LIBRARY LEADERSHIP COUNCIL MINUTES AUGUST 13, 2012 Present: Interim Dean Connie Foster, Brian Coutts, Deana Groves, Timothy Mullin, Amy Hardin, Haiwang Yuan, Kristie Lowry, Jennifer Wilson, Eric Fisher, Bryan Carson and Jan Renusch Minutes: The July 23, 2012, minutes were approved on a motion by Brian Coutts and a second by Deana Groves. Dean’s Report/Announcements: Connie distributed copies of ALADN 2012 Conference report: FROM STUDENT ASSISTANT TO ADVOCATE & DONOR. -The Monday, August 27th LLC Meeting will be at 1:00 pm due to a webinar taking place at 10:00 am. -Connie asked Bryan Carson to elaborate on the 2013 National Medal for Museum Library Service Award. It was suggested that the John Cotton Award material be used as a basis for the application. The council was asked to consider the application for this award and decide at the next LLC meeting. -Copies of the Mini grants for Near Completers were distributed for review and discussion. The Council decided not to submit ideas. -Connie reported that an I-9 form must be completed by new hires before they can begin their employment at WKU. -PIE Grants are available, only ($140,000) for onetime programs and resources benefiting students. Web & Emerging Technologies: Haiwang has created the staff web page for the new Library Systems Office at http://www.wku.edu/library/deansoffice/libsysoffice/staff/index.php, accessible from the Libraries’ home page under the Dean’s Office link in the horizontal menu bar (in red color). He also updated the Hours page so that both the regular and special hours are on the same page. He thanked Brian for his suggestion and Eric for providing the schedule. He also redesigned the graphic for the LibAnswer widget on the home page and made it look more natural. -He also brought up the new social media Pinterest and Instagram for discussion. It was suggested that Pinterest be explored for implementation, possibly to feature new books as their physical display is going to disappear from the 4th floor of Cravens when the Information Commons is in place. -Haiwang suggested that training be offered to Library employees on the use of spyware/adware scanning techniques to scan their computers periodically. This will save the Library Systems staff time and energy on debugging their computers after they are infected. Library Systems Office: Eric reported on highlights from the Library Systems Office: Dean’s Suite: Created quote and order was placed for staff replacement PCs including iMac for the Marketing office. Of the OptiPlex 745s being replaced one will go to the student desk in the Dean’s Suite; this will complete the Dean’s Suite staff PC list that will make them all Windows 7 capable (3 other 745s will be shifted to the 3rd floor to replace older PCs. More will be ordered as budget allows. DLPS: Resolved slow startup time on the Reference desk PCs. Reinstalled mouse and Symantec at ERC Circulation desk. Removed old PCs from VPAL. Installed program on ILL staff PC and corrected problem with overdue email notifications being sent. Virus removal on 2 staff PCs; resolved settings for printer issues. Currently working to resolve Z-search settings in ILLIAD client. Received the 6 Circulating laptops and are doing final test while waiting for them to be added to the catalog system (problem with wireless on one of them). Preparing the old circulating laptops for use for the stacks inventory project. Awaiting arrival of new bar code scanners. Exported eresource vendor emails for Faculty member. iPads for ERC have been setup and we are awaiting the selection of apps or books that will be added before they will go into circulation (agreement sheet and policy has been reviewed). Migrated or added faculty staff to new Voyager Client. DLSC: Quote was sent for approval/payment info for new network drops (1 to resolve lack of network outlets after move; other drop for new ScanPro 800 installation). Sent quote for PC that will be used with the new ScanPro 800. Removed old staff from group email list. Migrated or added faculty staff to new Voyager Client. Migrated 5 Faculty PCs to Windows 7. Awaiting circuit board to complete the coin-box installation for the copier. DLTS: Corrected corrupted .ini file error on one staff PC. Adjusted drop box administration install issue for Faculty member. Reinstalled Voyage client on newer PC installed by IT for staff and resolved template link issue. Reinstalled bar code printer to external keyboard, so PC wouldn’t be required. Currently working on Stats for various faculty. Setup conference phone, updated WebEx in VPAL for webinar. Migrated or added faculty/staff to new Voyager Client. PCs for Nancy Steen and Paula Owens have been imaged and will be transferred. Library Systems Office: Met with PDC and contractors for Helm 6 office renovations for staff offices (waiting for quote). Have received the applications for the part-time positions to be reviewed. Migrated 105 of 107 computers to new version of ExLibris Voyager software (the staff computers in Owensboro will be updated when they re-open) – the upgrade went well on our end, but ExLibris had several problems on their end on their servers that host all the Voyager Libraries in Kentucky. This resulted in our system going up and down and being unavailable for periods of time; New version of OCLC Connexion client installed for DLTS Acting Department Head for testing prior to upgrading the OCLC Connexion client for those that use it within the WKU Libraries; Oracle ODBC drivers and software installed and configured for Daniel Pawley to assist in supporting TOPCAT Systems Coordinator Nelda Sims. Working with DLPS and networking about temporarily relocating the Circulation desk and needed staff for the upcoming construction on the 4th floor. Looking to acquire other 745s for 3rd floor until funding is available for new purchases. Development: Connie has once again agreed to host a table at this year's Hall Of Distinguished Alumni awards ceremony. Amy is working on a list of invitees. -Amy