POSITION DESCRIPTION TITLE: EXTENDED TITLE: FLSA STATUS: Executive Director Executive Director, Admissions and Registrar Exempt CATEGORY: Administrative GRADE: E JOB SUMMARY: Responsible for the administration of all functions required to support El Paso Community College District’s Admissions and Academic Records support activities to include but not limited to admissions application processing, registration processing, system support for catalog and class schedules for both credit and non-credit courses, commencement, academic records and reporting in compliance of Federal regulations, State mandates, accrediting agencies and College policies. ESSENTIAL FUNCTIONS: YEARLY PERCENT OF TIME 30% 1. Direct a multi-campus, district-wide department responsible for providing Admissions access to the College and providing all Registrar related activities required to support enrollment into credit and non-credit classes including development and maintenance of system catalogs and schedules, in-person and online registration processing, determination of residency for tuition purposes, evaluation of transfer credit, posting grades, maintaining enrollment records, producing transcripts and diplomas, and providing enrollment management reporting acting as the certifying official for State reporting. 2. Interpret mandated guidelines, develop and implement controls to maintain compliance with the Texas Higher Education Coordinating Board (THECB) rules and accreditation requirements of the Southern Association of Colleges and Schools (SACS). Serve as the district’s primary designated school official responsible for ensuring compliance with the Department of Homeland Security’s (DHS) Student and Exchange Visitors Information System (SEVIS) enabling EPCCCD to admit and enroll international students. 25% 3. Manage personnel performing specialized functions in open Admissions, competitive Health Occupations Admissions, international student admissions, transcript, transfer credit evaluation, academic records processing, graduations, student information systems maintenance, and automated enrollment/registration support, scheduling and processing. 25% 4. Maintain liaison with State and Federal agencies, other educational institutions, district administrators, faculty and staff. Serve on various standing district committees providing problem resolution, and interpretation and explanation of policy as related to admissions and registration issues. BUDGET RESPONSIBILITIES: Departmental budgets ESSENTIAL QUALIFICATIONS: EDUCATION: Master’s Degree in Education, Business Administration, Public Administration or closely related field preferred. EXPERIENCE: Nine (9) Years SPECIAL SKILLS AND ABILITIES: 1. Skills/Abilities: Must have the skill and ability to plan, organize, lead, and control personnel and operations of a large department; Effective communication and problem solving skills in a variety of circumstances; Skill in establishing and maintaining effective working relationships with students, staff, faculty and the public. Excellent communication, written and verbal, and interpersonal skills. 2. Equipment Used: Personal Computer and other equipment associated with a general office environment (copier, phone, fax, etc.) 3. Software Used: A variety of word-processing, spreadsheet, database, e-mail, and presentation software.
