Unit Functions/Goals 1) Coordinate the accreditation team visit and provide logistical support to the visiting team Fiscal Year: 2011-12 Comments Supported district accreditation activities as needed, from preparing agendas, to proofing documents, processes, and coordinating meetings. The fall 2011 visit was successful and the team was provided all necessary support. 2) Provide support for curriculum and degrees During the 2010-11 year, academic staff support was provided for 53 course revisions, 54 course inactivations, 12 new course proposals; 5 degree revisions, 2 new/reactivated degrees and inactivated 6 degree programs. During the 2011-12 academic year staff support was provided for 111course revisions, 32 course inactivations, 45 new course proposals; 23 degree revisions, 12 new degree/certificates and for the creation of 2 AB 1440 transfer degrees. 3) Serve as the interface/liaison with the Academic Senate related matters. Regular scheduled meetings were held with senate co-presidents. Assisted the following committees: Min. Qual., ASPC, Curriculum, Tenure and sabbatical. 4) Provide support for program review. Provided weekly agendas and minutes. Posted agendas and minutes to web; collated the program reviews and accompanying documents for PRC meetings and posted to web; prepared program review committee meeting summaries and posted to the web, along with the master summary. Revised web as needed during the year. 5) Provide support for assessment. Negotiated release time for assessment coordinator. Assisted in the development of the assessment software/template. Assisted in the development of spring 2012 assessment plans/schedule. The volume of yearly assessments anticipated in 2012-13 and beyond requires additional staff support. Provided assistance in setting up assessment committee meetings, assessment coordinator travel and trainings, hiring a temporary part-time assessment support person, and posting to the assessment committee website. 6) Maintain a functioning Institutional Research office. IR director was hired. 7) Coordinate support for associate faculty. Associate faculty coordinator provided orientations, coordinated professional development, supported faculty evaluations, and maintained required paperwork for associate faculty. 8)a. Provide support for distance education During both the 2010-11 and 2011-12 academic years, provided student online orientations, offered numerous (primarily) faculty workshops over the academic year, and provided one-on-one, and small group assistance as needed. During the 2010-11 year, supported and tested the Tegrity lecture capture system, including training, which is now part 8)b. Provide more professional development for staff of the College of the Canyon’s Distance Education Captioning and Transcription grant. All recordings in Tegrity are captioned. We even had the grant caption the previous pilot videos. Work directly with the professional development committee to determine the needs of and provide more training for staff. 9) Coordinate catalog production Catalog was produced. 10) Support for Division Deans Measureable Performance Indicators 1) Curriculum proposals processed Assisted division deans as needed with including budget related issues and emergency funding. FY 2011-12 (to 4/27/12) 223 total curriculum course, certificate and degree proposals including deactivations, revised, and new. 2. 2) Number of course sections scheduled FY 2011-12: 1703 sections scheduled; 1615 active; 1523 total for spring and fall terms FY 2010-11: 1829 sections scheduled; 1703 active; 1632 total for spring and fall terms 3) Posting of Dean’s Council agendas and meeting notes. 100% for FY 2010-11 and 2011-12 (to date) 4) Posting of Program Review ……… 100% for FY 2010-11 and 2011-12 upon completion of the Spring 2012 process: approximately 5/4/12 5) Number of Technology-based professional development training offered to students, faculty and staff STUDENT WORKSHOPS From the Summer of 2010 through June of 2011, the Distance Education Department has had 188 students in 13 of its free, fully online orientation, “Distance Education 101” also known as “DE 101.” The orientation takes place over two weeks and the four modules and discussion forums open up like an actual class. From the Summer of 2011 through April of 2012, the Distance Education Department has had 188 students in 12 of its free, fully online orientation, “Distance Education 101” also known as “DE 101.” The orientation takes place over two weeks and the four modules and discussion forums open up like an actual class FACULTY WORKSHOPS From July 2010 through June 2011, the Distance Education Department offered 24 workshops for faculty on online teaching and learning and education technology. From Winter 2011 through Spring 2012, the Distance Education Department offered 25 workshops for faculty on online teaching and learning and education technology. STAFF WORKSHOPS This is new but as an experiment, we facilitated a workshop on MS Excel for staff. We considered it successful and 15 staff members participated. We plan on working with the Professional Development Committee and offering more workshops for staff based on their feedback from the Professional Develop Committee’s staff survey which was conducted this year. LECTURE CAPTURE In the Winter of 2010 we ran a pilot of the Tegrity lecture capture system. We had 8 classes using the system. We now have 23 classes using it. Tegrity is now part of the College of the Canyon’s Distance Education Captioning and Transcription grant. All recordings in Tegrity are captioned. We even had the grant caption the previous pilot videos. Budget Needs/Resource Requests 1) $10 – 12,000 for fall 2012 accreditation visit 2) Additional staff to support assessment.
