Dear Resident Students,
The end of the 2015-2016 academic year is just around the corner! Please read the following information carefully. By
following correct checkout procedures, you will be able to leave quickly, with a minimum of inconvenience. Please do not leave
without officially checking out, which means reporting to your building’s front desk.
CLOSING
1. You must check out of your residence hall within 2 hours after your last exam.
2. The last meal of the semester will be dinner on Friday, May 6th, at the South Side Cafe.
PRE-CHECKOUT PROCEDURE
1. Vacation Departure Schedule - by Friday, April 22, see your CA to indicate the date and time of your last final. Golden
Bear residents will be sent additional information from your Assistant Director.
2. University Property (apartment residents will receive apartment specific information from your Assistant Director)
a. All dismantled furniture must be reassembled properly (e.g. bed frames, desks, wardrobes, etc.).
• BEDS NEED TO BE REBUNKED AND PINS PUT IN (except for Dixon and Golden Bear).
b. All dressers and desk drawers must be emptied.
c. Screens must be placed properly in windows.
d. All room furniture must be accounted for.
e. Wardrobes will be visually inspected during final inspection.
f. Your room and closets must be thoroughly swept and mopped.
g. All micro-fridge units, must be cleaned out and unplugged. Once cleaned, please place inside room closest to the door
as possible. Suite style hall residents (University Place, GBV, Honors, Dixon), Please place micro-fridge units closest
to inside the common area door.
h. All dining hall items and supplies (condiment dispensers, plates, cups, etc.) should be returned to the Dining Services
Box at your residence hall front desk.
i. If any of the above items are not completed satisfactorily, you will be billed accordingly.
3. Personal Property and Belongings
a. All personal property must be removed from the building, including rugs, sofas, lumber, cement blocks, etc.
b. All adhesive material, posts, hooks, nails, etc., must be removed from walls, ceiling, floor, and furniture.
c. Kutztown University does not provide storage space. All personal effects must be removed.
d. Any personal property left in your assigned area will not be returned, and will be disposed at your expense.
e. Additional dumpsters will be located at: (2) North Water Tower (3) Golden Bear Village South (buildings 10, 60 and
80) and (2) additional dumpsters will be available in the parking lot behind Dixon Hall (closest to the dumpster
corral).
CHECKOUT PROCEDURE
1. Getting Ready to Check Out
a. Once all your belongings have been removed from your room and you are ready to check-out, please see your staff at the
front desk of your residence hall.
2. Preliminary Room Inspection
a. All visible damages and needed repairs will be noted on an Information Report to your Resident Director by your CA.
b. You and your roommate(s) are jointly responsible for the condition of your room, and you will be charged
equally for all damages to the room, beyond normal wear and tear.
c. Separate charges will be assessed if all residents sign-off in agreement or it is determined that one roommate is
responsible for the damage(s) in question.
d. When you leave your room for the last time:
i. Lock your door.
ii. Return your key to the front desk of your residence hall.
3. Final Room Inspection
a. A member of the Housing and Residence Life Staff will do a final and thorough room inspection after your departure.
i. At this time, initial damages from your preliminary checkout will be verified.
ii. PLEASE READ: Any inadvertently undetected damages will be assessed and noted at this time.
iii. For University Place, Dixon, Honors and Golden Bear Apartments: if damages are assessed in common areas
of suites/apartments, all students in that suite/apartment will be held responsible for damage charges.
iv. As a result of this final inspection, a room damage bill may be generated.
4. Improper Check-Out
a. Failure to check-out of your room and\or return your keys at the front desk of your residence hall will constitute an
improper check-out.
b.
Students who fail to check-out or complete an improper check-out, are waiving their right to participate in the Damage
Appeals Process.
c. Students who fail to return their keys, will be charged for lock change per key that is not returned.
DAMAGE BILLING
1. If there are damages to your room or the furnishings, you will be able to see the damage charges in your MyKU account by
early June.
2. Please check your student e-mail account after June 5th for a damage notification e-mail.
3. Charges may also include the cost of housekeeping and/or moving furniture. Your room must be returned to its original
state.
4. If you do not return your room key at the time of checkout, you will be assessed a $40.00 charge per key. A lost mailbox key
will be assessed at $25.00. We will not accept a key mailed to us after check-out. Lost key lock changes will be completed
immediately after closing.
5. If you have questions concerning your damage billing, please contact the Housing, Residence Life and Dining Services Office
at (610) 683-4027.
ADDITIONAL INFORMATION
1. If you do not check out within 2 hours after your last final, or if you create any undue disturbance during finals, you will be
asked to leave immediately.
2. If you anticipate a late ride, contact your Resident Director by noon on Friday, April 29 for instructions.
3. If you are a graduating senior and wish to stay in your room the night before graduation, please contact your Resident Director
by noon on Thursday, April 28th, to complete a Graduation Eve Contract. Requests after this time cannot be accommodated.
4. The Mail Services Office requests that you change your address with all businesses, family, and friends you receive mail from
by sending them your updated address information.
5. Summer housing will be available during summer sessions only for those students registered in summer session classes. Please
register for summer housing through myhousing.kutztown.edu, in the apply online portal (instructions on our website). You do
not need to contact Housing, Residence Life and Dining Services. See our website for Summer I and II check-in
information (www.kutztown.edu/housing)
6. If you have completed the Housing Application Process for the 2016/2017 academic year and you decide to cancel your
housing, your written cancellation must be received by our office prior to June 30th, at 4:00 p.m.. Please come into our 106 Old
Main office Monday-Friday, 8 a.m. – noon, and 1:00 p.m. – 4:30 p.m. (after May 13 our office closes at 4:00 p.m.) to complete
a Cancellation Form. After June 30th a $1500 minimum penalty charge is applied for late cancellation.
CHECK IN INFORMATION FOR FALL 20161. Please make sure that you are in good financial standing with the University prior to checking in for the Fall semester.
Students with delinquent accounts may be dropped from housing and/or will be restricted from checking in until the Office of
Student Accounts removes the major restriction.
2. Check-In Date and Times:
a. Returning Students:
i. Monday, August 22nd from 9:00 a.m. to 1:00 p.m.
ii. Tuesday, August 23rd from 1:00 p.m. to 5:00 p.m.
iii. Wednesday, August 24th from 9:00 a.m. to 1:00 p.m.
iv. Thursday, August 25th from 10:00 a.m. to 6:00 p.m.
v. Friday, August 26th from 10:00 a.m. to 6:00 p.m.
vi. Sunday, August 28th from 10:00 a.m. to 6:00 p.m
3. PLEASE CHECK/RE-CHECK YOUR FALL ASSIGNMENT ON-LINE through your Myhousing home page, as hard copies
will not be sent home to you. We will not be able to notify you of changes to your roommates/suitemates.
