Job description
Reporting to the Head of Public Relations (HPR), the Events Co-ordinator will help to ensure
that a variety of IFS and cemmap events are administered and organised smoothly and
efficiently.
This role provides high quality administrative and customer service support within the Institute
and to external stakeholders involved in our events programme. The post holder will have sole
responsibility for the co-ordination of a wide programme of seminars and workshops and will
oversee all training courses. They will assist in organising a range of events including briefings,
academic conferences and a bi-annual residential conference and take the lead on a selection of
events, with the support of the HPR and Events Manager (EM).
Main responsibilities
Event Co-ordination
Coordinate a suite of training courses and seminars. Duties include:








Manage event bookings.
Liaise with speakers to determine the programme and event structure.
Book venues.
Book accommodation.
Compile course materials.
Coordinate payment.
Maintain and update records in the IFS contacts database.
Answer event enquires and monitor the events email.
Assist the Events Manager with onsite coordination at all IFS events.
Assist the Events Manager with marketing (online and print) of all IFS events.
Help to co-ordinate the production and dissemination of printed and electronic marketing
materials.
Visitor Management
Duties include:
 Maintain records of upcoming visitors to the IFS.
 Liaise with the visitor’s IFS host to confirm requirements.
 Manage and coordinate accommodation and travel arrangement as required.
 Welcome and assist the visitor upon arrival at the IFS.
Other duties

Manage an online events calendar and ensure that rooms and catering for all internal
and external events are booked using an online booking system.

Take responsibility for the production and dissemination of regular staff events

Person specification
Skills / experience






At least one year’s continuous work experience in a similar or related role
Articulate and literate to a high level with proven communication skills
Good customer service skills and an ability to work with a variety of stakeholders
Solid administration skills, including good working knowledge of Microsoft Office
Professional experience of organising or administering events
Ability to multi-task and manage diaries
Qualifications
 Degree or equivalent
Personal qualities




Friendly and personable
A keenness to learn and an interest in events and the not-for-profit sector
An efficient self-starter who can plan their own diary and use initiative
Good team player who is happy to be a part of a busy and effective administration team
and to ‘muck in’ and be flexible when required (some events will require the post-holder
to work outside normal office hours)
