New Student Club Registration 2014-2015
New Club Registration Process and Timeline in 3 Easy Steps!
New club registration- Monday, September 15 until Friday, October 10, 2014
Student Clubs granted recognition are informed by email on
Wednesday, October 15
Step 1: File Intent to Register
Students interested in starting a club must submit the Intent to Register form online (Google
Doc):New Student Organization Intent Registration Form
An SA advisor will contact students regarding their submission of the form, and if there are
any questions or confusion about your registration submission, per the Student Organization
Recognition Process, an SA advisor representative will schedule a meeting with your team.
Step 2: Training & Development
Once submission of intent is approved by SA Advisor at least two executive board members
and an underclass member who serves as an alternate; must attend training for the following
areas:
Event Planning Basics with 25Live
UCSA New Club Orientation
Club Financial Training
For our Club Financial training, the Treasurer must be one of the two attending executive board members. More
than two members are welcome to attend each workshop; only three members will be able to receive the
benefits of attending, namely access to the online space request and signature authority on financial forms.
Event Planning Basics with 25Live
New student organizations that plan on requesting space for meetings or events this upcoming year must send
one member from the organization to attend one of the designated event planner workshops. This is designed to
provide information and access to the 25Live scheduling system as the designated space requestor for the 20142015 academic year. Students are encouraged to bring laptops for the training session. The training sessions are
included in the table below. (Please reserve a seat for one of the dates below: 25Live Event Planning Training

UCSA New Club Orientation
Want to start a new club? Interested in the inner workings of club life at AU?
The UCSA Club Orientation will walk you through what to expect as a new club leader here at American
University.
This session will provide an overview of the programming timeline for the academic year, and additional
information that can aid your club in working with the process, policy and procedures of the University Center &
Student Activities.
Session 1 – Friday, September 19th (1:00-2:00pm) / MGC 203/205
Session 2- Friday, September 26th (1:00-2:00pm) / MGC 203/205
Session 3- Friday, October 10th

Club Financial Training
--Make sure two members of your leadership team (the treasurer, and another e-board member) attend Financial
Leadership Training that will be held at the following times. (Only 50 seats per session, Please reserve a seat:

Step 3: Student Organization Network Registration
Submit a SON network new club registration document by Wednesday October 8, 2014.
Login Part 1: www.american.edu/SON
Login Part 2:
To include:
• Constitution/bylaw draft
• Organization membership roster (minimum 8 members)
o Executive board members must have a 2.5 cumulative GPA and be in good disciplinary
standing to be eligible
• General club email address/website/Facebook
• Club Contact representative
• Faculty or staff advisor information, your club Volunteer Advisor Form
Organization leaders must ask their volunteer faculty/staff/alumni(nae) advisor to complete a volunteer advisor
agreement form. The completed form must be scanned and uploaded into SON no later than Wednesday,
October 8, 2014.
