You’ve probably heard the old Irish saying: “Hindsight is the best insight to foresight!.” While this made my head spin as a kid, I’ve really come to understand it in relation to Business Centers! In UABC, we are continually looking back, re‐evaluating processes, exploring best practices, and asking for your feedback to help us improve processes and keep our customer’s “Irish eyes smiling”!! Throughout this missive, you’ll see us discussing policy and process changes, as well as reminding you of some important deadlines and opportunities that come around each year. Many of UABC’s process changes have come about through your insights and suggestions. We really appreciate hearing from you – and that’s no blarney!! HR News: Exemplary Employee Award Nominations: It’s time to recognize your outstanding lads and lasses! If you know someone in your unit or elsewhere on campus who exemplifies great service to OSU, please take a moment to nominate them for an award! Nomination packets must be submitted to the Office of Human Resources no later than April 15, 2014. For forms and instructions, see their website: http://oregonstate.edu/admin/hr/recognition/exemplary.html. Staff Fee Privileges: Are you or a dependent attending OSU or another OUS institution? The Spring Term deadline for submitting staff fee forms to UABC HR is March 17th for dependents and March 26th for employees. Questions? Please remember hiring paperwork needs to be processed and I‐9 information verified BEFORE your students begin work. Also, supervisors need to review monthly student EmpCenter timesheets carefully prior to approval, to insure that students are being paid correctly and are clocking hours on the correct job/index. I‐9 Verification & Re‐verification requirements: Just a gentle reminder: Newly hired employees must complete Form I‐9, Employment Eligibility Verification, no later than their first day of employment, and must present appropriate documents to UABC HR or another Institution authorized representative within 3 business days of their first day of employment. In addition, re‐verification or a new I‐9 form is required when an employee is rehired within 3 years of the date the most current I‐9 Form on file was completed or if there is a name change or the employment authorization has expired. Service Recognition: In preparation for the 25‐Year Club recognition activities, unit supervisors were sent a list of employees in their unit, each employee’s length of service and service dates. Recognition this year is for employees who have reached 5, 10, 15, 20, 25, 30, 35 or 40 years of OSU service between 7/1/2013 and 6/30/2014 Each unit is responsible for auditing the length of service of its employees to ensure the records are correct. Please take a moment to review the information provided and let us know if you find any discrepancies by Friday, March 21, 2014. Postdoctoral Scholar Policy Changes: Effective January 28, 2014 OSU adopted a new policy regarding postdoctoral scholars (PDS). The policy clarifies the role of PDS:  PDS are considered interns or trainees ‐‐ not employees or students  PDS appointments are internships/traineeships ‐‐ not jobs.  PDS receive paid stipends ‐‐ not salaries.  PDS are advised by mentors ‐‐ not supervised or employed by bosses/supervisors. The policy goes on to set guidelines for PDS appointments:  Initial appointments must be full time for one full year;  sufficient funds must be available to cover the term;  Reappointments can be for less than one year;  An Individual Development Plan (IDP) is required. IDP guidelines are located (http://gradschool.oregonstate.edu/postdocs/individual‐
development‐plan);  The minimum stipend for all new appointments are tied to the NIH NRSA fellowship guidelines: (http://gradschool.oregonstate.edu/postdocs/individual‐development‐plan); PDSs’ will receive an increase annually, with each of service, according to the NIH NRSA schedule. Finance News: Here in Finance, OUR favorite Irish saying is: “It is better to spend money like there’s no tomorrow than to spend tonight like there’s no money!” Appropriately, we are very busy crunching numbers on the Finance side, hoping to find a “pot o’ gold” at the end of your rainbows as we head into year‐end!! Here are some important dates to keep in mind: Fee book – The Fee Book process is in full swing, and all corrections, additions, and deletions should have been submitted to your Finance accountant by February 14, 2014. Revenue Estimates ‐ We are currently working on FY15 revenue estimates. If your department receives revenue, your Finance Analyst will likely be contacting you to gather revenue estimates, if they are required for your department. Revenue estimates are due back to your Finance accountant by March 11, 2014. Anticipating a change in your operations, and not sure if you need to prepare a revenue estimate? Contact your Finance Analyst to discuss! FY14 3rd Qtr. Projections – We are getting started on FY14 3rd quarter projections. Your Finance Analyst will send the preliminary projections to you the week of March 17th. Please review the projections for accuracy and needed adjustments, and return them to your analyst by April 2, 2014. As always, feel free to call us with any questions. Accounting News: Blarney Alert: Copier Toner Phishing Scam: OSU has been targeted this past month by individuals trying to sell toner or copier related products for Richo copiers. These individuals/companies are also “phishing” for information that can be used later to sell you, or your unsuspecting co‐workers, their products. Keep in mind that Richo representatives will not contact you directly and ask you to order supplies.
