Banquet Committee
September 4, 2012
Present: Karen Bays, Tori Babcock, Kay Martz
1. Election of Chair and Recording Secretary:
Karen Bays elected committee chair, Tori Babcock elected recording secretary.
2. Discuss 1 or 2 awards nights/banquets:
For 2012 there will be one Banquet/Awards night. Committee will see how matter can be made shorter.
3. Elections – Fiscal year (May or Nov)
This will depend on how the voting goes on proposed constitution changes.
4. Thursday, November 8th at High School
This is the tentative date that has been reserved. Committee recommends going with this date.
5. Meal Choice:
Pulled Pork and Chicken, Mashed Potatoes, California Blend with cheese sauce, Corn
Brownie with ice Cream
Drinks: Milk, coffee, punch/lemonade and water
6. Silent Auction Items: Will again ask each club to bring 1 item for the silent auction
7. Table Decorations/Door Prizes: Each club will be asked to bring 2 items. This is one area that will try to change
to make the handing out of door prizes go quicker.
8. Theme Suggestions: Ask clubs to submit theme ideas by Friday, November 2nd. These will be voted on by all
attending the banquet.
9. 2012 PowerPoint and photos:
Ask at association meeting for a volunteer to put together power point.
10. Invitation: Tori will update the invitation. Deadline date to be October 26th.
11. Displays:
Letter to be sent to the following to do displays: Trip Winners, they will also present to next year’s winner,
National Shooting Sports participants, Countywide Projects, State Fair Eligible Projects chosen at this year’s fair,
and a display of Scholarship Winners.
**In letter to trip winners, will put “If you are unable to attend in person, could you please make the effort to
have a display at the banquet to provide information to 4-H members.”
12. Review Banquet Lay-out
Will leave same as last year. Will discuss presenters at next meeting. Will not have a 50/50 drawing this year.
13. Will send reminder to clubs about award nominations and other items for the banquet with deadline dates.
14. Next meeting to be set at September Association meeting.
