UWSP Alumni Board Policies Updated: January 25, 2010 Policy #1: Member at Large Created by: Exec Committee Date: August 16, 2005 As a member at large position becomes vacant; the exec board will select an existing board member to fill this role. The president will approach this person to see if there is interest and the entire board will vote to approve or deny. Policy #2: Term expiration Created by: Exec Committee Date: August 16, 2005 Updated: January 25, 2010 When terms are set to expire, the Executive Committee will review the activity of Board Members. The Executive Committee will determine if the Board Member has met the pre-established requirements set forth by the Nominating Committee. The Executive Committee will direct the Nominating Committee to send a letter asking the Board Member to renew or thanking the Board Member for their service. If a Board Member who is not asked to renew is interested in re-joining the Alumni Board, they need to contact the alumni office and re-submit their materials after a period of no less than one term being off the Alumni Board. Policy #3: Alumni Board member Emeritus Status Created by: Exec Committee Date: August 16, 2005 Updated: January 25, 2010 When board members retire, the nominating or awards committee will award emeritus status to those they decide fit the criteria. Criteria has been adopted and is on file. Policy #4: Sponsorship Created by: Exec Committee Date: August 16, 2005 Updated: January 25, 2010 The Communications Committee will review sponsorship applications as they aresubmitted. Based on pre-set criteria (located in the sponsorship procedure document) the Communications Committee will decide if requests will be funded. The total amount of sponsorship given in one year will be a pre-set budget limit determined by the alumni office as finances allow. The Communications Committee will report sponsorship activities at each of the Alumni Board Meetings. Policy #5: New Board Member review and election process Created by: Nominating Committee Date: August 17, 2005 Updated: January 25, 2010 The nominating committee will review potential board members once per year and the full board will vote on their recommendations at a spring board meeting. The approved candidates’ terms start with the fall meeting. The alumni office will keep a holding file of all interested parties and distribute information to the nominating committee before their annual review session. Policy #6: Reference Checks for New Board Members Created by: Nominating Committee Date: August 17, 2005 In the case of potential board members recommended by other board members, no reference checks are needed. If an alum expresses interest in joining the board without a board member nominating them, we will look into reference checks.
