This document covers how you open or
In Outlook 2007, you can open a colleague's calendar if either:
Your colleague has shared their calendar with you using Share my Calendar
Your department has an ‘open Calendar’ policy which means that all
Calendars are open to colleagues in the same department but closed (entries seen as Free/Busy only) to the rest of UCL.
How much detail you see in the Calendar is dependent on the permissions that the other user has set.
In Outlook 2007, if you attempt to open a calendar that is not “shared” with you, you will see a dialogue box with the message “ You do not have permissions to view this calendar ”.
1. Click on the Calendar button in the Navigation pane
2. Select Open a Shared Calendar... from the Calendar Navigation pane outlook2007-view-other-calendar.docx

3. The Open a Shared Calendar window appears. Click on the Name...
button
4. Ensure that you are searching the Global Address List . Type in the name in the
Search box and click on Go .

When you have located your colleague’s entry, click on OK
6. The name of the person for whom you were searching will appear in the Open a

7. The new calendar will be listed under
People’s Calendars
in the Navigation
Pane. It will also appear in the Reading Pane next to yours in a different colour.
You can choose to view side by side in Week view, Day or Month view.
When viewing another user's calendar you will be viewing in read-only mode, unless you have been given permissions to edit their agenda.
8. If you want to view just your calendar, or just the other person's calendar, remove the ticks from the relevant boxes in the Navigation Pane.
Tip!
As you open more Peoples’ Calendars, the list in the Navigation Pane will grow.
You can remove a Calendar from this list at any time by right-mouse-clicking on the calendar and selecting
Delete “<Name of calendar owner>”

Note: Even if another Live@UCL user has not shared their Calendar with you, you can still using the Scheduling Assistant to see their availability (whether they are free or busy, but no details of their appointments). outlook2007-view-other-calendar.docx
