Email Analysis
I want to improve my email communication style. Please read the email provided and offer feedback on
the following:











Is the purpose of the email clear?
Is the subject line specific enough to differentiate this message from others on the same
subject? Does the subject line make the reader want to open the email?
Does the email include all the information needed? (Dates, places, times, names, etc.)
Does the first sentence interest or connect with the reader?
Does the message end with a positive sentence – preferably one that is specific to the reader?
Is the organization and content appropriate for the reader?
Is the tone friendly and/or respectful?
Is the style easy to read?
Is the visual design and format of the message inviting?
Is the message free of typos?
What additional feedback to you have on my writing style?
As you reflect on the purpose of the email, give additional feedback on my writing strategy and content.
If the email is delivering a positive message:



Does the first sentence summarize the content?
Is the benefit of the good news for the reader communicated clearly?
Does the message use you-attitude and positive emphasis?
If the email is delivering a negative message:







If a buffer (positive sandwich) is used, does it avoid suggesting either a positive or negative
response?
Is the negative information clear?
Is an alternative or solution suggested?
Does the last paragraph/sentence avoid repeating the negative information?
Are negative words, such as “unfortunately,” avoided?
Is the tone acceptable, constructive, and professional – not defensive, cold, preachy, or
arrogant?
Is this email appropriate to read on the front page of a public newspaper?
If the email is delivering a persuasive message:




Is the problem presented as a shared problem both sender and receiver have an interest in
solving, rather than a favor the receiver is being asked to do for the sender?
Does the closing tell the audience exactly what to do?
Does it give a deadline, if one exists, and a reason for acting promptly?
Is a compelling strategy offered that persuades the reader?
