MINUTES
JANUARY 30, 2012
Present: Interim Dean Connie Foster, Brian Coutts, Deana Groves, Timothy
Mullin, Haiwang Yuan, Amy Hardin, Kristie Lowry, Jennifer Wilson, Bryan
Carson and Jan Renusch
Minutes: The December 5, 2011, minutes were approved electronically in
December 2011.
Dean’s Report: Connie reviewed the Performance Appraisal Forms and reminded
the council that, in addition to the electronic filing, a paper copy is to be
sent to the Dean’s office for the personnel files.
-Cravens Ground Floor – Charlie Pride’s student activities group will be
occupying Cravens Ground Floor for 14 months to 2 years while DUC is being
renovated.
-Connie would like to see the libraries adopt an employee/student of the
month recognition program using the digital big screen, which is campus wide
for recognition. Jennifer will research the policies for content. Jennifer
also suggested a “READ type poster” for this purpose.
-Connie requested that more employees in public services take the CPR/AED
training class that is available through February. The class will be paid for
by the dean’s office.
-Connie gave an update on the Library Systems Office meeting on January 26.
She also mentioned that the Information Commons is on hold as of now due to
new budget constraints, but that the provost wants to go forward with
research and site visits.
-Connie requested that the libraries develop a seminar for Research Week in
March, similar to what is done for Open Access week.
-A task force may be formed to study the pros and cons of RIFD after Brian
Coutts consults with Doug Wiles.
Web & Emerging Technologies: Haiwang reported that he has sent the PDF file
of Collections & Connections to Epsilon for its conversion to a digital
format to add to the newsletter’s iPhone/iPad application available at
http://bit.ly/z3x0u7. The newsletter will be published with the Annual Report
attached and with multimedia, such as photo albums and video clips.
-Last week, Haiwang experienced a permission problem with Java City when he
tried to take some photos there to update the Web slides. Jennifer and Connie
received clarification such that no permission will be requested if
Libraries’ employees take photos for the purpose of promoting the Libraries’
events in the future.
-Haiwang will explore the feasibility of creating an e-card function and will
report back at the next meeting.
-Haiwang is now a Contributing Editor for Berkshire’s new online database
ChinaConnectu (http://demo.chinaconnectu.com)
Development: Amy, Connie and Kristie have a lunch meeting scheduled with Jim
Johnson to discuss Book Fest sponsorship today. The dealership has been a
constant supporter of Book Fest. Amy is still awaiting information regarding
Smuckers’ sponsorship of Book Fest.
-The US Bank Art Show still has a few award sponsorship openings. Amy and
Jennifer will discuss at the MAC meeting tonight.
-Kristie and Amy are working on Meet the Author reception letters. Jan may
have information about that and letters will go out ASAP. The reception is
April 20.
-Amy would like to have information regarding the Fall 2012 speaker series
ASAP so she can solicit presenting sponsors before they make their Fiscal
Year 2013 donation decisions.
-Amy is also working on getting donor testimonials for the JCD Award.
-Amy will accompany Connie to Louisville next Friday, February 10 for the
monthly state library meeting of Academic Deans.
Literary Outreach: Kristie reported that the first meeting of the John Cotton
Dana Award committee took place last week. Members of the committee have been
given tasks to complete to pull the award information together, and Sandy
McAllister will write the narrative for it.
-The Used Book Sale will take place on Friday, February 10 from 7am to 7 pm,
Saturday, February 11 from 8am to 5 pm, and Sunday, February 12 from 1 pm to
5 pm. It will be at the L&N Depot again, and the books will be loaded and
sorted starting next Monday. There are not any plans for a pre-sale this
year.
-The Book Fest website was updated and went “live” with the new information
for April’s event on Friday. There are over 130 confirmed authors overall and
more than 30 coming for Children’s Day.
-The book for the SOKY Reads! program has been selected. It is In the
Sanctuary of Outcasts by Neil White, and the program will take place at the
end of August/beginning of September to avoid conflicts with some of the
Warren County Public Library programming.
