Mass Communication Contact Listings
1.0 Purpose
Open communications to our campus community is vital to the programs and services the university offers.
Coordinated messages, rather than a flurry of random messages, can benefit the end user. This policy outlines the
approving authorities that determine if contact information for a group or population will be provided to the
requester.
2.0 Scope
Anyone requesting a contact listing for EMU students, faculty, or staff. This includes listings that contain mailing
addresses, phone numbers, or email addresses.
3.0 Policy
1.
Approval must be received from the university executive that oversees the intended recipient audience, per the
requirements below. An emailed approval is acceptable.
2.
For contact information for Students, Faculty, and/or Lecturers
a. If the target audience is contained within a single academic department, approval from the Department
Head is required
b. If the target audience is contained within a single academic college, approval from that College’s Dean
is required
c. If the target audience spans multiple colleges, approval from the Provost is required
3.
For contact information for Staff
a. If the target audience is contained within a single division, approval from the division’s top executive
is required
b. If the target audience spans multiple divisions, approval from the Office of Communications is
required
4.
Offices exempt from these requirements
Certain university offices are charged with providing communications to university constituents as part of their
organizational mission or responsibilities. Therefore, the following offices are exempt from these pre-approval
requirements:

4.0 Responsibility for Implementation
The University’s Chief Information Officer is responsible for the implementation of this policy.

5.0 Enforcement
Any employee found to violate federal or State of Michigan laws, EMU policies, procedures or standards of
conduct, will be subject to disciplinary action under University policy. Any student found to violate federal or State
of Michigan laws, EMU policies, procedures or standards of conduct, will be subject to disciplinary action under
EMU’s Student Code of Conduct. Any suspected violation of state or federal laws will be reported to the appropriate
legal authority for investigation.
The University reserves the right to protect its electronic resources from threats of immediate harm. This may
include activities such as disconnecting an offending computer system from the campus network, terminating a
running job on a computer system, or taking other action.
