POSITION DESCRIPTION TITLE: FLSA STATUS: Records Management Clerk Non-Exempt CATEGORY: GRADE: Classified C JOB SUMMARY: Responsible for the receipt, organization and disposition of records in Records Management and archives including shelving boxes, interfiling records and requests for information. ESSENTIAL FUNCTIONS: YEARLY PERCENT OF TIME 30% 1. Maintain a computerized records management system to identify, categorize, store, retrieve, and dispose of College records. 2. Dispose of records that have met the required retention period as stipulated in the records retention schedules; maintain permanent records of destruction and certificates of destruction; and apply pertinent federal and state laws. Handle requests for the scanning of files and documents. 25% 3. Ensure all incoming records for storage and destruction are processed in accordance with the District’s Records Retention Schedule and established procedures; and handle requests for the scanning files. 20% 4. Provide retrieval of archived historical information for personnel throughout the District; arrange for loans of the archived materials. 20% 5. Perform other duties as assigned. 5% REPORTING RELATIONSHIP: Director, Records Management SUPERVISORY RESPONSIBILITIES: None ESSENTIAL QUALIFICATIONS: EDUCATION: High School graduate or equivalent. EXPERIENCE: Two years of experience. SPECIAL SKILLS AND ABILITIES: 1. Skills/Abilities: Ability to utilize computer technology to access data, to maintain records, and communicate with others. Ability to communicate effectively verbally and in writing. Ability to read and interpret rules, to follow instructions, and maintain confidentiality of materials. Equipment Used: Personal Computer, fax, telephone, copier, specialized software related to Records Management and other equipment associated with an office environment. 3. Software Used: A variety of word-processing, spreadsheet, database, e-mail, and presentation software. PHYSICAL REQUIREMENTS: Duties performed causes fatigue of eyes, fingers, or other faculties due to long periods of standing, sitting, and/or repetitive motion. Duties require continuous effort in working with moderate to heavy (10 to 50lbs and, on occasion, over 50 lbs) materials producing moderate body fatigue. INTERPERSONAL SKILLS: Alternative or combined skills in understanding, counseling, and/or influencing people are important in achieving job objectives, causing action, understanding others, or changing behavior; and, skills of persuasiveness or assertiveness, as well as sensitivity to the point of view of others. WORKING CONDITIONS: Job is performed in general office or comparable working area with occasional distractions such as noise, interruptions, or congested work areas with exposure to some disagreeable elements.
