Administrative Services Staff Meeting
January 4, 2005

Minutes: The minutes of November 30 were approved.
Vacant Positions: Vic reported that the vice presidents have been asked to update the vacant
position list to reflect vacancies that have occurred since the last revision and those that are
expected to occur (by June 30) and prioritize them. This is for the anticipated discussion of
Phase 2 and Phase 3 positions in Cabinet on January 24. A list of Administrative Services
positions currently listed in Phases 2 and 3 was distributed. Positions to be added:
 Vice President of Administrative Services
 Senior Clerical Assistant (ITS)
 Director of ITS
 Police Dispatcher
 Administrative Assistant (Facilities)
 Electrician
 Police Officer
 Police Officer
 Director of Purchasing
Alex noted that he may need to add an Administrative Assistant to the list if Beverly doesn’t
come back, and Pam noted that as long as she has the position in Facilities, she doesn’t need
additional positions. Managers were then asked to prioritize the positions in their respective
divisions. Criteria that needs to be considered:

Legal Requirements (Ex. - Dispatchers)
2.
Audit Reports (The Audit Report has indicated that some functions have gone undone
due to lack of staffing)
3.
Bargaining Unit Requirements

Ed Code Requirements

The finalized list will be reviewed at the next meeting.
Management Forum: Administrative Services is scheduled to host the Management Forum this
Thursday morning, and it was decided to show the “Celebrate What’s Right” movie (25 – 30
minutes) and provide refreshments (rolls, coffee, fruit platter) as a way to start the new year on a
positive note.
Q-Builder: Donna will lock the system down Thursday through Monday and will send out a
notice to that effect.
Committee Reports/Division Issues
 Alex Kelley
 The new programmer starts on Friday, and the Network Supervisor starts on Monday.
 They are 3/5 of the way through the server updates.
 Alex and Satish should be available tomorrow or Thursday to talk to the task force
about the Portal. Alex noted that the class schedule is correct re: the Portal.
 The funds for the HP computer (new server) should be released.
 The kiosks are in the Warehouse.
 ITS staff members are reviewing the bid specs for the phone system.
 Donna Manno
 The new trainer started yesterday.
 She is working on Flex Day activities for the 9th and 10th.
 James will finish the Omni training for faculty, and they will do new employee
orientation as soon as possible.
 In response to her question regarding the cell phone companies’ requests for space, it
was noted that the college is creating a standard contract for all interested companies.

 Bob Gann
 They reached agreement on a final design layout for the Humanities building, and
everyone signed off on it. Vic noted that in order to avoid some of the “we weren’t
consulted” problems experienced during the Science Complex renovation, it may be
necessary to have an official sign-off person. Bob will look into this. They will have
a team select a construction manager later this month, and they hope to take this to the
Board in February. The current plan is to start bidding in July or August and start
construction in the Fall of 2005.
 The recommendation regarding the design of the parking structure, tennis courts, etc.
will also be going to the Board.
 A selection team will be formed later this month to seek architects for the Student
Services Center replacement.
 There were some delays in the Science Complex work due to rain during the break.
The rain has also caused problems with water infiltrating the basement of the Library,
the Administration Building and others.
 Mike D’Amico
 In response to his question re: ID cards, Satish reported that the vendor was out
during break and was able to print cards, but training is needed. Student cards can be
done immediately; however, employee cards need to go through HR. It was stressed
that the ID system is critical because other vital functions like Timekeeper require ID
cards, and the old system can no longer produce these. David noted that he just
received the 519 on this last week, and it appears that the new system needs its own


room. Since there is no time to create a suitable permanent location for this critical
equipment, it may be necessary to clean out one of the many storage rooms in the area
and place the equipment there as an interim measure.
 The new 911 system is all state funded and will be installed at the end of March. The
only thing ECC has to do is provide the required air conditioning in the 911 room.
 Campus police were asked to ticket the SYSCO trucks that block managers’ parking
spaces.
Pam Fees
 There has been lots of Web and phone registration activity.
 There will be a Job Alike in El Segundo at the end of the month. One topic will be the
County’s change to an IBM mainframe in July.
Satish Warrier
 They did upgrades during Christmas break and now have another set of servers up and
running. These will serve as backups to the firewall, the Portal and the Web. The
next ones to be installed will be on the spam servers.
 A reminder will be sent our regarding the fact that the Infonet will go away at the end
of the month and everyone should have converted to the Portal by then.
 He got an E-mail from John Means during the Christmas break re: Pac Bell phone
moves for the Inglewood Center; however, they haven’t provided any specific dates
yet, and David has not received a 519 yet.
