Committee Reports
3 minutes per committee
The senate t-shirts are here! See Stephanie if you have not gotten yours yet. The Budget Committee meeting was
cancelled this week due to Welcome Week. During the Executive Meeting held last week, a letter was drafted that would
be sent out to speakers that we would like to have come to our meetings. There was an unofficial bylaws meeting held
yesterday when penalty responsibility and misuse of public funds were discussed, however no conclusions were made as
these are very debatable issues. Discussion was also held about having Senator Reports be written reports that can be
gathered together and read briefly at each minute in order to shorten the length of time to get through them. The Cabrillo
College budget has been passed and is completely finalized and Trustee Watkins can provide you a copy to review if you
would like. The first PR committee meeting will be tomorrow at 3pm.

Special Items
A. Print on Demand Video
Information / Discussion
D. Constantino
10 Minutes
Senator Constantino played for the Senate the YouTube video called The Espresso Book Machine, which explained
how the printer works for print-on-demand books. This machine is much more advanced than just a multi-page
printer; it binds the book, costs just pennies per page, uses standard toner and paper and creates entire books in
just minutes. Some instructors use only certain chapters from a book, and there are options available to print some
and not all chapters if desired. In addition to being a benefit to the students, this could also generate revenue from
the community, as self-published authors will have the opportunity to print their own books. The Bookstore has the
money in their reserve to renovate, and the cost for this machine would come from that budget. Every student would
have access to this machine, and there will be on call technical support for any rare circumstances when the
machine would require repair. Time extended by 5 minutes by approval of 10 yeas, 5 nays. This print on-demand
system is already in use on university campuses, and there have not been any issues that the schools have
reported. We need to approach the Bookstore and get approval on this before we can make a point of action.

G. Avila
10 Minutes
We have already approved the use of this service on campus. Sesario has contacted the IT department and the
Vice President regarding putting our logo on this website, but he has not received word back from them yet. When
we are ready to move forward we will have the representative from Myedu come out to campus and speak to us,
providing answers to questions we may have and also providing us posters to hang on campus. Sesario will also
speak with the representative from Myedu to determine where the one dollar profit for each student will go to. Email
Gaby if you have any questions that you would like to discuss with the representative, as she will actually be going
out of town for two months so we will need to expedite this quickly.

additional questions, you can email Gaby.

This item is up for discussion / possible action regarding the approval of $500.00 from the ____ Account to help fund

Senator Riparetti moves to approve $500 from the Programs Account to help fund a field trip for the CG 51- Into. To
College at the Watsonville Campus so that they can visit several colleges and universities. Senator Barlow seconds
the motion. It was discussed whether the business office could put a hold on this, and was determined that unless we
do something illegal, the business office won’t intervene with our financial decisions. This fund would help fund about
1/3 of the cost for the transportation for the students who really need this, and the students will still be responsible for
2/3 of the total cost of the field trip. Motion goes to vote.

is currently taking 17 units on Mondays and Wednesdays and her major is nursing. Jillian is moving to Hawaii in four

the last meeting, but ensures she will be early in the future. Jillian is setting up a Friday night Ladies craft night and
wants to create a drug and alcohol program here on campus. She would like to put a donation box on campus to collect
funds to have a DJ play during the day.
Cynthia: Cynthia prefers to be called Summer. Summer is in the leadership club, and is a hypnotherapist. She would like
to incorporate the Senate taking three deep breathes at the beginning of our meetings. She is writing a book and

This item is up for discussion and possible action regarding the approval of $1000.00 from the ______ Account for
the yearly Teacher Staff Appreciation Dinner that AGS hosts
Cedar, president of AGS, explained that annually the AGS invites faculty and staff to come to the cafeteria for a
catered dinner. The money requested would cover catering costs. It is expected to have about 100 faculty and staff
present at the event. Senator Barlow moves to approve $1000 from the Programs Account for the yearly Teacher
Staff Appreciation Dinner that AGS hosts. Senator Venegas seconds the motion. There is some concern that $1000
is a bit high because AGS would be responsible for only $420 towards the event. Trustee Watkins moves to amend
the motion to $500 instead of $1000. Treasurer Gomez seconds the motion.

