University Library Committee Meeting Minutes 3/14/12 Members present: B. Brown, S. Brown, B. Clark, G. Coon, D. Patterson, T. Ravas Ex-officio member present: F. Snyder Members absent/excused: D. Affleck, K. James, L. Muir, D. Molgaard The meeting was called to order at 4:10 p.m. The minutes from 10/10/12 and 2/13/12 were approved. Communication Items: Continuing members should think about whether they are willing to serve as chair next academic year. A chair must be identified at the April meeting. Interim Dean Snyder provided various updates. The search for the Library Dean is underway. It is hoped that a new dean will be on board by July 1st. There are six representatives from the library on the Search Committee. However, there is no representation from the affiliated campuses. The Executive Committee of the Senate submitted nominations to the Provost’s Office, but was not informed of the appointment. Chair Brown will follow-up with the Provost. Learning Commons efforts continue. It is likely the name will be shifting to Library Commons. Many ideas were shared at the all library meeting. A group is meeting with the second architect tomorrow and Megan Stark will be meeting with students in a few weeks to gather ideas. Fundraisers are waiting for figures from the architect. Interim Dean Snyder has a meeting with the Provost and Jerry Fetz on Friday. The library has a yearly furniture budget. It is working to replace the old desks with modern furniture that is appealing to students. The division heads meet every Wednesday to discuss and make decisions regarding the equipment list and budget status. The library plans to install baby-changer stations and wireless antennas to cover the entire library. Interim Dean Snyder has asked for the building plans for the new College of Technology building. Originally the library was going to remain in the current location. The College of Technology Librarian teaches several information literacy courses. The College of Technology also provides library support for the Bitterroot College. The Library has been proactive in reaching out to the Bitterroot faculty and students. The online lending model is used to provide services. The library will have two candidates on campus in two weeks for the Bibliographic Management position. Searches for the other vacant positions will be postponed until after the new dean has been hired. The library will continue the same service with regard to course reserve materials next year. The library thought about phasing out the hosting of course pages with the transition to Moodle, but there has been no mandate to do so and some faculty have expressed a need for the library to continue providing this service. It may be interesting for the Committee to review the statistics regarding this service at some point. Professor Brown will send the exact language for the annual report to go the Faculty Senate considering last years’ language caused concern. Minor changes were made to the proposed library hours. The revision is simpler and should be easily remembered. Once approved by the administration, the hours will remain in place for 2-3 years. The Department Liaison Meeting has been canceled due to lack of participants. Only 3 faculty members responded to the invitation. A follow-up message was sent encouraging new faculty to work with the subject librarians. Members were given a brief tour of Circulation, Reserves, Interlibrary Loan, and the Printing Facilities (Paw Print) by the Manager, Patricia Dasilva. This area of the library has 12 staff members and 40-50 student employees. A supervisor is on duty for the entire 110 hours per week that the library is open. Circulation is responsible for checking out all materials, including head phones, eBook readers, lap tops, study carols, and rooms. Circulation also retrieves items from the stacks to put on hold or send through campus mail. The technology support counter is staffed mainly by students and provides basic help with computer issues. Every computer can send a print job to Paw Print. There is a charge for each copy. Paw Print can also scan items and print large signs (up to 54 inches long and 44 inches wide). There are microform and microfiche readers available that print copies as well. Students are also able to scan pages from books and journals on to a flash drive or phone. The Multi Media Center converts VHS to DVD, LP or cassettes to digital format, and scans slides, film and other documents. Interlibrary Loan provides access to materials not located at UM, but also offers UM materials to others. Last year it loaned and borrowed over 31,000 materials. Students and faculty have the option to receive an email or text when their item has arrived. Access Services maintains the stacks, buildings, learning station set up (tables and chairs), and security of the library. The meeting was adjourned at 5:00 p.m.