is working with Lisa Rice at WCPL on the William H. Natcher awardnominating Jim Johnson for his significant philanthropic contribution to WKU Libraries and WCPL. -Connie and Amy are working with Donald Smith and William Skaggs on call center calling for library gifts. Amy is contacting Greg Casey at UK to determine who they called as they received significant gifts. -Amy is meeting with several other development officers to streamline our sponsorship protocol. -She is working with Carol Cummings in the development office on statements to use when traveling. Literary Outreach: Kristie reported that she is working on the SOKY Reads! program. The library had their book giveaway event last week and about 40 people were in attendance. They have additional books on hand if anyone needs any. Bowling Green Technical College will have their giveaway on Thursday at 2 pm on their Main Campus. -Kristie is talking with the publicist for Joe Drape, author of the book Soldiers First. Drape’s book is about the 2011 Army football team, and it spotlights Trent Steelman, former BGHS quarterback. Kristie hopes to bring Mr. Drape to Bowling Green in September for a book signing in conjunction with a Book Fair at Barnes & Noble as a fundraiser. -Book Fest authors are still being lined up, and Kristie is waiting to hear from a few publicists whose authors will be on tour in April. Marketing: Jennifer announced Sandy McAllister has taken a new position with the city schools. Cathi Barth, the Literary Outreach Assistant, has agreed to work more hours to help the office through the transition period. She is currently being trained in the reporting and database systems to assist with membership efforts. -Membership programs are in transition and brochures are being worked on. Promotional pieces for the New Faculty Orientation are being printed and are due on Wednesday. There are a couple of pieces that will be fliers and the others will be rack cards for the faculty handouts. -Jennifer questioned whether we are going to have a group Library picture. She will communicate with Clinton and Connie and see if it is possible to make this happen. -WKU Libraries is partnering with Alumni Relations during the MASTER Plan week by offering a “dress like your favorite book character” photo booth. Amanda Hardin and some of her creative students are putting the backdrop and props together. Grants & Projects: Bryan reported that the survey results will be sent by email and he will have a report for a future LLC meeting. -Bryan also reported that the Libraries was awarded a grant from ALA and Tribeca Film Institute “America’s Music: A Film History of Our Popular Music from Blues to Bluegrass to Broadway.” There will be a series of events in the spring. Department Reports: Connie discussed the possibility of inviting Pam Petty for e-learning training for Library faculty. -Individual meeting dates for the department heads will begin on Tuesday, August 28 with the same schedule as last semester Deana Groves at 8:30 am, Timothy Mullin at 10:00 am at the KY Building, and Brian Coutts on Thursday at 1:00 pm. -Connie reminded the department heads about tenure dates for faculty. Also Timothy is due for 4th year department head review, a process begun last fall. -Benefits for librarians upon resignation were discussed. DLSC: Timothy reported that the New Faculty Orientation will be held in the Kentucky Room on Thursday. -Form 2 has been approved for the Archives Assistant position and that interviews will begin. DLTS: Deana reported that last week the state consortia experienced Voyager OPAC outages; all issues are now resolved. -The Acquisitions Unit participated in training on the upcoming Coutts-Ingram e-slip ordering. A webinar is scheduled for August 27th with a follow-up face-to-face meeting to be scheduled later in September. -Crystal Bowling is now responsible for processing all part-time library employee timesheets. DLPS: Brian reported that Lisa Miller has been hired as a one-year Visiting Assistant Professor in DLPS with assignments for collection development and research instruction in the Humanities/Social Sciences. Daniel Peach has been hired as the new Library Facilities Coordinator, replacing Eric Fisher. His first day of work in his new position will be August 16. -Replacement of a portion of the Cravens roof began last Wednesday and should be finished early this week. The roof was damaged during storms on July 20. Water leaked onto the ninth floor causing damage to carpet, shelving and collections. Once the roof is installed the damaged carpet will be replaced. -Helm parking lot construction and striping of spaces has been completed. The lot provides additional spaces for library staff, two additional handicap spaces, and added service spaces. -Plans are being developed to relocate the Circulation Desk to the Helm Library by October 1 to accommodate construction of the new learning commons which will begin in October. Construction is scheduled to be completed by mid-January, 2013. -Total headcount was 420,298 for the period July, 2011 to June, 2012. This represented a decline of 4.58% from FY 2010-11. April was the busiest month with 52,714 patrons followed by October with 51,954 and September with 51,031. The patron count in the VPAL was 41,063 in FY 2011-12 up 9.42%. Patron count grew to 42,196 in FY 2011-12 from 22,567 in FY 2010-11 up 86.54%. The tremendous growth reflects the expanded ERC in the new Ransdell Hall. Circulation rose to 32,086 up 12.59% from the previous year. -University Libraries will provide an orientation session for new faculty on Thursday, August 16 from 1 – 2 pm. The libraries newly revised video will be shown along with faculty presentations on TopSCHOLAR, research instruction, collection development, ebooks, branch libraries and special collections. WKU libraries will also participate in the annual information fair during lunch. The program is scheduled for the Kentucky Building. Adjournment: The meeting adjourned at 12:23 pm.
