ENROLLMENT SERVICES DIVISION COUNCIL MEETING DATE: MAY 9, 2014 Chairperson: William Garcia Members Present: Theresa Clifford, Lorena Garcia, Ngoc Tran, Breanna von Stein Recorder: Lucy Nelson The meeting began at 9:00 a.m. Review Minutes of April 18, 2014 1. Correction: Page 2, #2 – “…Supplemental Education Opportunity Grant (SEOG)…” change to Supplemental Educational Opportunity Grant. 2. The April 18, 2014 minutes were approved as amended. Updates 1. The College Board will be testing mobile devices (i.e. IPads) to see if these devices can be used with the assessment software, Accuplacer. Vicki Lockridge will be adding the purchase of 30 mobile devices to the Assessment/Testing plans. Outreach & School Relations tested 1,000 high school students off-campus and at the ECC Library. Some high schools do not have compatible software and equipment to run Accuplacer. A discussion took place on the use of technology in education and ways to incorporate technology in Enrollment Services. 2. New Student Services Building – Student Services Center managers met with the architects and the proposed plans for the new Student Services building were distributed for review. The new building is projected to be completed by Spring 2017 and will be located off Manhattan Beach Blvd. on the current automotive shops site. The new building will not include the Student Activities Center. A multi-storied parking structure will be built where the current Industry & Technology building is located. A new Student Activities Center will be built where the current Student Services Center building is located. Division Council members should talk to their managers if they want to see the building plans. a. Offices located of the first floor will include: Admissions &Records, Veterans Center, International Students, Special Resource Center, Assessment/Testing, Community Education, Campus Police Substation, Online Center (computer center), Information Desk, unisex/family public restrooms and staff restrooms. The building’s main entrances will be on the west, east, and south sides of the building. SRC and Community Education will have separate entrances to the outside. b. Offices located on the second floor will include: EOP&S, CalWORKs/Care, Counseling, Financial Aid, Foster Care, First Year Experience, Enrollment Services Division Office, computer labs, lactation room, staff and public restrooms, workshop/orientation rooms, and staff lounge. The building will have 2 elevators and 3 staircases. c. Departments will have less space than their current location so offices need to be purged before the move. 3. The Financial Aid front counter move to the Administration Building is scheduled for the last two weeks in May. Seven Financial Aid Assistants, Hortense Cooper, Chris Kato and the walk-in advisor will move to the old cashiers’ office in Administration 138. The move is to assure security for the employees and provide better customer service to students. 4. The entire campus community will be notified of the move through email, signage, the Web, etc. The move will take place without disruption to service. The Financial Aid lab will remain in its current location in SSVC 204G. 5. The council discussed priority registration issues related to information provided to students when they complete the online application. It is the job of Student Services to address these issues. Pre-requisite issues for students were discussed. 6. Information Technology Services will address the constituency error message issue. 7. New in-district students who meet the three core requirements (assessment, orientation and educational plan) will have priority registration over continuing students. The challenge for the FYE program is not being ready to register their students into co-hort classes when FYE students are eligible for priority registration. 8. The council discussed the pros and cons of having separate summer and fall registration periods and how it would affect services for students (i.e. counseling and financial aid). 9. The council agreed to meet only if necessary during the summer and will resume regular meetings in August. The meeting adjourned at 9:54 a.m. 2
