Evidence of third party registration is to be provided upon request. Suppliers currently entered into our ERP system are considered to be “grandfathered”. New suppliers not registered to ISO9001, AS, etc. must be approved in advance. Preference will be given to new suppliers that are ISO, AS, etc. certified. A supplier audit may be performed as a condition of doing business or continuing business with the Chelsea, MA facility. 2 - Counterfeit Materials (WE): Suppliers shall have processes and controls to ensure that no counterfeit material is delivered. In order to minimize potential for counterfeit parts in our product, purchased material shall be procured only from approved OEM’s, or authorized distributors. Suppliers are required to participate in the Government-Industry Data Exchange Program (GIDEP). All parts must be accompanied by a certificate of conformance (C of C) from the part distributor or manufacturer for traceability. The C of C must contain at a minimum the applicable specification, drawing number, part number, revision, and quantity; name of manufacturer, lot/batch number, or date or serial number and purchase order (PO) number. Inspection and test data is to be retained for ten years and to be made available upon request. Special process certificate of assurance (C of A) is to be included with the C of C if applicable. Certificate of conformance or assurance are to be signed and dated. The Eaton-Chelsea, MA plant will participate in the GIDEP program for review and reporting of counterfeit parts. In the event of a suspected counterfeit part, Eaton-Chelsea, MA employee(s) shall notify the Inspection and Purchasing supervisors as soon as possible for MRB disposition. Employees involved with purchasing and inspection of incoming parts will be trained in counterfeit parts avoidance and monitoring using SAE AS5553 Counterfeit Electronic Parts Avoidance, Detection, Mitigation and Disposition as a guide. The US government or representative also has the right to perform an inspection at the seller’s facility in order to insure compliance to requirements in fulfillment of a government contract. 4 - Special processes (JY): Special process suppliers MUST be customer or NADCAP approved for the SPECIFIED process. This includes coatings, painting, plating, heat treating, etc. Each shipment shall include a signed certification of analysis, C of A indicating the material number, description, specification and actual test results. A statement or certificate of compliance (C of C) is not an acceptable substitute for a C of A. 5 - Shelf life: All items with limited shelf life shall be clearly marked with the manufactures name, type of material, shelf life and date of manufacture. Shelf life must be a minimum of 75% remaining, or as specified in the purchase order. 6 – Certificate of Conformance, Compliance (QL, UK): Each shipment shall include a signed certification indicating the material number and revision, description, lot number and specification with traceability to the OEM. 7 – Specialty Metals: DFARS 252.225.xxxx applies 8 – Connector Protection (MS): Each shipment and component is to be sufficiently protected to prevent damage and foreign object debris (FOD) during assembly, test, storage and test. 9 – Foreign Object Debris (FOD): The product or processes supplied shall be produced in an environment that is free of foreign objects. Effective FOD prevention practices shall be utilized. 10 – Records Retention (G4): Suppliers records of product, process control and quality records must be retained for ten (10) years or as specified in the contract or purchase order and be made available upon request. The records should be sufficient to determine that the product or service provided meets the specified requirements. 11 – Conflict Materials: Suppliers are required to conform to the requirements of the DoddFrank Act regarding “conflict minerals”.
