PACE GENERAL BOARD MEETING February 19, 2013 2:00 p.m. – SC 213a PACE Board Present: Alexis Palmer, Brett McKeachnie, Joel Herd, Beth Winkler, Ellen Draper, Pam Petro, Kimberly Barraclough, Matt Reichman, Stephanie Albach, Jolene Chamberlain, Linda Moore, Marsha Haynes, Lesli Baker, Rachael Solomon, Christie Snyder, Shalece Nuttall, Becky Zabriskie, Kris Coles, Marcy Glassford, Leia Pakalani, Kurt Ashworth, Kathy Jones Guests: 1. Welcome and Call to Order. Alexis Palmer, PACE President, welcomed all board members and visitors. 2. PACE Wall. The PACE wall will be located in the Grande Ballroom commons. Currently, we are in the design phase. Names of those who have received a PACE distinguished award will be posted on the wall. 3. Legislative Initiatives. UVU recently attended the Legislative Day at the Capitol. Becky Longhart talked to the group during their visit. Christie encouraged everyone to get involved in the legislative process. The current session goes through March. Cameron Martin also addressed the group. Individuals/groups can meet with legislators. Appointments can be secured by calling the main number to get an email address for a specific intern February 12 is the USHE day at the Capitol. Vacation or personal time must be used for time off. If interested, contact Christie Snyder for more details. She will send out an email to invite staff members to attend. Quick fact cards to be given to participants. 4. Great Colleges to Work for Survey. Alexis recently met with the Faculty Senate to identify joint ideas. These ideas were presented to the Board for feedback prior to presentation in President’s Council. Points of interest include: As part of the tuition waiver benefit, allow all children of full-time employees, married or unmarried, under 26 years of age to qualify for the benefit. Employee Appreciation and Recognition (Gifts and Rewards) – Policy 211 is in need of revision in terms of what can be offered to an employee as recognition. Allow flexible work schedules for Staff and Faculty to take courses or take care of personal matters. Extend the tuition waiver for staff employees to include master’s level programs. Communications – publish the minutes (redacted if needed) from all administrative level meetings (to be identified). Further detail was discussed before voting. The Board approved all ideas unanimously. 6. Award Deadline. The PACE distinguished employee award deadline is January 31. Nomination will go to the committee and decisions will be made by February 15. Recipients will be recognized during Summer University events. Trophies/nomination verbiage will be given to individuals. All nominees will receive 1|Page information about their nomination. Awards for full-time staff (who have worked at UVU for at least 3 years) will be $1,000. Part-time staff, who have worked at UVU for at least 1 year, are eligible for $500 awards. Past recipients cannot receive the PACE awards again for at least three years. Accomplishments should be tied to the University Core Themes. Presidential and Trustee nominations are due to Karen Olsen in the President’s office by January 25. 7. Benefits. During the most recent Benefit Committee meeting, the high deductible plan option was discussed and is likely to be approved. It will be presented in President’s Council by Human Resources. Comments made and gathered by PACE have been considered. Premium must go up to sustain plan. Funding sources for additional premium costs may come from the legislature, the institution, or our own paychecks. Actual numbers will be available at the next PACE General Board meeting in February. It is important for senators to tell people in their areas to take advantage of upcoming training sessions which will discuss plan options. Open enrollment will be in mid-April. Training dates are forthcoming. 8. Communication Strategies. To improve communication efforts with staff members across the institution, senators suggested the following communication strategies: Brief emails Post-it notes on desks Discussion in staff meetings Copies of Board minutes placed in mailboxes Speak directly to individuals Senators and all other Board members are encouraged to improve communication with staff and make a concerted effort to find ways to accomplish this task.
