MAY 2, 2016

Present: Dean Connie Foster, Deana Groves, Jonathan Jeffrey, Brian Coutts,

John Bowers, Haiwang Yuan, Jennifer Wilson, Bryan Carson, Sara Volpi and Jan

Renusch

Minutes: The April 25, 2016, minutes were approved as submitted on a motion by Jonathan Jeffrey, and a second by Haiwang Yuan.

Dean’s Report: A copy of the “Office of International Programs and Study

Abroad & Global Learning 2014-15 Annual Report” was shared. There was a photo of a Far Away Flix event and Tracing the Unexplored series event, both

Library co-sponsored.

-Connie discussed the need for a parking permit for the Cravens loading dock.

The consensus was that a permit was not feasible. There is a need for a loading/unloading sign at the dock. Connie will contact Jennifer Tougas in

Parking and Transportation Services to inquire further.

-Colibri Task Force – Copies of the CoLibri Task Force report were distributed. Brian reviewed and discussed the report. Connie requested the

Committee include a review process.

-Connie reviewed and discussed the budget implications. One library vacant faculty position will be eliminated; faculty pool computers are in question; and future staffing plans.

Instruction/Grants/Assessments: Bryan reported on the April 26 meeting of the

Research & Creative Activity Council (RCAC). The RCAC discussed the series of videos commissioned by the Office of Research & Creative Activity which were featured during the Student Research Conference. The videos were about how faculty helped facilitate undergraduate research. There was one video for each college, including University Libraries. Our video featured Jonathan

Jeffrey who worked with Sean Jacobson, a history and broadcast journalism double-major, on a project about the effect of the Great Depression on the

WKU campus and historical memory. According to the Interim Associate-Provost for Research & Creative Activity, the video can be freely edited and reused in other promotional and instructional videos.

-The RCAC also discussed the QTAGs (Quick Turn-Around Grants). The members noted that the QTAGs worked very well and hope these awards will be continued if funding allows.

Literary Outreach: Sara is managing loose ends from Book Fest and making calls about headliners for next year.

- The final amount of sales for the Library = $8,114.67

- Working on coloring book party prep, flier and handout

- Sara met with Crystal Bowling about social media posts.

Marketing: Jennifer reported that the KY Literary Award winner’s press release is out, and stickers for the book have been ordered; Haiwang Yuan’s press release is going out today.

-Therapy Dog event Thursday, May 5, 10-12 pm promotion is circulating on digital signs and posters; coloring for stress relief promotion is circulating digitally and in poster/flier format

-Mass email to students is in the approval process for extended hours on finals week along with stress relief activities to go out this week

-WKU Marketing Council met last week – “It’s all within your reach” campaign will continue; Maxine Hardin from Purchasing spoke and said there are four vendors who won the bid for t-shirts- BlueCotton, Central Screen printing,

Gerald, and Skywriters. These vendors are for state funded orders and orders go through Topshop. All clothing orders go through Jim Cummings.

-Public Affairs have 4 tickets to all games that are not always taken so if you have a special guest or need, call to see if they are taken.

-#wkugrad is the hashtag for upcoming social media – Jennifer has already reminded the social media committee.

-Student campaign – Jennifer has been working the past few weeks on lining up a Glasgow student for the Poster Marketing Campaign.

-Panel display for Robert Penn Warren Room has been ordered so it should be ready in a few days.

Systems Office: John reported th at in the budget reductions announced by the

President, the Faculty Computer Replacement fund of $199,300 was shifted from

“regular” funding to “one-time or other sources.” This fund pays for new faculty computers as well as faculty pool replacements. It is hoped that a central source or Academic Affairs will be able to provide funding annualy.

-The Manager of Library Systems Office position is expected to be posted this week. Eric Fisher chairs the search committee, and Julie Dent and Shaden

Melky are search committee members. John Bowers and Connie Foster will interview finalists.

Web & Emerging Technologies: Two additional digital voice recorders have been purchased for podcasting Libraries' events and other literary outreach programs.

-Haiwang alerted the LLC to the recent development of Yahoo, whose planned massive layoffs could have a negative impact on the Flickr service to which we have subscribed for the photos of our Libraries' events. Haiwang will monitor the development and explore ways to download copies of all the photos just in case.

Department Reports:

Dean: Connie distributed copies of OCLC 2017 Cataloging and Metadata subscription calculations for review and discussion.

Department of Library Public Services: Brian reported that Cumulative MARCIVE

Statistics shows that Government Documents faculty and staff cataloged in

ALMA a total of 240 items in February, 2016 and 167 items in March. During

January they were in training to learn ALMA and waited until the system was running smoothly before resuming cataloging. The totals since the beginning of the project in February 2006 to current show that they have cataloged

145,576 items. Work continues in: Department of Commerce [SuDoc: C] [Note:

Demographic Census from 1790-2010 is complete]; Department of Energy [SuDoc:

E] – paper & microfiche; Department of Interior [SuDoc: I]; Bureau of Mines

[SuDoc I 28]

-Tony Paganelli attended the 17 th Annual Distance Library Service Conference in Pittsburgh where he heard sessions on embedded librarianship and the personal librarian approach.

-The SGA has continued its long tradition of providing financial support to enable the Helm-Cravens Library to extend closing hours until 2 am. during finals week. Java City will provide complimentary coffee and snacks. Dan

Forrest is coordinating the arrangements.

-Kath Pennavaria received the college level Faculty Research Award at the awards ceremony held in the Knicely Center on Thursday, April 28.
