POSITION DESCRIPTION TITLE: FLSA STATUS: Coordinator, Documentation & Training Exempt CATEGORY: GRADE: Professional Support E (Technology Support) JOB SUMMARY: Position is responsible for designing, developing, and/or obtaining training materials; developing, scheduling, and conducting training classes for District employees; and developing, organizing, and maintaining a master computer documentation and training library. YEARLY ESSENTIAL FUNCTIONS: PERCENT OF TIME 30% 1. Determine the need for training based on analysis of client contact and software upgrades in order to develop and conduct training sessions for mainframe, server, and personal computer hardware and software applications. Develop and conduct training sessions for ORACLE client/server system. Develop and/or obtain training materials and how-to guides pertaining to mainframe, server, and personal computer software and hardware. Assist District employees with hardware and software questions or problems. 2. Translate technical information and concepts into user-friendly language. Plan, write, and maintain system and user support documentation. Create a variety of documentation for District-wide use. Documents include, but are not limited to, training manuals, user documentation manuals and/or guidelines, promotional material, multimedia presentations, policy and procedure manuals, newsletters, Web pages, departmental forms, and management reports and presentations. 20% 3. Participate in the installation, maintenance, configuration, and troubleshooting of new or updated, specialized mainframe, server, and personal computer software as necessitated by changes to computer systems and hardware or software upgrades. Notify District employees regarding changes and additions. Oversee actual installation of software and hardware for the Information Technology Training Room Obtain demonstration versions of, and information on, software, hardware, training, and reference materials for evaluation and testing; make purchasing recommendations. 10% 4. Schedule use of Information Technology Training Center. Ensure supplies and equipment are ordered as necessary. Maintain statistics on training classes, client assistance, software and hardware usage trends, and the District’s computing environment. 15% 5. Maintain technical reference library containing a collection of reference periodicals, books, personal computer software, videotapes, and 10% Approved: 9/1/94 Retyped: 2/2/04 electronic equipment available for checkout. Prepare and maintain catalog of documentation, reference, and training materials. Oversee tracking of material borrowed from the library. Assist District employees with hardware and software that is available for use in the Information Technology Library. 6. Develop operating procedures for the Information Technology Department, update existing procedures as necessary, and write/update District-wide procedures that pertain to Information Technology Department as assigned. 10% 7. Develop and maintain documentation and filing systems for computer programs, systems and applications, and hardware and software reference manuals and material. Distribute new or updated materials as appropriate. 5% REPORTING RELATIONSHIP: Manager of Information Technology ESSENTIAL QUALIFICATIONS: EDUCATION: Bachelor’s Degree or equivalent. EXPERIENCE: Four (4) years SPECIAL SKILLS AND ABILITIES: 1. Skills/Abilities: Strong interpersonal, analytical, and oral/written skills; ability to process and analyze information accurately; detail oriented; strong creative ability, and the ability to work independently. 2. Equipment Used: Mainframe, server, personal computer, and equipment associated with a technical office environment. 3. Software Used: A variety of programming, word-processing, spreadsheet, desktop publication, presentation, database, report-generation, network, and e-mail software for mainframe, server, and personal computer applications. PHYSICAL REQUIREMENTS: Duties require little physical effort in work with light (up to 10lbs), easy to handle materials. Duties performed causes light fatigue of eyes, fingers, or other faculties due to long periods of standing, sitting, and/or repetitive motion. INTERPERSONAL SKILLS: Alternative or combined skills in understanding, counseling, and/or influencing people are important in achieving job objectives, causing action, understanding others, or changing behavior; and, skills of persuasiveness or assertiveness, as well as sensitivity to the point of view of others. WORKING CONDITIONS: Job is performed in general office or comparable working area with occasional distractions such as noise, interruptions, or congested work areas with exposure to some disagreeable elements.