Written Committee Reports
Information / Discussion

10 Minutes
This item is up for discussion regarding the written reports that all Internal and Ad-Hoc committee chairs must
submit at the end of each month.
Those who are chairs for internal and adhoc committees are responsible to turn in a report at the end of each
month. This report can include what you may need help with, what you have done, what you may need support with
etc. You can submit these reports to Alex. This is already in our bylaws and we should have been doing this up to
this point, so please be sure to turn the reports in. You don’t even have to actually print out the report and hand it to
Alex, as everyone will soon have access to a drop box where you can store these documents in a shared folder.
This shared folder will also include the minutes and agendas and other reports to assist future senates as well as
our own. Ivan has sent out an email regarding the drop box.

President: Charlotte Achen: If you don’t have anything to say in your report, it’s okay! A suggestion would be to write
out your report ahead of time so that we are not wasting much time in the meetings. Next week there will be town hall
meetings. The first one is Wed. Sept. 21 at 2pm and the second one is Thur. Sept. 22 at 11am. Both meetings will be
held at the Sesnon House. You are encouraged to go to at least one of them. Thank you to everyone who helped with
Welcome Week! We apologize for the delay with the business cards as we had to switch companies that we will be
getting them from. Also, if you have Jerry on your email lists, please remove him per his request.
Vice President: Oleksii Chuiko: Congrats Summer and welcome to the Senate! We approved an amended item last
week allowing the Wellness Fair the funding they needed assuming they would host their event outside. After
returning to them with the amended approval, they have expressed frustrations that they will be unable to host this
event outside this year since they had already been planning to host it in the cafeteria. They are happy to move the
event outside next year, but they do not have time to prepare to move the event outside this year. They have
suggested having people posted in the quad and outside near SAC East to advertise to the students to send them
into the cafeteria. We will have to amend this back to the original statement in order to allow the funding to work out
for the event. Also, we already have the drop box folder set up, and Alex will email you the link to connect to the

Sharon for such a great job during Welcome Week! She was there the entire day on Tuesday, and I brought in some

Student Trustee: Joseph Watkins: Sharon did an awesome job during Welcome Week! Tomorrow, the textbook
committee will meet at 2:45pm. Just a reminder you do not need to second a motion if you are not interested in it.
Congratulations to Summer!
Inter-Club Council Chair: Ivan Sumano-Vargas: Thank you for showing your appreciation. I did get the ballots passed

they have to pay back the loan and they said they would. The bike coop also requested $500 for supplies which was

Sesario Escoto: We also had a successful Welcome Week at the Scotts Valley Center! Again we need the
roster updated and I will need a copy of it quickly. We should all try to wear our Senate t-shirts regularly on
Thursdays. We need to add to the bylaws something regarding resignation and whether it must be written or
if verbal will be accepted. Personally I think you should get it in writing so there is no question about it in the
future. Students in the Leadership Class now that it is important to take notes during meeting; maybe
keeping the reports together for the committees and meetings in a 3-ring binder would be a helpful idea.

relationships and friendships. I want each of you to succeed in your passions, but when you aren’t reading
your bylaws are you are extending your rules for ‘elections’ when it isn’t ‘elections,’ it’s ‘filling vacancies,’ I
worry that you have not read them thoroughly. I encourage you to read and learn your bylaws so that you are

Sesario: I prompted you twice to read your bylaws and you didn’t do it; what ideas do you have on this? You
approved to suspend the rules on the wrong things today. My biggest issue with this was that no one opened the
bylaws binders even after you were prompted to do so.
Flor: Someone got appointed today and nobody knew it during the voting; you didn’t even realize what you were
doing. You were under the impression the voting was 2/3rds and you were prompted to then look at the bylaws but
nobody did. This is basic procedure and you should be familiar with it. This is also a learning situation for you. Why
wouldn’t you want to approve them? Were they not meeting your standards? You never have enough people power
and you are still in school. Maybe you need to change the amendment to say the majority of those voting for a
candidate will win but the current bylaws do not allow you to pick no one when there are more than one candidate. I
advise you to amend this and clarify how you would like the bylaws to read regarding this issue. In addition,
remember everyone who wants to be involved in the Senate can be by joining committees; you don’t only have to be
a Senator. It is a matter of responsibility that we get receipts for the money we pass out and not just do transfers
anymore. It is a concern that we do not increase the paperwork. We should table this idea for the next agenda so that
we can discuss it more.
