Review Meeting Minutes
1. Page 1, Updates - #5a – corrected spelling of “Center.”
2. The minutes were approved as amended.
Updates
1. The Financial Aid Office is in the process of creating a flyer that would promote the 20152016 June 1st Priority Deadline incentive for students who file the Free Application for
Federal Student Aid (FAFSA), submit all required documentation to the Financial Aid Office
by June 1st and meet all eligibility requirements will be disbursed financial aid during the
first week of the fall semester. The flyer will be shared with Outreach and the information
will be posted on the Student Services Center lobby plasmas.
2. The Friday, May 8th Division Council meeting is cancelled in preparation for the May 15th
Commencement ceremony. It was proposed that the Council meet during the summer when
issues typically occur. The members preferred a 9:00am morning meeting. This is the last
meeting that will be attended by Kimberly Garcia, ASO representative.
3. March 31st was advertised as the deadline for students to fulfill the requirements to meet
priority registration; ITS was asked to include students who completed the requirements
through April 9th. Some challenges/concerns discussed include:
a. Concurrently enrolled students who are flagged differently by Admissions and
Records.
b. Students who incorrectly completed their applications.
c. Students who applied for Fall 2015 but wanted to attend Summer 2015. Those
students will have to also apply for Summer 2015. There are still scheduling conflicts
for high school students who want to attend in the summer.
d. Students who thought they completed the three requirements but didn’t – i.e. they
tested only for either Math or English; or met with a counselor without completing an
education plan.
e. Students who used their OpenCCC application confirmation number as their ECC
Student ID number.
f. If a returning student enters the same information when applying again, they should
receive the same ECC ID number. Students must report to A&R if they receive two
different ID numbers. When this happens, A&R must combine both profiles, which is
a time consuming process.
g. A discussion about exemptions for those who have taken Early Alert Program (EAP)
or Advanced Placement (AP) exams will take place in early June. William Garcia will
update the division council members on this issue.
h. A discussion took place regarding students who test before completing an ed plan.
4. Students should be checking their ECC email and MyECC for information regarding their
financial aid status before the end of the spring semester. Students must apply each year for
financial aid.
5. The updated AB 540 flyer will be emailed to the council members. There were changes to
the state law that allows more students to be eligible for state-based aid. The one-page
updated flyer replaces the two-sided flyers.
6. Kimberly Garcia is exploring ways to better inform students about scholarships. She is
working with the Foundation office on this project and is developing a student survey. “How
would you like to receive information about scholarships?” was one question suggested.
a. Ways to better inform students about scholarships - suggestions included notification
by emails, flyers, in-class announcements, text messages, and social media including
Facebook, Instagram, and Twitter.
b. The Foundation office created flyers promoting scholarships. Lorena Garcia asked
for copies of the flyers to hand out in the Assessment/Testing office.
c. Reading Success Center workshops are being promoted to help students who have
difficulty in completing the essay section on the scholarship application.
d. Students are getting incorrect information that the scholarships cannot be used outside
of El Camino, further discouraging them to apply. Each year with the number of
scholarships they have, the Foundation does not have enough students to award.
Students should express their concern to the Foundation and donors if scholarships
are mostly for tuition and books - 50% of ECC students receive BOG fee waivers and
EOP&S participants are provided book vouchers. If a student has a loan, a
scholarship would reduce the loan amount.
7. Students who applied for Fall 2014 instead of Fall 2015 will receive a message, “Cannot add
courses because not on undergraduate plan.” Those who receive this message will be asked
to re-apply for Fall 2015, to check with A&R or to go to the Outreach office for help. They
should bring their error message with them if they go to A&R or Outreach. These students
will still be able to receive a registration date and time.
8. For both Torrance and Compton campuses, students cannot use the ASB $10 fee opt out
option for mid-term classes.
