Counseling and Student Services Division Council Meeting Minutes March 23, 2011 Appointment Center Hired new student workers. Mondays remain busy and students continue to line up for a counseling appointment Planning to pilot and revisit the way appointments are booked. Possible changes are to book appointments over two days instead of only on Mondays. The advisors were discussing that half of the appointments can be booked on Monday and half on Tuesday. Further discussion on how to handle the phone calls. Matriculation The Matriculation Retreat was a success. There was a lot of feedback. Began the planning for New Student Welcome Day. In the process of working on the website application process. Continuing with the completion of the probation contracts notices on the portal that will indicate if a student is on level one or level two probationary status. Currently the only students that have a hold are from fall 2009. Currently in low peak period for the Matriculation Workshops. Registration groups will begin in early August. Dr. Smith requests the Registration groups and/or Matriculation Workshops to be scheduled earlier to accommodate the dates students will register. New student registration begins June 10th Due to computer thefts after the workshops, it was suggested to have a student worker present to ensure the laptop is not stolen. Dr. Smith suggested to have large signs posted informing students that registration workshops are available. A total of 1,373 contracts were processed from May 2010 – March 2011. 96 contracts were processed from February 2011 – March 2011. Athletics On Friday, April 18th there will be a conference in San Mateo honoring the Spring Scholar Ballers at the Men’s Volleyball game. Interest cards are being distributed for fall 2011. Students are advised to come in by May 2011 to get an appointment. The deadline for the Early Access program is April 20th to target more specific populations such as foster youth, minor parents, etc. There will be two open houses in February 1,343 students have priority registration on May 17th. Students were sent an email to complete the Cal Grant verification form. Another grant will be offered in September for those students that didn’t make the March 2nd deadline. FYE information session dates are on the ECC calendar and can be viewed on the Kiosk 120 student from Leuzinger High School attended the information session Five students from FYE will be presenting at the Honors Transfer Program in Irvine Presenting at the California Consortium during the first week of April New student registration workshops will be available in May. Tisa Casas and Geralin Clark are facilitating workshops. Psychological In-Service to diffuse hostile students The CSU admissions will be reduced by 10,000 students The 25th Anniversary will be on June 2, 2011 Information sessions in April FYE SRC Puente Transfer Center 40 representatives at the University Fair The Black College Expo is April 21st Elaine Moore and Sue Oda-Omori are collaborating 21 representatives are confirmed Morehouse University and Clark Atlanta University graduates will be speaking at the Black College Fair Fine Arts panel had 120 students Dance Panel had 60 students The Northern California Tour is scheduled during spring break Dean’s Update Maribel Hernandez received three applause clauses There will be a categorical meeting to discuss the projected 20% budget cuts Division Council Meeting Minutes 3-23-11 Counseling and Student Services Division Council Meeting Minutes March 23, 2011 Dr. Smith requested to order new computers but the request was denied due to the fact that the old computers were not old enough to replace. Dr. Nishime would like to do an study to assess the students that complete an online orientation verses the students that complete an in person orientation.
