Meeting Minutes Assessment Committee October 4, 2013 Action Items: Randy Storms will provide copies of his Division cheat sheet, examples with the Committee. Anne will draft a document of other college’s program outcomes and forward to NCSC faculty as well as post the document on the Assessment website. It was decided that Anne will send email to faculty with a detailed message, the sample program outcome document in PDF format and a link to the assessment website for faculty to use. Discussion followed whether or not changes (adding program outcomes, changing wording or bloom verbs, etc.) would then also have to go through OBR. It was decided that this is actually a Curriculum Committee question and that we should wait on their response. Anne will forward reply as soon as she gets it. Dr. Reed advised she will discuss time involved with website maintenance with Gina and report back her recommendation to the committee. Anne will also check with IT to make sure the Assessment email group is up to date. Anne will forward Lisa Music documents from yesterday. Anne will send a confirmation notice out regarding the November meeting to the committee. Members Present: Bob Lewis, Randy Storms, Dr. Reed, Gina Kamwithi, Jen Adkins, Richard Birk, Ellen Johnson, Lisa Music and Anne Strouth. Members Absent: Linda Jagielo, Dean Jim Hull Anne Strouth opened the meeting confirming that members present had reviewed the September 13 and September 20th meeting minutes that were emailed. September 20th meeting minutes were approved by email. Division/Department Meeting Reports Health Science: Ellen Johnson reported that all faculty were shown how to use the rubrics. Questions regarding a rubrics relationship to the grade book and integrating the rubric into courses were covered. All faculty are now trained on implementing the rubric. Health Sciences Administrative Assistant noted in the Division minutes where faculty should to go for the tutorial and who to contact if they needed further assistance or additional questions. Program outcomes and comparison to 5 other programs - Nursing has been assigned this task and will report back during department meetings not the next division meeting. In regards to thoughts regarding the value of the rubrics - comments were more towards how to implement them and that they do seem user friendly. In regards to the question will the rubrics help nursing -comments included that in the end the rubrics will document that there is assessment in place and can provide data regarding attainment of skills and/or identify ways to do things differently. Richard Birk area: Richard Birk shared that Gina Kamwithi and Dr. Reed also attended their division meeting. Gina made a presentation and fielded questions and concerns. Richard shared that the problem he had is that he had been operating under the assumption all faculty used Canvas and therefore were familiar with Canvas and its interface. He stated the lack of this might create a steeper learning curve for those faculty that have no prior canvas experience. Discussion followed including that all faculty should be familiar with Canvas. Many NCSC students are expected to use Canvas (other than health science) as well as NCSC adjunct. The general consensus was that even if some departments do not use Canvas, faculty should be up to speed and that with the appropriate training and support they’ll be good to go. Program outcomes – It was reported that the Psych AS is a work in progress but that program outcomes have not yet been addressed. Yes this is being discussed at the department level and that OSU – M is now accepting the AA and AS Psychology degree. The questions were raised as to what is the goal to have them defined and written as well as whether or not there is a deadline. It was shared that there are 5 outcomes developed but they are not yet through department approval even though they are useable. Business, Industry &Technology: Jen Adkins and Randy Storms shared that the Assistant Dean Lynn jones covered the timeline and that they shared a cheat sheet with faculty for use of the rubrics as well as a demonstration. Randy advised he will provide a copy of the cheat sheet with the Committee that provides good examples for faculty to use. Anne shared that she also provided examples for Criminal Justice and that she can copy other examples from other Colleges to provide a good starting point for faculty. Discussion followed. It was decided that Anne will draft a document of example program outcomes and forward to NCSC faculty for their use. Randy did share information regarding the assessment website with BIT faculty and suggested adding the sample document to the website also. Discussion followed. It was decided that Anne will send email to faculty with a detailed message, the document in PDF format and a link to the assessment website for faculty to use. Randy indicated that during the Division meeting questions came up in regards to ‘how do I know what course or core outcomes to use and where are they’ as well as ‘if I don’t have a program do I have to do a rubric’. Discussion followed which included that this information was provided to all faculty at Convocation and elsewhere, that yes, each full-time faculty has to do a rubric that they will have to pick out a course, the outcome and work with their assistant dean. Randy explained that he expected negativity but didn’t expect some to think they didn’t’ have to do it. He tried to explain that this is not a graded exercise but a pilot to see if useable data can be pulled from a rubric. The concern with the rubric showing up in Canvas as a graded assignment was raised. Discussion followed that the student will see a 0. Members present indicated that some faculty are providing a link in Canvas to explain that this is a non-graded rubric column or just adding a comment in Canvas. Public Service & Education: Anne shared that her faculty are all trained but did have some question. As they were working together to identify the outcomes they also changed some Bloom Verbs. She advised she sent a notice to the Dean and Curriculum committee and is waiting on a response as to whether or not changes for wording, verbs, etc. need to go through Curriculum Committee and how this will effect making the deadline, but has not yet received a response. Clerical Work/Web Updates to Assessment Page -Who should be doing this? Anne asked for clarification from the committee in regards to who should be updating the website and doing basic clerical work for the committee. Discussion followed. Dr. Reed advised she will discuss time involved with website maintenance with Gina and report back her recommendation to the committee. In regards to clerical Terry Miller will continue to do the first draft of the meeting minutes but then forward to them to Anne for proofing and distribution through email for approval, etc. Anne will also check with IT to make sure the Assessment email group is up to date. Anne will forward Lisa Music documents from yesterday. It was also decided that Terry Miller will create documents, etc. for the Committee as needed. When possible, drafts will be provided to Terry for rework. Set Assessment Committee Goals for the Remainder of the Semester, (Where should we be, what should we be doing?) Since the Assistant Deans will be tracking faculty progress, the recommendation was made to have the next meeting after the division meetings in November to capture what happen in the division meetings.
