OPEN ISAAC FOX PTO POSITIONS (2016/17 SCHOOL YEAR) SECRETARY Current position held by Diane Koester (term ending June 2016) RESPONSIBILITIES:​ The PTO Secretary is a member of the Executive Board. This position is responsible for attending all regularly scheduled PTO meetings, as well as any other special PTO meetings that may be called. The primary responsibility at the meetings is to take minutes. Following the meeting, the Secretary sends a copy of the PTO Meeting Minutes to the website coordinator (school secretary) so they can be posted on the IF website. The Secretary is also responsible for providing sign‐in sheets at PTO meetings. In addition to PTO meeting responsibilities, the Secretary is in charge of putting together the IF Buzz Book (a phone book for all students.) This includes updating the data, coordinating the cover, printing and photocopying the Buzz Book as well as distribution at the beginning of a new school year. TIME COMMITMENT:​ This position requires full attendance at all PTO meetings and a few hours per week in September to prepare and distribute the Buzz Book. This is preferably a two‐year commitment. HOSPITALITY COMMITTEE LEAD Current position is held by Barb Randazzo (term ending June 2016) RESPONSIBILITIES:​ The Hospitality Committee is responsible for offering various forms of encouragement to the teachers and staff during the school year. The Hospitality Committee Lead will drive these events and organize the volunteers and donations required. The three main events include: Back to School Luncheon (August), Parent Teacher Conference Dinners (November) and Teacher Appreciation Week (May). There is a set budget and expenses are reimbursed. The budget amount allocated per event is determined by the Hospitality Lead. TIME COMMITMENT:​ The time required is minimal except during the week of these events. This is preferably a two‐year commitment. BOOK FAIR CHAIR(S) The current position is held by Tim Parks (term ending June 2016) RESPONSIBILITIES:​ The Book Fair Committee is responsible for planning, organizing and running two book fairs during the year (one in the Fall and a smaller one in the Spring). Specific responsibilities include: publicity, decorations, scheduling class visits and parent volunteers, facilitating teacher wish lists, the initial set‐up and take down of the fairs, as well as running a donut sale during the Book Fair's Family Night. The committee is also responsible for sending information to the IF Communications Team and website coordinators as necessary. TIME COMMITMENT:​ Working on the Book Fair requires a moderate time commitment during the week the Book Fairs take place. There is also a moderate time commitment one month prior to each Book Fair. Please note: During the week of the Book Fair, the commitment is full time for the chairs. Other committee members should plan to spend a substantial amount of time helping the week of the fair, but they do not need to be on hand full time. This is preferably a two‐year commitment. BACK TO SCHOOL PICNIC CHAIR RESPONSIBIILITIES:​ The Back to School Picnic Chair will organize a social evening or afternoon for Isaac Fox families to get together and socialize at the beginning of the school year (August or September.) They will coordinate a committee and work within a given budget. Specific responsibilities include: publicity, decorations, scheduling and coordinating vendors, completing facility forms as required, selling tickets, and recruiting volunteers to assist. TIME COMMITMENT:​ April & May to plan the event date and activities, August for advertising, selling tickets, and coordinating volunteers. KINDERGARTEN PLAYDATE CHAIR RESPONSIBILITIES:​ The Kindergarten Playdate Chair will coordinate a morning event on the Isaac Fox playground for incoming Kindergarteners and their parents. This event takes place is August, approximately 1‐2 weeks before school starts. Specific responsibilities include: advertising the event, coordinating and providing a snack and water for the children, coordinating volunteers and staffing the event, and taking a group picture. TIME COMMITMENT:​ Minimal. A couple of hours in July and August BOX TOPS CHAIR Current position held by Diane Koester (term ending June 2016) RESPONSIBILITIES:​ This position is responsible for collecting box tops, counting them and leading award programs (monthly at minimum) for top student and classroom collectors. The Box Tops Chair is responsible for communicating updates and changes to the Box Tops Program to the PTO and school staff. All box tops must be counted in a timely manner and submitted accordingly so that Isaac Fox receives their bi‐annual bonus/incentive for participating in the program. TIME COMMITMENT:​ Minimal. Box Tops are counted monthly and awards programs are also coordinated on a monthly basis. Volunteers will assist with counting box tops as needed. UPCOMING OPEN ISAAC FOX PTO POSITIONS (2017/18 SCHOOL YEAR) PRESIDENT The current position is held by Kim Gallo (term ends June 2018). Shadow Training encouraged for 2016/17 Academic School Year RESPONSIBILITIES:​ Due to the intricate responsibilities of the Isaac Fox PTO President position, it is highly recommended that anyone interested in the job shadow the current president for a year to get adequate “on the job” training and familiarity with the role. The President is responsible for presiding over all PTO meetings during the entire school year. This includes creating the agenda and facilitating the meetings. The President will work in tandem with the Principal, teachers and parents and volunteers on all PTO events and programs. They are responsible for communicating with and coordinating the efforts of all of the PTO committee chairs and other volunteers. In addition, the President will assist with resources, planning and coordinating dates, scheduling volunteers, and advising Event Chairs to help execute over 25 PTO events and enrichment opportunities per year. The President is also a representative member at District meetings and is responsible for relaying information to the PTO. They must attend, on average 1‐2 meetings per month. TIME COMMITMENT:​ The PTO President position requires an on‐going time commitment on a weekly basis, during two entire school years. Responsibilities and events may also require very limited time in the summer months. TREASURER The current position is held by Kim Hahn (term ends June 2018). RESPONSIBILITIES:​ The PTO Treasurer is a member of the Executive Board. The Treasurer manages the finances of the PTO: disbursing funds, depositing fundraising proceeds, maintaining PTO bank accounts and tracking income and expenditures. Each month, the Treasurer presents the PTO with an updated income statement and budget; therefore attendance is required at all PTO meetings. Access to and knowledge of computer programs is necessary. The Treasurer is responsible for preparing and dispersing a budget letter to each Committee Chair and all teachers at the beginning of the school year. The Treasurer, with the President, will be responsible for proposing, preparing and presenting an annual PTO budget for review and approval. TIME COMMITMENT:​ The PTO Treasurer position requires an on‐going time commitment on a monthly basis, and may also require very limited time in the summer months. This is preferably a two‐year commitment.
