Web Advisory Committee MEETING MINUTES - SEPTEMBER 4, 2013 In Attendance: Cal Anderson, Beverly Bavaro, Brandie Davis, Kate Kirkpatrick, Echo Lynch, Thomas Dobbert Meeting Called to Order: 11:00 a.m. Current Business Web Content Management Software (CMS) Migration and New Site Design Cal gave updates on the website and CMS. Where we are at with migration/implementation: • • Finishing up the build and reviewing/testing functionality and reporting issues for fixing. Going live very early on September 20 (6 a.m.) and on that day will work to fix most major 404 issues and all database records for documents and forms, since all PDF paths/links will change. • Root URLs will be okay, but deeper links will probably change/break in many cases. All friendly subdomains will still redirect correctly. Outstanding Challenges/ what happens going in to Sept 20: • Web Services will work with PIO and IT HelpDesk for any faculty/staff/student questions or problems that may arise during the transition. Web Services will provide them with a "cheat sheet" for common questions. • Between now and 9/20 there will be communication sent to all Web Content Providers (department web liaisons who are trained to submit updates) to preview their sites and test their online forms. Links will be provided so they can see what's coming. This will serve two purposes: as a "heads up" and to ask them to refrain from contacting us until after the launch date of 9/20. • Web Services is coordinating the launch with the IT network team. A lot going on with moving to two new servers, as well as implementation of the CMS and launching the web redesign. • For the time being, Web Services will maintain the same system for departments to make changes to their web page content. Departments will continue to send all changes to Web Services. A training plan will be developed, and Web Services will roll out classes/workshops for web content providers on how to use the CMS. Still need to create workflows and processes prior to implementing the training. • Patience requested as learning cycle continues. Phase II/What happens after Sept. 20: • Web Services has already been meeting with PIO and began training their staff on entering news into the CMS for homepage and /news/ pages. • Web Services will use and monitor CMS to update the TMCC site through the month of October. • By early winter 2014 will develop training; should be able to announce training for first group of web content providers before spring. This will include How to Write for the Web (using the TMCC Style Sheet and AP Style Guide), which will be a pre-requisite. They will then develop and offer basic/beginning and intermediate/advanced level workshops/classes. • Develop Mobile site using CMS and creating mobile skins. Will also work to re-skin applications that use the old look and feel (PLARP and the self-service tools/webapps). Preview of Site Cal gave a demo of the new website. He reiterated that there will be workflow in place once training has been provided so that Web Services will still remain the final authority prior to content being published. Publishing happens at determined times for approved content. CMS publishes to its own server every hour or so publishes to production server. Other Business • Google Analytics o WebTrends support has sunsetted. o Departments can contact Web Services for Google Analytics monthly reports. Custom reports can be built if requested. Will need to work with IT server team to filter out TMCC hits. o Still working out some bugs in generating the reports. o Been using GA for five years so plenty of data available.
