Purpose

Winthrop University has selected Digital Measures’ Activity Insight system (AI) to provide a secure, reliable database through which to collect and store information on faculty engagement. Once entered by a faculty member or pulled from a source like Banner, faculty information can be organized into different types of documents such as a faculty annual report or a department directory. Further, the database structure provides the faculty member with a resource to archive material related to university roles such as copies of scholarly/creative products and materials created through stewardship roles. The database structure allows information to be entered once, and then this information can be automatically reformatted for multiple purposes.

Currently when two faculty members from WU collaborate on a scholarly product each must report on their work individually. With the AI system the lead author can enter the information needed for a citation in to AI and it is immediately available to both faculty for their annual report, an AI-generated CV, and promotion and tenure portfolios.

Currently, to achieve all of these goals each faculty member would have entered the item on his/her CV, then both would have to enter it on annual reports and reorganize the entry for tenure and promotion documents. This information will also be immediately available for department, college, and university reports without the need to manually pull information from individual annual reports to then be reformatted to fit the particular needs of the document.

In addition to making data more accessible and flexible, a product such as AI can quickly and easily provide more up-todate reports. As faculty enter information throughout the academic year, reports can be run to get the most current information on faculty work for use by the university, college, or department without having to specifically and individually ask faculty to provide highlights at multiple points during the academic year. AI will allow us to tell the

Winthrop story to external audiences easily by generating in-the-moment reports of current faculty involvement. For example, a report could be generated on grants and publications by the Dean’s office before a Board of Trustee meeting to inform a presentation on updates about the college.

Getting Help

For clarification on where an activity should be entered in AI, start by asking your chair. S/he will be the most familiar with how this activity fits into the college and university faculty roles definitions. The Dean’s office staff members are available to provide advice and assistance as well.

For technical help, contact the Associate Dean or College Technology Coordinator.

Corrections to restricted information should be directed to the Associate Dean.

General Policies

Individuals with Access to AI Information

In general, neither the nature of the information nor the persons authorized to access it will change with the implementation of AI. The way in which this information is stored and accessed however does change. Individuals in supervisory roles have access to information for anyone they supervise. For example, the department chair or his/her designee has access to information for anyone who is full- or part-time in his/her department. Individuals at the Dean’s office level (Dean, Associate Dean, Technology Coordinator, and administrative personnel) have access to the records for everyone in the college. University administrators in Academic Affairs have access to everyone in the system.

Data Management

With the exception of a few restricted fields on the Administrative Data - Permanent Data/Yearly Data and Scheduled

Teaching Screens, faculty members have full control over the information entered. Further, if a faculty member suspects that any data have been inappropriately altered, the Associate Dean and College Technology Coordinator has the ability

to trace back exactly what was changed and by whom. If a typographical error or field error is detected, a change will be made to facilitate the creation of reports. Such corrections will be reported to the faculty member if significant

(correction of spelling is not significant , but fixing the way information is entered on a screen to facilitate reporting is significant ). If someone in a supervisory position disagrees with the classification of work by the faculty member, the supervisor will discuss the issue with the faculty member; however, it is the faculty member’s choice as to whether the entry is changed. It is also the supervisor’s responsibility to note disagreements (if they remain after discussion) in regular reviews that are part of the faculty’s record.

Use of Data:

Faculty Annual Reports will be generated from AI at the department level on or about May 15 each academic year. As with the current process, chairs and faculty members may discuss and make changes to the report in AI and run a new report if issues are found. Faculty are encouraged to generate a copy of the annual report for review before May 15 and then to fix any issues in AI so that changes will appear on all subsequent reports. The faculty member should generate a complete annual report from the system and submit electronically to the chair no later than May 15. The submitted PDF will be reviewed by the chair and the chair’s response will be provided to the faculty member outside of the AI system.

The PDF version of the Annual Report is consider the official copy when forwarded to the college office with the signed chair’s response. The document will become part of the faculty member’s permanent personnel file.

Other Reports: Although the Faculty Annual Report is the only official personnel document that will be generated from

AI, the tool will be used by all who have access to generate part or all of additional reports that can be used as a starting point for process such as tenure and promotion portfolios (faculty members), class and office schedules (departments), program annual reports (various levels), CVs stored for accreditation purposes (college office), and notes for sharing work with external audiences (various). Such reports are discussed in later sections of this document and will be updated as additional opportunities are found.

