Program Assistant JD - Version 01 Competencies Required: Organizational skills Multi-tasking Attention to detail Teamwork Ability to work under stress Excellent written and oral communication skills Budget responsibilities/Time horizon: None Communications: Internal and external Physical Demands and Working Conditions: Normal office work.
