HR- REQUEST FOR CLASSIFICATION PROTOCOL A protocol for classifications and reclassification requests is being implemented in an effort to improve efficiency in processing requests. The following link provides an overview and instructions on how to complete the Position Description Questionnaire (PDQ) form: http://uncw.edu/hr/documents/PDQ-final.pdf. The Word document can be used to draft information prior to the update in PeopleAdmin. This information can then be easily transferred to PeopleAdmin for submission. PeopleAdmin is used to initiate or change the title and/or description of the duties and responsibilities of the position. All vacant positions to be recruited are processed through People Admin to post to reflect the most current job description. See the table below for specific action types and time frame for completion. The following table provides information on the time schedule for Human Resources response to the department officials regarding the status and/or estimated date of completion for actions. The department official will be notified immediately if a deviation from the published schedule is anticipated. Action New Position for Recruitment Description Request for classification of a new position authorized through the budget process. Vacant Established Position for Recruitment Request for review of a vacant position to post with or without a change in the classification prior to posting. Classification Audit of Currently Filled Position Request for review of individual position will be completed as requested by departments through PeopleAdmin. Organizational Request for an organizational review Reviews of all or most positions in a department. Time Frame for Completion The review for all completed requests received in PeopleAdmin for a new position will be initiated within ten (10) business days of receipt. The length of time to complete the review will depend on the depth of the evaluation. The review for all completed requests received in PeopleAdmin for posting a vacant position will be initiated within ten (10) business days of receipt. The length of time to complete the review will depend on the amount of significant changes identified in the position study. Positions requiring classification changes prior to posting will depend on the depth of evaluation, but most will be completed within fourteen (14) business days. The review for all completed requests received in PeopleAdmin for reclassification actions for currently filled position will be initiated within fifteen (15) business days of receipt. The length of time to complete the review will depend on the amount of significant changes identified in the position study, but most will be completed within twenty (20) business days. Request should be in writing to the Director, Recruitment and Compensation. The review will be scheduled with the Classification & Compensation team based on the specific request. The department will be notified of an action plan and schedule.