System Navigation Procedures

AI Logon

Access for AI is provided with a single logon through Wingspan. Once a faculty member has logged into Wingspan s/he can find the direct link to AI on the “Home” tab.

Manage Your Activities Feature

Once in the AI system you can access the University menu by clicking on Manage Your Activities .

Department chairs also have access to information for those individuals who are assigned to a program in the department. This allows a chair to pull information for reports at the department level. The chair should monitor whom s/he has access to and report any issues to the Associate Dean. Information must not be altered without the faculty member’s knowledge and consent.

Main Menu

All screens are accessible from the Main Menu. Faculty members can return to the Main Menu by selecting Manage

Your Activities or the Return to Main Menu button pictured here.

Individual screens and purposes will be addressed later in this manual.

Other features

Navigation on Screens - When you first visit AI, we recommend that you spend a few minutes looking through the various screens. To access a screen, click its name. The resulting screen displays records that are stored for that screen.

There are six possible actions you can take from the resulting screen, although not all of these actions will always be available:

Note: For records that you can view but not edit or delete (Read Only), information has been added to the system for you and has been set by your Digital Measures Administrator as un-editable. If such records need revision, contact the Associate Dean.

To copy a record, select . This can be helpful when entering several similar records such as multiple presentations at the same meeting.

Saving Records: When working in the system, it is important that you preserve modifications by selecting one of the

Save buttons at the top or bottom of the screen.

 Saves current entry and returns to previous screen.

 Saves current entry, displays blank screen to begin another.

 Cancels current entry without saving data and returns to previous screen.

Paste Board : Some faculty may be more comfortable typing content outside of the AI environment. If this is the case the faculty member can create all needed information outside of AI and transfer information into AI. At the bottom right of the AI screen is the “Paste Board” tab which works as a clipboard allowing chunks of information to be selected and moved to appropriate fields in AI.

Once the Paste Board tab is selected a space, pictured below, will open up for you to work.

Storing a File: Several screens allow the user to store (or attach) one or more files to a record. Many of the custom reports will attach these files as a link for review by others. Once a file is selected, it can neither be viewed nor changed until the record is saved and the user returns to the record. In most cases only one file can be stored in each area on a record.

Reports to be completed from AI and dates

Faculty Annual Reports: Generated at the department level on or about May 15. If necessary, changes can be made and a new report can be generated. A PDF of the final report will be sent electronically to the Dean’s office with the

Chair’s comments on or before July 20.

Faculty Class and Office Schedules: Generated in the Dean’s office on or about the second Friday of classes. Faculty should have office hours entered in AI, and departments should have instructors finalized in the Banner system.

Official CVs: Generated in the Dean’s office as needed for accreditation purposes. Faculty may also choose to maintain their CVs in the style that they prefer. Faculty can run and review their standard CV in AI at any time. (will not be used until May 2016)

We are continuing to add to this list and welcome suggestions. If you have tables that are required for accreditation please let the Technology Coordinator know the exact title of the form and the accreditation body. Some accrediting bodies have pre-built forms that can be loaded into the system.

Description of Primary Menu Items and Breakdown of Individual Pages

General tips:

Dates are important, but including only a year is sufficient in many situations.

Review all initial data.

Enter data regularly so your information is available for use in Department, College, and University reporting.

General Information

Personal and Contact Information —Collection of contact information, office location, and biography information.

 Should be updated by faculty to reflect current information.

 Please review information at least every August.

These fields are editable by faculty.

Add personal phone numbers and select whether or not the number can be released

If you have more than one phone number to include, click the ADD button.

The Biography, Teaching Interest(s), and

Research Interest(s) fields provide an opportunity for you to include information that you would like to share with the public.

Administrative Data - Permanent Data

 Data on this screen are entered for faculty and should be reviewed initially and then at the time of any change in status

(promotion, review, etc.).

Tenure and promotion data are updated by September 1 st

each year to reflect reviews from the previous cycle.

Issues should be reported to the Associate Dean for review and correction.

For individuals who begin as adjunct faculty and then transition to full-time, adjunct faculty work is only noted on the Academic,

Government, Military, and

Professional Positions screen.

Dates typically are entered as month and year only.

Executive Professor is used only in

College of Business Administration.

Administrative Data - Yearly Data

Data on this screen are entered for faculty and should be reviewed initially and then by September 1 st

each year.

