Problem/Opportunity definition: Describe the request and explain the need for a Systems solution or
service.
Also describe the process or situation as it exists today.
It has been determined that staff members need a secure ‘work area’ where they can house data from a variety of data
sources. This would serve as an area where they are able to import data from a single or multiple sources that can be
manipulated and/or shared with other staff.
Expert users on the mainframe traditionally had the ability to store data files on which they were working. This work
may have involved ad hoc reporting requests from executives, investigation of data issues, or specialized analytical
studies. The need for an area where a skilled user can temporarily store files remains, but the intention is for the
mainframe to go away. Currently, these users are already turning to their own LAN drives to store this data. This does
not meet user needs when the files need to be shared with staff across areas. This request does not specify the
technology to be used for the secure work area. The initiative needs to include IT infrastructure and security staff to
identify the best solution, although LAN space and database space seem to be among the potential options.
A prime example would be the Work Force files that reside in DSS. The implementation of Cognos will enable the
movement of data to this work area through Framework manager and allow the use of a single reporting tool to be used
against all data.

Problem/Opportunity Objectives: Include the desired objectives that need to be met and the requested
deliverables.
Some of the guidelines related this area would include:
- The work area is a read/write area.
- It may be a staging area for moving data to the data mart. This is one place where report development and data file
development can be done.
- It can be viewed as a personal work area for "Expert" users. Expert users deal with first-line support problems and
queries in specific business areas. These "Expert" users may have a need to combine data from multiple data sources.
They would use this area to manipulate that data. They could also copy datasets from other sources, move them to the
work area and do further manipulations.
- This area needs to be structured to allow limited access to segments of data as deemed necessary and in accordance
with ‘to be’ established guidelines.

Scope: Describe the request scope. Include information such as the business process being addressed, the locations
that are within the scope of the above problem/opportunity definition, and the number of employees by location that
would be likely to utilize a software solution. If the desired solution is going to be extended to other locations,
employees or other business processes in the future please describe
The scope of this effort will be dictated by determining the following (some basic analysis was completed through the
ReportSpace project):
The definition of the types and sources of data that may be imported into the secure work area.
Identification all areas of the university that could benefit from the development of the secure work area.
The appropriate technical structure of the secure work area that will satisfy the defined needs.
Benefits: Describe all known qualitative or quantitative benefits that would be achieved by an implemented SSG
solution or service. Consider Net Cost/Benefit via process efficiency, EVA, Increase in market share, external customer
benefits, and legally required
A uniform, controlled and secure work data work area that can be used for manipulation and sharing of data.
A repository where data from multiple sources can be stored and manipulated to expand reporting capabilities.
A data repository that allows collaborative efforts to manipulate information to address user requirements.
Use of a common reporting tool to manipulate data from a variety of data sources.
Please justify the desired target date listed above. List any deadlines, whether governmental or
otherwise, which are driving the desired implementation date.
This is needed by/before Jan 2009 for the initial build out of the SAP BW. Super and power users will begin to develop
reports with the new SAP BW info providers at that time or they may be working with the Cognos tool to gain good
working experience with its functionality using various data sources. Both instances would require the use of the secure
work area.
Cost: Please ensure that all lifecycle costs are included. There should be sufficient contingency to completely cover the
cost of the request. Ideally this estimated cost should reduce as the request progresses and more accuracy is possible.

When the Customer has completed the Service Request form it should be sent by EMAIL to SSG team manager for that area.

The SSG Team Manager with SSG resources, will calculate the estimated cost of the request and enter the details on the form.

The SSG Team Manager will arrange to review the project, and the associated costs, with the primary contact, at a mutually
convenient time.
