Call to Order • Meeting was called to order at 11:04 AM in the MBB 6000-level lounge. 2. Appointment of the Chair • MOVED to appoint Michael Jones as Chair for this meeting. Moved by: Alisa Paterson Seconded by: Danielle Wilson MOTION CARRIED. • Michael Jones (President) was appointed Chair for this meeting. 3. Appointment of the Secretary • MOVED to appoint Alisa Paterson (Secretary) as Secretary for this meeting. Moved by: Michael Jones Seconded by: Reagan Belan MOTION CARRIED. • Alisa Paterson (Secretary) was appointed Secretary for this meeting. 4. Approval of Minutes • MOVED to approve the minutes of the April 16, 2013 Chemistry Graduate Caucus meeting. Moved by: Michael Jones Seconded by: Brandy Kinkead MOTION CARRIED. 5. New Student Orientation • There are 7 new graduate students joining the Chemistry Department this summer semester. The Caucus will also contact students who began in January, as a new student event was not held in the Spring Semester Page 2 of 3 • • • The date is tentatively set for May 15, 2013. This orientation will give the students a small tour, and provide information on policies, courses, and resources. It will also serve as an opportunity to get to know the new students. A budget of up to $100 for food and drink was approved in the minutes from April 16, 2013. In September, the Caucus will host a more formal general orientation, and the new students from the summer semester will be invited in addition to incoming students in the fall. Rob Britton (Graduate Program Chair) will give a PowerPoint presentation. 6. Immigration Lawyer (May 2, 2013; 11:00 am – 12:00 pm) • The Chemistry and Physics Caucuses will contribute $100 each, and the MBB Caucus will contribute $50. Social Coordinator (Cekic) will speak to the Himalayan Peak to determine what food can be provided with a $250 budget, including taxes and gratuity. • The President (Jones) emailed the advertisement for the event to the Chemistry Department and forwarded this advertisement to Physics and MBB. • The DGSC Rep (Kinkead) will make a poster for Caucus members to print and post for advertisement. 7. Soccer Social • The Sports Rep (Fan) will book the field for the annual Soccer Social. The Caucus will aim for a 3:00 pm or 4:00 pm start. The Chair of the Chemistry Department (Ye) has provided a few preferred general times for the end of July. 8. Summer Semester Sales • The VP (Belan) has booked a table for sales from May 6 to May 17 (excluding May 14 and 15 due to clubs days occupying tables). • The Secretary (Paterson) has sent out a doodle calendar in order to designate shifts for sales. Each shift is from 11:00 am to 1:00 pm. Caucus members should only sign up for shifts they intend to do, with a maximum of two people per shift, in order to eliminate the need for sending out a second schedule, as has been done in the past. • The President (Jones) will order the $10 safety glasses. • The Caucus will look into costs for ordering lab coats for future sales.
