Working Group Members Present:

Meeting Notes

Welcome & Introductions
o Meeting safety briefing provided by Shannon Greenwell and Katherine Knapp

GreenDOT Updates
o 2014 GreenDOT Implementation Report:
 GreenDOT team is currently working with MassDOT Divisions and Shared Service
units to review report metric indicators and gather corresponding data
 The GreenDOT team is working to release the report in December, 2014
 The report will provide a survey of sustainable efforts being conducted across
the DOT; as well as, lay out how sustainability metrics will be measured in the
future
o GreenDOT will be meeting with all four of the GreenDOT Advisory Working Groups within
the next few weeks. Beyond the Communication & Technology Transfer Group, there are
also the Mode Shift Working Group, the Sustainable DOT Group, and the Data &
Performance Measures Group. Updates from the individual working groups will be provided
at the GreenDOT Advisory Group Meeting: September 18th, 2-4 PM, in Conference Room 1
on the second floor of 10 Park Plaza

Role of the Communications & Technology Transfer Working Group
o Member expectations
 Present and discuss best practices and ideas on communication strategies from
members’ organizations and the industry
 Provide input on MassDOT communication efforts
 GreenDOT presented their interested in focusing Working Group meetings
on:
o How to provide data heavy and accessible updates in a consistent
manner




The Working Group shared their interest in discussing the
format of the upcoming 2014 GreenDOT Report at future
meetings
o How to use technology to best track program implementation and
metric messurement
 The Working Group identified the Google drive and the Adobe
Creative Cloud platforms as possible ways to communicate
and track specific GreenDOT Implementation indicators. The
Working Group expressed their desire to continue the
discussion at a later meeting
o How to promote internal programs that require both user education
and encouragement
 The Working Group agreed on the importance of user
education and promotional for existing internal MassDOT
programs, such as the MassDOT bike pool. The Working
Group communicatied their interest in furthering the discussion
on this topic at future meetings
 The Working Group conferred their desire to analize the GreenDOT webpage
and provide recommendations
o One of the recommendations discussed at the meeting was the need
for multi-media interation on the webpage, and the highlighting of
individuals’ efforts towards sustainability at MassDOT
 The Working Group explored the idea of coordinating with
Emerson College to produce short videos (approximately two
minutes in length) through out the upcoming school year
 GreenDOT agreed to consider the practibility of partnering with
Emerson for the video production and to report back to the
Working Group on their findings at a later meeting
The Working Group agreed upon the use of email for sharing information and
materials related to addressed meeting topics
 In the future, such information and materials will be shared through the
GreenDOT webpage. Working Group members will be made aware of this
change upon completion of updates to the GreenDOT webpage
The Working Group conveyed their desire to schedule future meetings in the late
afternoon on a monthly basis
