March 26, 2012
Present: Interim Dean Connie Foster, Deana Groves, Brian Coutts, Timothy
Mullin, Haiwang Yuan, Amy Hardin, Jennifer Wilson, Bryan Carson, guests: John
Gottfried, Dan Forrest and Jan Renusch
Information Commons Visits: Brian introduced the PowerPoint presentations of
the various venues visited by Bryan Carson, Dan Forrest, John Gottfried, and
himself. Bryan Carson visited the Belk Library at Appalachian State
University. Dan Forrest, John Gottfried, Brian Coutts and Connie Foster
visited the libraries at Eastern Kentucky University, University of Kentucky
and Indiana State University. The presentations centered on the Information
Commons at each library, either newly built or renovated. Their presentations
concluded with ideas that WKU Libraries could possibly incorporate into its
planning process.
Minutes: The March 19, 2012, minutes were approved as submitted on a motion
by Haiwang Yuan and a second by Deana Groves.
Dean’s Report: Connie reviewed the 2012 Summer Hours Schedule for the
University and WKU Libraries. After discussion the schedule was approved by
the Council.
-Connie announced that the Student Activities Offices will be moving to the
Cravens ground floor due to the renovation of DUC. They will be building a
wall separating the two sides of 0013 and the office doors will be recored.
-Connie requested summaries of Reference questions for the month of April.
-A graduate students’ Orientation Week will be the second week of September
in the libraries. Connie would like planning to start as soon as possible.
Web & Emerging Technologies: Haiwang reported that he had activated the mobile
device mode on LibGuides in DC after he learned of the capability at the
Computers in Libraries annual conference. Users of smart phones can now get a
device-friendlier interface of this online research guides platform. He also
learned that some libraries use their institutions’ bursar offices for
collecting library fines. He was also told about an online service known as
SIP for that purpose. Haiwang said he had learned a lot from the conference
and thanked the Interim Dean Connie Foster for support. He learned from
strategies for e-book deployment to reference service redesign, from cloud
computing to the semantic web, and from cool Web design ideas to useful
smartphone and online applications.
Development: Amy continues to work with Kristie Lowry and the SOKY Book Fest
Committee to prepare for the event in April. Southern Foods will again
provide snacks for author bags. DGLF application has been submitted; awaiting
response. Smuckers has been approached; awaiting response.
-Great response to US Bank art show. Thanks to Jennifer for assistance in
stewarding Craig Browning.
-Amy is working with Christine Sowders on LAC agenda.
-Amy is reviewing the concerns of Marilyn Forney to ensure satisfaction with
gift processing.
Marketing: Jennifer mentioned that Kristie had a meeting for the SOKY Book
Fest group to touch base on preparation for next month’s big event. She
clarified with Amy in Development that Dollar General logos need to be placed
on all the promotional materials as the grant commitment is forth coming. She
mentioned the Daily News asked for 4 of our 28 pages in the tabloid for
advertising and wondered if that changes their contributor status since they
are looking to have advertisers pay for what used to be their in-kind
commitment.
-In regard to other publications, Jennifer stated the Library Reference
Guides are almost gone. Brian Coutts said we should get 500 more of the same
to make it through the summer and make copy adjustments for the fall.
-Jennifer will be contacting Tori Henninger in Alumni Affairs regarding the
Big Red Search to see if we can be a part of that program and will also
contact Blair Silliman to participate in a day program.
Grants & Projects: Bryan reported that the editor of The Abacus (a planner
and calendar given to all incoming students) has asked for a paragraph on the
library. Bryan also presented the penultimate version of the library survey
for comments, along with the consent form and the application for Human
Subjects review.
Department Reports:
DLTS: Deana reported that Amanda Drost will be attending the 2012
International Conference of Indigenous Archives, Libraries and Museums, June
4-7, 2012 in Tulsa, Oklahoma.
-87 Chinese books were received from the Confucius Institute on Friday.
-Nelda Sims and Deana are evaluating the test MARCIVE authority records.