Marketing: Jennifer reported that she is working on promotion for the Spring
Speaker Series. Press releases will be going out for the series, Quilt Show
opening, US Bank Art Show opening, and Book Fest. Invitations for the
Richardson Quilt Gallery opening and the US Bank Art Show preview will be
mailed soon and work has begun on the Book Fest tabloid. Jennifer said that
she is now going to use the campus mail service to distribute promotional
materials. Free promotional sources, such as student feeder and digital
screens, were discussed.
Grants & Projects: Bryan discussed the possibility of applying for another
NEH/ALA Public Programs grant. This grant opportunity is entitled America’s
Music: A Film History of Our Popular Music from Blues to Bluegrass to
Broadway. It would constitute a six-week series of public programs featuring
documentary film screenings and scholar-led discussions of twentieth-century
American popular music.
-Bryan also discussed the work of the library survey committee. The committee
consists of Bryan (chair), Allison Andrews, Uma Doraiswamy, John Gottfried,
and Jennifer Wilson. A preliminary list of questions has been created, but
the questions need to be culled and weeded.
Department Reports:
DLPS: Elizabethtown Regional Library - Laura DeLancey, E-town Librarian,
advises that renovations have been completed and furniture installed in time
for a February 1 opening. A grand opening will be scheduled later in the
semester.
-Inventory of Gordon Wilson Storage - Alan Logsdon has completed a two-year
project to inventory the complete serials holdings in Gordon Wilson storage.
-Late Night Study - Dan Forrest coordinated another very successful extended
study hours for exam week program during fall final exams, 2011. More than
12,869 patrons used the Helm-Cravens Library during extended hours. This was
up 6% over 2010. The busiest day was Monday, December 12 when 3,344 patrons
used the Helm-Cravens complex, up 962 from 2010. Kathryn Foushee compiled the
data. Special thanks to all faculty and staff volunteers and to the SGA for
their financial support.
-We’ve Been Everywhere Series - The first program this spring is scheduled
for Tuesday, February 7 at 10:00 am in Helm 100 when Christopher McConnell,
student assistant in the DLPS will talk about “Growing Up in Chile
In the 21st Century.”
-Kentucky Live! Southern Culture at Its Best - WKU Sociologist Anne
Onyekwuluje will talk about “Georgia Powers: A Grassroots Civil rights Leader
in Kentucky” and sign copies of her new book on Powers on Thursday, February
9 at 7:00 pm at Barnes & Noble Bookstore. Former State Senator Powers, the
first African American woman senator in Kentucky, will be in attendance.
The African-American Studies Program will host a dinner in her honor prior to
the program.
-Far Away Places Series - Professor Jid Lee, who teaches English at MTSU will
talk about growing up female in Korea and sign copies of her new memoir To
Kill A Tiger: A Memoir of Korea on Thursday, February 16 at 7:00 pm at Barnes
& Noble Bookstore.
-MARCIVE - The Government Services unit catalogued 443 items onto TOPCAT in
December 2011, bringing the grand total to 99,527 since the project commenced
in February 2006.
DLTS: Deana reported that Security personnel will begin patrolling DLTS in
January 2012.
-Copies of the Active Directory Procedures for student workers were
distributed. (see attached)
-Jeannie Butler completed approximately 8,000 ERC withdrawals.
-Jack Montgomery reports that the SAALCK Collections Committee decided to
appoint a subcommittee to work on the gift policy guidelines; he will be
chair. The subcommittee will aim to distill the gift policies of the various
SAALCK institutions and author some consortia-level general guidelines that
will support institutional practice in much the same way that the Last Copy
Guidelines do not represent a hard and fast policy, but are simply
recommendations. Jack is serving on the “Political Engagement Project” (PEP)
committee which will coordinate the campus activities surrounding the 2012
presidential election project.
-DLTS has prepared a work space for art students working on the withdrawn
book art project.
