1. Summary Statement: State the major function(s) of the position and its role in the
university. Attach an organizational chart with positions, ranges, and names for the division
which reflects the position in it as well as those supervised in the department. (This section is
used for advertisement of the position.)
The Fiscal Officer, Nevada Humanities (NH), reports to the Executive Director of NH and under
his/her general supervision oversees the financial management of the unit’s federal grants from
various and diverse funding agencies, and private grants and funds from organizations and
individuals. Incumbent works closely with the Controller’s office in setting up and maintaining the
accounts. The Fiscal Officer prepares the annual financial reports for the funding agency (National
Endowment for the Humanities) and NH Board of Trustees, oversees the extensive audit of the
accounts required by funding agency, and maintains the NH complete and accurate financial records.
Grant accounts may be over multiple years and include in-kind contributions as well as cash gifts and
donations.
NH is engaged in statewide public programming and educational enhancement in the humanities,
which is in accord with the University of Nevada, Reno’s mission of serving the educational needs of
the people of Nevada. The public programs, teachers’ institutes, and other activities of NH are carried
out in close collaboration with faculty and staff throughout Nevada System of Higher Education. This
is reflected in the fact that university and community college faculty sit on the NH Board of Trustees,
are involved in planning NH public programs, teach in NH sponsored educational programs, and are
recipients of NH grants.

30% - Budget Management
 Oversee the financial management of Nevada Humanities federal and private grants and
funds from various and diverse funding agencies, organizations. and individuals
 Work closely with the Controller’s office in setting up and maintaining the accounts
 Manage receipt and disbursement of funds
 Draft, complete, and manage Nevada Humanities annual operating budget (in collaboration
with the Executive Director)
30% - Record Keeping
 Maintain complete and accurate financial and organizational records
 Maintain donor records
 Maintain records of in-kind contributions
 Track costs of fund raisers and special programs
 Assist with the knowledge of and compliance of NH and UNR policies and procedures
 Assist with personnel administration as needed
20% - Report Preparation and Submission
 Prepare monthly financial statements for NH Executive Director and NH Board of Trustees
 Reconcile internal records to monthly status reports from UNR
 Prepare the annual financial reports for the funding agency and NH Board of Trustees
 Prepare year-end reports for the Internal Revenue Service
 Submit the fiscal elements of applications and reports to grantors as needed
 Manage grants from grantors

10% - Account Auditing
 Monitor files of approximately 60 grantees each year and assist with final reporting and fiscal
issues when needed
 Maintain NH and grantee program statistics for evaluation and NEH compliance
 Oversee the extensive audit of NH accounts required by funding agency (NEH)
10% - Grant Application Preparation
 Prepare detailed budgets and budget notes for grant applications to federal agencies,
grantors, and private foundations
3. Describe the level of freedom to take action and make decisions with or without
supervision and how the results of the work performed impact the department, division and/or
the university as a whole.
Level of Freedom:
NH, either through grants to community organizations or through self-sponsored programs, provides
support for humanities-related programs and educational opportunities throughout Nevada. The
individual works closely with, but with a latitude of independence in decision-making, the Executive
Director, NH, on decisions associated with the position. The Fiscal Officer is responsible for keeping
proper financial records which involves handling of public monies.
Impact:
Errors in accounting, failure to keep proper records, and/or a lack of understanding of the
accountability related to public money all could potentially cause inconvenience to constituents or
directly impact the perception and reputation of NH and UNR. The job well done ensures a friendly,
professional association with funding agencies, UNR, and the public. Inadequate performance may
result in contractual obligation failures and dissatisfaction resulting in loss of future funding.