 Note that checking for departments and programs is especially important so that the department chair will have access to your work for annual reports.

Issues should be reported to the Associate Dean for review and correction.

Adding additional departments allows both primary and secondary supervisors to have access to faculty information for a particular year.

Note: University College will be noted as University

Studies. We are working with the Dean Jones to determine who should be indicated.

Start Date and End

Date refer to the indicated rank and contract type.

The Educator Prep Faculty field is used as a query for accreditation reports for

CAEP. Typically indicates individuals serving as university supervisors or methods instructors in a teacher education program.

For faculty with graduate status in the 2013-

2014 academic year, it was not clear of the start date. In such cases this was left blank until promotion to Associate Professor.

This will be updated annually at the time of the first graduate faculty meeting.

Corrections can be requested by contacting the Associate Dean.

The Discipline field is primarily available for colleges other than CAS.

This field is not restricted and can be updated by the faculty member from the available list.

Academic, Government, Military, and Professional Positions

 Faculty should make individual decisions about the non-Winthrop experience listed here. o In general, work directly related to one’s position at Winthrop should be included so that it is included o o on CVs printed for accreditation purposes.

Initially, some non-Winthrop work was entered from CVs; faculty can delete or add items.

Citations for all work at Winthrop (including administrative roles) should be listed here. Some information may have been entered, but should be reviewed and updated.

Academic typically refers to experience in higher education institutions while P-12 teaching experience was distinguished to allow for accreditation related reports.

Each category will print separately on the

CV generated by the college office.

Month and day are not required.

When no end date is indicated the span of time will go from start date to present.

Examples (one with an end date, one without) of completed screens and corresponding output.

Administrative Assignments

 This screen is used for assignments that are typically 50% or more of a faculty member’s role at Winthrop. Roles such as program director, minor supervisor, and special assignments will be captured through the Faculty

Schedule, Non-teaching screen.

 Most data on this screen is pre-entered for faculty and should be reviewed initially and then at the time of any change in status (promotion, review, etc.).

 Faculty can update the “Responsibilities/Brief Description” textbox with a description of duties as appropriate.

 Issues should be reported to the Associate Dean for review and correction.

Awards and Honors

 Faculty should enter all awards moving forward and any from the past they would like to include on CVs.

 University awards were entered when information was available, but faculty should review and add detail as appropriate.

 Faculty are encouraged to include sabbatical awards on this screen.

The Purpose field will be used to organize awards with respect to faculty roles at

Winthrop.

For multi-year appointments (such as a named professorship) both the start and end dates should be included.

For awards that are given on a particular date (such as a Presidential citation) the award date should be included as the End Date .

Education

 Minimally include: o Terminal degree

Degrees related to Winthrop position

New degrees awarded while employed at Winthrop

Existing information should be reviewed and updated as appropriate.

At a minimum, complete the circled fields.

Licensures and Certifications

 Many CAS faculty will not have information to enter on this screen. Only use this screen if it applies to your background and discipline.

Minimally include those licensures and certifications related to your position at Winthrop.

Dates can be left blank if certification is ongoing.

At a minimum, the year obtained

OR the year of expiration must be provided.

Note this is a recent change at the Activity Insight system level.

Some information was previously entered for faculty without dates. If you edit these previous entries you will be required to provide at least one date.

Media Contributions

 Media contributions included here should be contributions that are not considered scholarly activity.

 Information is intended to provide sound bites for the department, college, or university when faculty and/or students are featured in the media.

Faculty Schedule, Non-teaching

 This screen will be used to build “Class and Office Schedules” previously created by faculty each term.

 Office hours and regular committee information should be updated by the first Friday of every term.

 Faculty who receive reassigned time for program coordination, service roles, scholarship, etc. are expected to indicate such work on this screen. When the role is one in which you are expected to reflect on in the faculty annual report, you should indicate the purpose/goals/expectations at the beginning of the term, and you should return to report on accomplishment/progress at the end of each term. Such reporting can then feed directly into faculty annual reports.

Required field

Faculty can add additional blocks to capture all sessions for the semester on a single screen.

Independent studies and other work for which a CRN is associated should not be listed. Work with students on activities such as research projects or a thesis should not be included here unless you are receiving reassigned time. In cases where there is not a CRN related to your name and reassigned time was given, the faculty member should list here and provide the reflection under Directed Student

Learning.