-Technology Highlights:
DLPS: re-imaged Owensboro Campus Library Information Desk computer w/Windows
7 to resolve viruses issues – reinstalled all software including the new
Voyager clients; installed newer version of Symantec Endpoint Antivirus
software on ILL pc to resolve conflict issues w/MS Visual C++ Runtime
Library; resolved issue w/short in power cord for Reference Desk pc;
troubleshot printing issues under Windows 7 for faculty member; moved
computers for 2 faculty members and 1 staff member (John, Bryan, and Dewayne)
in office moves; imaged and installed all software on new computer for Laura
DeLancey at our library facility in Elizabethtown; re-imaged and
installed/updated all software on computer for Mike Binder as a faculty
member in DLPS; worked through issues w/Meebo Messenger multiple IM client on
Reference Desk computer; trouble shot problems w/USB port connections on
computer for one staff member; working on an updated computer for the Ariel
system, installing the Ariel software on the newer computer is a problem
because our only software disc is an upgrade install rather than a full
install disc. We may be able to work around the problem – if not, we may have
to purchase a newer version of the software – waiting to hear whether we will
continue using Ariel or switch everything over to OCLC ILLiad; dealt w/
audio feedback problem on iMac in VPAL listening room.
DLTS: requested static IP address for and installed replacement network
printer for Library Systems Coordinator; setup Library Systems Coordinator
w/new remote access program for work from home; updated and performed
preventive maintenance on two grant-awarded laptops for faculty members;
assisted Library Systems Coordinator in trouble shooting Voyager Acquisitions
module for student assistant
DLSC: submitted a second request to vendor for price quote on new scanner for
Archives; Network Services installed the new network port for the Information
Desk in the KB lobby and the replacement laptop is now in service; updated
and performed preventive maintenance on one grant-awarded laptop for faculty
member
Systems: provided tech support for Web of Knowledge vendor webinar, ALA LSSC
webinar in VPAL lab and the Undergraduate Research Awards in Helm 100;
working w/IT’s ASA unit to get additional access to AD maintenance program
(WKUGROUPID) for backup when Josh is not in the office; along w/John Bowers,
proceeded through search and interview process for our Part-time Library
Technology Assistant position (Daniel Pawley now holds this new position);
after approval, ordered – received- and installed Windows 7 compatible
version of OmniPage Pro OCR software for scanning computer in Helm 201 and
temporarily installed Windows 7 compatible scanner until replacement scanner
is ordered; updated Voyager.ini file on all Library employee computers that
have the Voyager clients installed (approx 120 pc’s) to direct the clients
from the hosted server at U of L to the hosted server at our vendor
(ExLibris) in Chicago, Illinois. The Voyager.ini file has now been re-edited
a second time to deal w/additional problems and we are in the process of
revisiting all the computers to add the newly revised Voyager.ini file.
Network Services installed new upgraded network equipment in the Cravens
building and all of the network computer in Cravens have been upgraded from
network speeds of 10/100 Megabit connections to network speeds of 1 gigabit
(1000 Megabit). Dealt w/problems arising for Library Systems Coordinator’s
multiple network connections when upgraded network equipment was installed;
contacted Student Technology office when our multiple login sponsored guest
login account stopped working – the account had inadvertently been deleted
and the Student Technology office quickly set up a new account for use to
use; began attending monthly Academic Technology IT Consultants meetings in
MMTH and monthly Library Systems Office staff meetings in the Library; Josh
is working on AD updates for the Spring Term; monthly reports for DLTS; and a
KULS update report.
DLSC: Nancy Richey reported that History Detectives are using some of the
collection’s images for one of their segments. Nancy has been accepted to
present at the Librarians of Color Conference in Kansas City in September
(topic: Ethno-centric Genealogy).
-Jonathan Jeffrey is doing a program funded by the Kentucky Historic
Commission “Prime Time” literacy program for children at Russellville Public
Library.
-70 people attended the VSA Art Show opening on January 14.
-Some years ago Lynne Ferguson received a grant to have local artists paint
panels with themes of Martin Luther King’s life. This mural is currently on
loan to the Warren County Public Library and will travel around for the month
of February.

Active Directory Policy for Library Student Employees
Active Directory (AD) is a software environment developed by
Microsoft that provides directory services, network file and print
services, and identity management. Before student assistants can log in
or print, you must email the following information for each student at
the beginning of each academic term, starting with the spring 2012
semester.
1. Student’s Name
2. Net ID
3. Department
4. Supervisor Name
Also, when a student is terminated or resigns, the supervisor must send
an email requesting that the student be removed.
