3 Introduction
This document covers how to set up an Out of Office auto-reply message and how to
switch it off on your return.
4 Setting up an Out of Office auto-reply
Tip! You can set two different “Out of Office” messages: one in reply to email from
“Inside My Organization” and other in reply to email from “Outside My Organisation”.
This gives you the flexibility of sending a different message to different groups of
correspondents.
1. From the Tools menu choose Out of Office Assistant...
2. The Out of Office Assistance dialogue box appears
3. Click on the Send Out of Office auto-replies radio button
4. You can now choose, if your wish, to select the box underneath which reads Only
send during this time range: and then choose your start and end times
Tip! If you do not specify a start and end time, auto-replies will be sent until you
explicitly turn off your Out of Office auto-reply by clicking Do not send Out of Office

auto-replies when you return to work. Note: Outlook notifies you when you have Out
of Office auto-relies switched on.
5. On the Inside My Organization tab, type in your out of office message
6. To send auto-replies to those outside UCL (anyone who is not a live@UCL user),
click on the Outside My Organization tab
7. Click on the check box Auto-reply to people outside my organization
8. Ensure the radio button Anyone outside my organization is selected
9. Type in your out of office message for external correspondents
Tip! On the Outside My Organization tab, rather than sending an automatic rely to
everyone that sends you a message while you are way, you can specify to reply to
My Contacts only. Please note: The contact must exist in your live@UCL account. If
a contact exists only in your Personal Folders, the auto-reply message will not be
sent.