Do not enter every committee on which you serve, instead the information entered should be focused on regular committee meeting for the purpose of allowing department and college personnel to find you in an emergency.

Additional boxes can be added as needed.

An example of how a faculty member might reflect on reassigned time is provided. It is understood that some reassigned time is given for a regular task for which faculty are not required to elaborate in the faculty annual report because that reflection is captured through another means such as a program report.

When unsure about expectations, the faculty member should consult his/her supervisor.

Teaching/Student Intellectual Development

Scheduled Teaching

 This screen will be updated at least twice each term (at the beginning and the end).

 Faculty are responsible for notifying the Associate Dean of any discrepancies (canceled classes, incorrect indication of teaching credit hours, etc.)

 These data will then be fed directly into the faculty member’s annual report and class and office schedules.

 All experiences with a CRN will appear on this screen. If the experience is an independent research course that involves multiple projects and/or students, faculty can choose to report on this work through the Directed

Student Learning instead of the common reflection prompts. In such cases the faculty member should include a

 note in first prompt under Reflection on Teaching to indicate location of report.

Faculty who teach multiple sections of the same course or cross listed courses can choose to group reflections by course. In such cases the faculty member should include a note in first prompt under Reflection on Teaching to indicate location of report.

Faculty should check their scheduled teaching screen for accuracy at the start of each semester.

Most fields in this section of the screen are restricted and fed from Banner reports. Faculty should indicate the following:

“Campus Location”

The number of “Teaching

Credit Hours” (for many courses teaching credit hours are equal to credit hours).

Information is uploaded at least twice each term: immediately before the semester and after final grades are processed.

Scheduled Teaching (cont.)

It is recognized that faculty do not receive evaluations for low enrollment courses.

In such cases no reflection is required.

Although the expectations is that a reflection would be provided (at least at the course level) when official evaluations are available, faculty are also welcome to use this field to address other forms of student feedback such as midterm evaluations if applicable.

In CAS, faculty have the option of reflecting once per course. If you teach multiple sections of the same course, you are welcome to reflect in one screen and indicate a note such as “Reflection available in ACAD347-001 Fall

2014” on all other ACAD347 entries.

Work discussed in here covers a wide variety of faculty engagement such as revising lectures or assignments, reviewing available textbooks or other materials for class, and doing external reading.

As stated above, reflection in this area is not expected every term for every course.

However, across a review period (tenure, promotion, post-tenure) there is an expectation that a faculty member will note some activity.

Scheduled Teaching (cont.)

The purpose of the Assessment section of the screen is to create a systematic way to collect/document assessmentrelated work by faculty.

Most changes related to assessment data happen at the course level and have been difficult to capture for annual assessment reporting. The program Assessment Coordinator will provide any program-specific expectations/needs. The

Unit Assessment Committee is discussing how to use this section of the reporting feature. Please note currently there is only one required field.

This is the only required element in the assessment section.

Faculty must choose at least one course objective and discuss student progress on that objective. All forms of data are welcome as evidence.

Faculty are welcome to use Activity Insight as a repository for their syllabi, but they are also expected to provide syllabi to chairs outside of this environment.

Files added here will be hyperlinked automatically to the PDF of the Annual Report.

Information provided will facilitate exploration of the amount and type of field or service learning embedded in courses. Boxes can be added as needed.

Directed Student Learning

 The Directed Student Learning screen captures work with students (research and/or creative) that is not captured on the Scheduled Teaching screen.

 Products that are considered scholarship for the faculty member should be included on the Intellectual

Contributions , Presentations , or Artistic and Professional Performances and Exhibits Screens. The information here will appear in the Student Intellectual Development section of faculty annual reports.

When possible, reflections on work included in a course with assigned

CRN should be included on the

Scheduled Teaching screen.

At least one date (year) is required.

Curriculum Development

 Faculty who are the primary or co-primary developers of new curriculum should report work here.

This option is provided to capture curriculum work that falls between the course and program level. An example might be the redesign of introductory language courses.

At least one date (year) is required.

Scholarship/Creative Activities

Works created with other Winthrop Faculty outside the College of Business should be maintained by the author/creator listed first in the work. The College of Business maintains a separate database to preserve some reporting features associated with accreditation. CAS faculty who are co-authors with College of Business faculty must enter work regardless of authorship.

