Web Advisory Committee MEETING MINUTES – FEBRUARY 5, 2014 In Attendance: Cal Anderson, Beverly Bavaro, Kathy Berry, Echo Lynch, Craig Rodrigue, Amanda Sagun, Chantal Smithson Meeting Called to Order: 11:00 a.m. Current Business Web Content Management System (CMS) Migration and New Site Design Go live, using CMS • New website design and CMS have been live since September 2013. Feedback has been almost universally positive. Training and upcoming classes for departments on using the new CMS • Web Services will be rolling out training later this month, beginning with a 30 minute intro: "Writing for the Web", which will include a comprehensive document to help reinforce content consistency across departments; this document will be a sort of reference "bible". • After completing the Writing for the Web class, a select group of Web Content Providers will be invited to the inaugural CMS contributor training class (CMS 101). This class will teach users how to make basic edits to existing departmental Web pages. After working out any bugs in the class and getting feedback from participants, the class will be offered to the larger group of Web Content Providers. • The next class in the future for Web Content Providers who have successfully mastered the basics, would be an advanced class which will show users how to add new content, etc. • Web Services will still be doing all updates, etc. for any department not yet trained and/or until the department's Web Content Provider is able to fully master the training. • Cal gave an overview of the classes and materials in draft form. • There was a discussion of the WuFoo software online form builder tool that Web Services uses to create some of the TMCC online forms. Upcoming Projects • Web Services still needs to migrate some specialized department websites, including: Child Care, The Meadow, Washoe Community Ed, Campus Tour, etc. into the CMS (this involves creating new templates, etc.) • • Cal will be dedicating much of this year to developing a TMCC Mobile Site using the CMS o Better mobile architecture; a true mobile site o One site, one update ("One Site Rules Them All") o UNR just launched new site using responsive design; works well with mobile/various sized devices Re-skin external sites and applications that use old look and feel (PLARP, Self-Service, etc.) Page 1 of 2; Meeting Minutes – February 5, 2014 TMCC is an EEO/AA institution. Created: 2/13/2014; Rev: 2/14/2014 Web Advisory Committee Meeting Minutes - February 5, 2014 Other Business • Google Analytics Web activity reports are now available and being generated on request by departments. • Web Services has a planned annual department site review process now in progress. o There will be sit down meetings with department representatives throughout the year to discuss web content and structure. o Will be reviewing all online documents and forms to assess PDF vs. online and what is the best format/benefits long term in the CMS. • TMCC's Web presence is moving towards fewer online PDFs and more HTML pages and WuFoo/HTML forms. What this means is that content that was once set up to be a downloadable document can now be a Web page instead, making it more searchable and, once CMS training is underway, updatable by department Web Content Providers. • New site feedback/comments (new site has been live for four months) o Echo and Kathy commented that having the Events Calendar on the home page is phenomenal. o Kathy asked "can we submit events/news for inclusion on the home page"? Cal replied that, yes, submit directly to PIO. PIO staff have been trained in CMS for posting news items to the website.
