Meeting called to order by M. Sims
• Motion to approve the agenda and minutes by E. Landquist, second by J. Tan –

Technology Priorities
o KU Portal – develop Portal Taskforce
 This has been in the line of the ATC for a while, several requests have
been made
 M. Sims would like to develop a task force for this project

III.
MyKU (PeopleSoft)
o Major Projects
 CRM system – customer relationship module
• Explanation and demo by H. Fox and A. Mull
• Allows us to capture information into a centralized database and
then send information to those constituents.
• Currently in use
o STEM open house
o VPA open house
 Good for reminders about events and informing
about future events
o Timeframe for the events

A month is doable but the more time the better for
communications
Credit Evaluations information in PeopleSoft
• Demo and explanation by A. Mull
• A stepped process for transfer students that pulls information
directly from PeopleSoft rather than the student management
system
• Extended the ability of the system
o i.e. if RACC not found they can search by state, dates of
courses are important, does not transfer is shown if it
doesn’t transfer, course description at KU is shown
Checksheets are integrated through Sharepoint
• Brief demo given for a site that provides viewing of all the
checksheets
o Interactive forms would be helpful for some – C.
Moctezuma
• A page can be customized that links to the checksheets by
departments
o Bring this to your department if you wish to have this
deployed
Preferred name
• Students are allowed to change their name in the system.
o This impacts D2L but not MyKU
o It is done through the registrar’s office at the request of
students
o 5 people are using this, but it might be wise to use D2L
rather than MyKU classlists when calling role
Bursar service indicator
• Click on this service indicator to get additional/specific
information
o i.e. “only my dad can see my grades” will not be listed
Delegated Access
• Enables delegate to see grades and financials without phone calls
made to the university
• This puts the responsibility on the student rather than the university
o This is being run in a pilot stage
o More information to come in the next couple weeks

Major and minor changes will be made in workflow (out of the
paper process)
o Possibly on line for January 2016

Distance Education / D2L
o D2L Upgrade
 Updated in May, with a now continuous delivery update
 This is now off the agenda
o D2L Single Sign-on
 This project is now online
 Millersville users can now authenticate through our single sign on
• Collaborative Ph.D. program between Millersville and Kutztown
instigated this development
 Kutztown is the first to do this and it works perfectly
o A series of D2L workshops will be online this Fall
 Reminders will be sent out soon
o Learning Technologies Open House with West Chester University

o Status Updates
 None
VI.
IT Report (Mitch’s option)
o The firewall system became obsolete last year
 New system to be installed Thanksgiving Friday
 Let your constituents know that the firewall will not be functioning at that
time
o Old Main Classrooms wireless network
 To begin next Monday
 Installation of wireless access points in all classrooms of Old Main
o MediaSite
 This is a work in progress
• Repository may be put into production by the end of this month or
by early November
o Microsoft 2010 to 2013 for Windows
 The university will likely acquire new PCs and Macs this summer, so this
may be postponed until after that

C. Walck – there is a change in how we use/deploy updates to
systems
o Largely this has been manual in the past
o We will use server-sized technology to deploy new images
of software rapidly
o Do we need to upgrade to 2013 before the summer to
maintain support with other programs or do we need to stay
at 2010 do maintain compatibility
 Go back to your constituents to find out what the
retirement of 2010 will do for compatibility issues
 In the transition period, problems will be addressed
case by case
o Labstats – every academic computer will have the labstats
client
 Gives insight into the use of the computers
 Eventually this will be presented
 Students will be able to see how many seats are
available in computer labs
 Applications can be tracked to determine where
programs are used and for how long they are used
• Gathering data to make smarter licensing
decisions