 Works are entered once (in the early stage of creation) and progress can be noted by changing the status field and dates. Such progress will be reported on the annual reports until a published date is provided or the entry is deleted.

 A single screen captures a variety of product types, thus faculty members should only complete fields applicable to the work. The fields are used to build citations for common reports and unnecessary fields should remain blank to prevent unnecessary characters in citations.

 Note that separate screens for different types of products. A faculty should use his/her own discretion when choosing the most natural screen on which to enter information.

Contracts, Grants and Sponsored Research – internal and external

In the case of grants and contracts, it is not possible to list an off-campus collaborator as the first in the list, but the “Role” field can distinguish level of involvement. An example output is provided after these screen shots.

Intellectual Contributions – products that are typically in print or online

The option for automatic uploads is a recent addition to the system. Faculty and staff from Winthrop will be attending training and more information will follow.

In general, the feature is the long awaited link that will allow faculty in disciplines that have well established common databases for scholarly work to feed citations directly (for example PubMed). Further, individuals who use reference managers

(for example EndNote) should be able to upload citations.

We have made modifications to the standard Activity Insight Screen which may limit use, but we will be working to explore the best ways in which to utilize the feature. The manual will be updated as additional information is available.

This screen is designed to capture a variety of types of works. Only complete those fields that are applicable to the type of product presented.

Faculty are strongly encouraged to use one of the options in the dropdown list when possible. The use of “Other” should be the exception.

Scholarly Activity when choosing a priority level. Editorship of a major journal should be listed as “Other”

Presentations – that are considered Scholarly Activity

Artistic and Professional Performances and Exhibits

This screen is designed to capture a variety of creative endeavors. Only complete those fields that are applicable to the type of product presented.

At least one date is required.

Professional Stewardship and Academic Responsibility

Each activity should be entered only once; dates can be updated to indicate multi-year appointments or engagements.

Ending dates should be monitored for appropriate reporting.

Screens in the section are very similar. After Department only partial views will be provided, but general comments on this first example screen hold for all levels of engagement.

Department

Faculty are strongly encouraged to use one of the options in the dropdown list when possible. The use of “Other” should be the exception.

Items entered on these screens will default to Academic Responsibility. If the faculty member indicates Yes , it rises to the level of Professional

Stewardship, s/he should briefly explain why. See definition of

Professional Stewardship in Roles documents.

Provided as an avenue for faculty to articulate and capture the various work done; however, providing information here is optional. Departments may have disciplinary expectations. Please consult your chair.

Materials here might include products created as part of the group’s work.

Academic Advising

 Faculty should complete this screen for each semester. Enter the number of students for the semester in which you are advising – not the semester for which they are registering. The number should include all active undergraduate and/or graduate advisees.

Please count individuals for whom you were a primary advisor.

The field can include results from advising surveys where applicable.

Faculty Development Activities Attended

 Indicate professional develop and meeting attendance not captured in other screens.

Goals and Summary

Annual Overview / Highlights

All faculty must evaluate their participation in Academic Responsibility and, as appropriate, Professional

Stewardship .

Other fields allow for global reflection and are optional. Information is included will appear on faculty Annual

Reports.

Goals

Faculty should describe the accomplishments of the previous goals, goals for the coming year, and long-term goals for the next five years.

At the bottom of the screen, three questions related to professional needs are provided to collect ideas for the college and university as they move forward.

Faculty can create a copy of the past year’s screen, change the date, and use the cut and paste features to copy goals forward.

In the College of Arts & Sciences typically the date will be May of the year when the

Annual Report is being compiled. For example, in the report examining the 2015-

2016 academic year, the faculty member would record May 2016.

Goals should be specific and measureable.

In line with current expectations, CAS faculty should have at least one goal in each area. For individuals with an established satisfactory record of Academic

Responsibility , an acceptable goal is to maintain a similar record.

Goals (cont.)

Faculty are encouraged to consider goals beyond the next academic year.

Accomplishments related to these goals can be reported as appropriate in the top section of this screen.

These questions will NOT appear in your annual report in CAS. Please use the Annual Overview /

Highlights Screen in place of the last question to capture additional activities.

Student Success Stories

 Faculty should provide information about an individual student or student organization. The information will be used to highlight student successes in a program or within the college or university.

Complete those fields that are related to the news being shared.