-WKU Library Student Research Award committee received nominations. There are
8 UCC 175 and 11 UC 175 nominations. The winners will be chosen by the end of
March.
-Jack Montgomery reports that Acquisitions is reorganizing the way orders are
searched/verified and placed and the flow of orders has begun again. Over
700 orders have been searched in the last two weeks.
Technology Highlights: The Library Systems Office provided tech support for:
DLTS: added correct Voyager testing ini file on two computers for users to
test records in the MARCIVE Authority record project; dealt w/problems two
staff were having with their desktop printers; verified that instructor’s pc
in VPAL lab had software installed for training sessions on use of the OCLC
Connection client; verified for faculty member that message regarding pending
Windows updates were legitimate; continuing to work w/IT TSS unit on one
faculty member’s computer –currently being used by staff member, but still
having operational problems.
DLPS: adjusted time-out settings on three computers at VPAL Circulation Desk;
trouble shooting possible hardware issues on Reference Desk computer in
Owensboro campus library; imaged a computer and installed software for
visiting scholar (Ricardo Marin Ruiz) to use in Departmental office while
here – advised departmental office on procedure for requesting a temporary
guest network account; investigated reported problem w/scanning station
computer in Helm 201 – problem was not machine or software related; dealt
with problems involving two keyboards on computers at Cravens 4th floor
Circulation desk; resolved paper jam problem in Circulation area
Systems: participating in ongoing discussions between the Library, TDNet,
Thompson-Reuters (Web of Science), and OCLC to get linkage in TDNet to work
w/our OCLC ILLiad system; continuing computer preventative maintenance and
updates in all areas of the Library; Josh continued to work on DLTS reports
and TOPSCHOLAR monthly report, gathering cataloging information for special
project.
DLSC: Timothy reported that they will maintain the regularly posted hours for
the summer hours schedule for the sake of the patrons. Adjustments will be
made for staffing the building.
-Part of the floor in the Museum Gift Shop is being ripped out and replaced
to abate crumbling asbestos tiles.
-A reception for the interior design students and their families will be held
on May 12 in conjunction with commencement events.
-25 events are on the schedule over the next 8 weeks, followed by hosting of
the annual meeting of the KMHA in early June.
DLPS: Brian reported that Laura DeLancey cut the ribbon on Monday, March 19
at 3:30 pm EDT as part of the grand opening celebrations for the E-Town
Library, our newest branch library. Regional Director Ron Stephens, Brian
Coutts and Connie Foster gave opening remarks, and Laura thanked all of those
who helped make this day possible.
-Far Away Places: Ricardo Marin will talk in the Far Away Places series about
Ernest Hemingway and Spain: Or How a Land Can Attract A Man on Thursday,
April 5 at 7:00 pm at Barnes & Noble Bookstore. Professor Marin received his
Doctorate in English Philology in 2007 from the University of Castilla-La
Mancha in Albacete, Spain, where he currently teaches English. His research
has focused on studies of comparative literature, especially on American and
British authors from the 19th and 20th centuries such as George Orwell and
Ernest Hemingway.
-New Library Video - Peggy Wright coordinated a screening of the revised
library video on Friday, March 23 at 11:00 am. Joshua Niedwick and the
project’s student editor were in attendance. ETS will deliver 25 copies of
the DVD version by April 1 for showing in UE and other Research Instruction
Classes.
-Leadership Studies Banquet - Christopher McConnell, DLPS student assistant,
received a certificate for his outstanding leadership qualities at the annual
awards ceremony on Monday, March 19 at 6:30 pm at the Knicely Center. Brian
Coutts attended the dinner with him.
WKU Colonnade Program – General Education Revision: Copies of the Colonnade
Program were distributed for the Department Heads review.
Kick Off: The use of the Faculty House for this year’s Library kick-off was
investigated and revealed that for a group of this size it was not suitable
for providing lunch and meeting space. The kick-off will be held in Helm 100
and Cravens 100 again this year.
Adjournment: The meeting was adjourned at 12:15 pm.
