Purpose for the remote Form I-9:

The remote Form I-9 processing is not for employees who will be physically working on NAU campus. It is for employees who will work at a remote location or online within the United States. To establish identity and employment eligibility, the U.S. Citizenship and Immigration Services ( USCIS ) requires all employees to complete the Form I-9,

Employment Eligibility Verification, on or before the hired date (no later than the third business day of the hired date).

These deadlines are the same for employees working on campus.

Northern Arizona University is continually seeking qualified diverse employees and committed to assisting with the employment process for a seamless experience for new employees. One of the requirements during the hiring process is to ensure that the Form I-9 employment eligibility verification is accurately completed and submitted in a timely manner. Generally, an employee can present his/her employment eligibility document in person at the Human

Resources; however, to support the employees who will work at a remote location or online within the United States departments may follow this process to execute the Form I-9 .

What is a remote employee?

Remote refers to new employees who will work at a remote location or online within the United States other than working on Flagstaff campus. For new employees who will be working here on the Flagstaff campus or Extended

Campuses, you must complete the Form I-9 in the Compliance Center (formally known as HireXpress).

Hiring department must provide:

Essential information necessary to complete Form I-9: o Employment start date o Form I-9 deadline date

A hard copy instructions of the Remote Form I-9 Processing – Remote/Online Employee, if necessary.

A hard copy of the Form I-9 to the employee if it is more convenient. Alternatively, direct the employee to download and print the Form I-9 .

Information on how to locate a Notary Public or NAU Agent in his/her local area to get Form I-9 Section 2 completed. If you have established a relationship with a Notary or NAU agent in the employee’s area, please provide that information to the employee.

The hard copy instructions of the Remote Form I-9 Processing - Notary & NAU Agent for the employee to give to the notary or NAU agent to complete Form I-9 Section 2.

The list of acceptable documents to validate his/her identity and employment eligibility, on page 2 below.

Instructions for the employee to follow to prevent any errors, which might result in employment delays or an adverse action on their employment offer.

The employee a point of contact in your department who can provide immediate and personal employment information upon request.

Additional information if an employee is unsure as to why you are requesting for the Form I-9 and his/her identifications, please refer to the Department of Homeland Security website for more information www.uscis.gov

Thank you for taking the time and taking these precise steps to ensure the employee understands and immediately follows through with the accurate completion and a timely submission of the Form I-9 and photocopies of the acceptable documents within the three days of employment start date.

Employees may present one selection from List A or a combination of one selection from List B and one selection from List C
